A lot of organizations and schools use Google Meet to conduct online meetings and teaching sessions. But video meetings aren’t always enough. A lot of the times you need to be able to share a lot more like presentations, some quick documents, or apps from your computer. These instances make you wish the person was in front of you so you could just show them your screen.

Well, you can show or, rather share your screen on Google Meet with other meeting participants, and that too without any additional requirements. Google Meet lets you present your complete screen, a Chrome tab, or an application window – it’s entirely up to you – with people in the meeting very easily. It’s the perfect little tool whether you need to give presentations, share projects, or train new employees remotely. It opens a whole new world of possibilities in remote working.

How to Present During a Meeting

You can present your screen during an ongoing video meeting, or you can join the meeting only to present. To present during an ongoing meeting, go to meet.google.com in your browser, and click on ‘Join or start a meeting’ button. Either enter a meeting code to join a meeting or create a Google Meet and invite others to join. When the meeting room is ready, click on the ‘Join now’ button.

Whether you use Google Meet on your PC, Mac, or mobile device, such as an Android smartphone, iPhone, or iPad, these tips will help you master videoconferencing. Change the meeting layout

Want to change how you view other participants and content? You can alter your layout easily when in a Google Meet videoconference on a PC or Mac. To change your layout during a meeting, click the More Options button (three vertical dots) and then Change Layout.  Here, you can select one of the available view types:

  • Auto: Allow Google Meet to choose the layout.
  • Tiled: Shows up to 16 people when no one is presenting. All participants appear in large tiles on the screen. The most active participants will appear to the side.
  • Spotlight: The current presentation or active participant will fill the window.
  • Sidebar: The active participant or presentation is shown in a large view, with additional participants shown to the side.

If you are having trouble following what is being said in your videoconference, you can turn on closed captions. Note that if you record a meeting, captions won’t appear when playing back the recording. If using Meet on a computer, closed captions are generally only offered in English unless you live in the “the Asia Pacific or EMEA regions,” in which case you can have captions in the following languages:

  • Spanish (Mexico)
  • Portuguese (Brazil)
  • Spanish (Spain)

For mobile, English is the only language offered.

To enable captions, click the Turn On Captions button [CC] , which can be found on the lower-right side of the Meet window. On mobile, the captions option should appear once you tap on the More icon (which looks like a vertical set of three dots). From the pop-up menu that appears, select Turn On Captions .

When on a Google Meet video call, you can select a participant and control different factors, including whether they are muted or pinned. Participants can also be removed from the call if desired. For personal meetings, only the event moderator can remove a participant.

Mute a participant

To mute another participant in Google Meet, do the following:

Windows and MacOS:  Move the mouse over the person’s thumbnail and then click the Mute icon (which looks like a microphone) when it appears on top of their thumbnail.

Android and iOS:  Tap on the meeting name at the top of the screen, then tap on the People tab, then tap on the three dots Menu icon next to the participant you want to mute and tap Mute .

Pin a participant

To pin a participant and keep their video in focus, do the following:

Windows and MacOS:  Click the Pin icon in the participant’s thumbnail.

Android:  Tap on the meeting name, select the People tab, tap on the Menu (three dots) icon of the person you want to pin, and then tap on Pin .

iOS:  Select and hold a person’s icon and then select the Pin icon on the pop-up menu.

Remove a participant

To remove a participant, do the following:

Windows and MacOS:  Move the mouse over the thumbnail of the participant you want to remove and click the Remove From Meeting icon. Click Remove again to confirm.

Android:  Tap on the meeting name, select the People tab, tap the Menu (three dots) icon next to the participant you want to remove, and then tap Remove and  Remove again.

iOS:  Navigate to People , select the person’s name, and then tap Remove From Meeting . Then tap Remove .

You can join a Google Meet videoconference using your telephone. However, dialing in is only supported in meetings created via a Google Workspace account.

To call into a Google Meet conference, you can call the number provided to you by the meeting organizer. Otherwise, when you visit the Google Meet website, you can navigate to the meeting and then select Join > Use a Phone For Audio. Then click Dial In and choose your country. After that, dial the number and enter the PIN. To disconnect from the call, click End Call .

Do you want to allow Google Meet to send you notifications in the Chrome web browser? Follow these steps on Google Chrome on your Mac or PC to enable Meet to send push notifications to you about calls and chat messages. You can also follow these settings to disable such notifications if desired.

Step 1 : Open Chrome. Step 2 : Click More (three vertical dots) and select Settings . Step 3 : Select Privacy and Security , then choose Site Settings . Step 4 : Click the Notifications option. Step 5 : Scroll to Meet.Google.Com in the list and then click More (three vertical dots). Step 6 : Click Allow .

If you want to view a previously-held Google Meet call later, you might want to consider recording it. It’s worth noting, however, that recording a meeting is only available to certain Google Workspace users . Once you have joined a meeting on a PC or Mac, click the More button (three vertical dots), and then click Record Meeting . Once you begin recording, participants will be notified. To end the recording, follow the previous steps, but click Stop Recording instead. Select Stop Recording again to confirm.

Once recorded, the meeting will be saved to the meeting organizer’s Google Drive. A link will automatically be sent out to the meeting organizer and the person who initiated the recording so that it can be downloaded. If you are unable to start a meeting recording, check this guide from Google , as there are multiple reasons the option may be unavailable.

If you have content on your computer screen that you wish to share with others, you can do so in a Google Meet videoconference. Once you want to begin sharing content, you can do so on a Mac or PC by clicking the Present Now button shown in the bottom-right corner. You will then be asked if you wish to share Your E ntire Screen , A Window , or A Tab . On the next screen, a thumbnail of your screen will appear: Select the portion of your screen you want to share, then click Share to confirm you want to present. To stop presenting, click the Stop Sharing button at the bottom of the screen.

Google Meet calls offer screen-sharing capabilities for Android devices as well. Begin by tapping the More button (three vertical dots), then select Share Screen . Tap Start Sharing to confirm you want to begin presenting. Tap Start Now . To stop presenting, tap Stop Sharing . In iOS, tap the same More icon, select Share Screen , and then tap Start Broadcast . To end sharing, just tap Stop Sharing > OK .

Google Meet allows users to customize video resolution, which is not a feature shared by most other video platforms. Lowering the resolution can help maintain the video connection if you have a weak or spotty Wi-Fi connection. You can always revert to a higher resolution when connectivity gets better to get a superior video picture. Changing the resolution to suit the connection is easy to do by following these steps below:

Step 1: During a Google Meet call, click the More icon and then Settings . Then select the Video tab on the left.

Step 2: You have two choices for the type of resolution you desire to manipulate. You can select either Send or Receive Resolution . Send Resolution is what your camera will send to other members of the call, while the Receive Resolution is what you see from the other callers.

Step 3: Select the resolution you wish to use from Standard Definition (360p) to High Definition (720p). In order to take advantage of your connection for receiving, there are extra choices to consider. On receiving, you can choose from an Audio Only option, a Standard Definition (360p) One Video at a Time option, or Auto.

Can you mute all participants on Google Meet?

No. Unlike Zoom, Google Meet doesn’t let meeting hosts mute everyone in a meeting all at once. To mute more than one participant on Meet, the only way is to mute other participants in a meeting individually.

If you’re using Google Meet on your computer, there’s a workaround to mute all the other participants temporarily when you’re presenting something. You can do this by muting a browser tab that has Google Meet running on it.

Google acknowledges that ‘Mute All’ is a popularly requested feature and is among a list of upcoming features that are being considered for future releases. The company is currently developing more Meet Moderation Controls which is expected to give meeting hosts more controls in terms of muting, presenting, inviting, and more.

Meet Moderation Controls is yet to roll out to users on Google Meet as the feature has been listed as “in development” inside the Upcoming G Suite releases page. The importance of video conferencing software has increased exponentially in the past couple of years, and one of the best options around is Google Meet. The software replaces previous products like Duo and Hangouts Meet, but it works slightly differently and has special features for more advanced users.

So, how do you use Google Meet, and what special features does it offer? Keep reading for a comprehensive primer and a few Chrome extension recommendations to improve the experience.

Google Meet (previously called Google Hangouts Meet), is a business-focused video conferencing tool developed by Google. Along with Google Chat , it replaces Google Hangouts video chats and adds some features for enterprise use.

Those enterprise features are great for small and large businesses, but Google Meet is also a popular option for schools. Since many school districts in the US have already invested in Chromebooks and Google Workspace (formerly G Suite) apps, Meet is a natural fit that covers most classroom needs natively.

After spending the better part of a year completely overshadowed by Zoom, Google Meet unlocked many paid features for free users during the coronavirus stay-at-home order, which made it surge in popularity. It still doesn’t have as large a user base as some of its competitors, but it is still growing and adding features.

Google Meet is free for everyone but with limitations. For free users, meeting durations are limited to one hour, with a maximum of 100 participants. 1:1 meetings are also extended to 24 hours maximum, which is great news for families looking for a Skype alternative.

For Google Workspace Individual users, those limits are bumped up considerably. Meeting durations jump up to 24 hours with 100 participants. It also adds several useful business features, like saving meeting recordings to Google Drive , domestic and international call-ins, and 24/7 customer support.

Google Workspace Enterprise users get even more, with the same 24-hour meeting limit but with a maximum of 500 participants. Other great features like intelligent noise cancelation and a host of security features are also added.

The good news for those switching from WebEx or Zoom is that Meet is very easy to use. Like most Google Workspace apps, it’s designed for simplicity, and you can learn how to use Google Meet in less than an hour.

We’ve broken down the main things you need to know below, from starting or joining a meeting to sharing your screen or other resources.

How to start or join a meeting

The first thing you need to learn is how to start a meeting, and thankfully with Google Meet, it’s easy as can be. All you need is a Google account and internet access.

Here are all the ways to start a meeting from different devices:

  • Browser: Go to https://meet.google.com/ and click New Meeting , then follow the steps to set one up.
  • Gmail: Click Start a Meeting from the menu on the left (browser only).
  • Smartphone: Download and open the Google Meet app , then click New Meeting .

When starting a meeting, you will automatically generate a link for other participants to join. All you need to do is send them the link, and they can join immediately. Links will also be sent to anyone who is invited to a meeting event that’s been scheduled in Google Calendar or Gmail. Participants may need to be accepted to the meeting by the host, so keep an eye out for notifications.

With the demise of Google Duo, some of those features have now been migrated into Meet. One of them is being able to call any of your phone contacts from inside Meet. This means you don’t have to set up any Meet meetings beforehand.

Joining a meeting is even easier than starting one. In each of the places listed above, there is an option to Join Meeting right next to the option to start one. You can enter the meeting code there or just click the link sent over by the meeting host. It’s really that easy.

You can also use Google Meet’s Companion Mode to join a call with two devices simultaneously.

Customizing your settings

Once you’ve created or joined your meeting, it’s time to learn how to use Google Meet settings and customization features. Which features are available depends on whether or not you have a paying Google Workspace account, but there are many things you can do with a free account too.

One of the most important settings for video conferences is how you display the participants. By default, it’s set to Auto  and will automatically choose the best layout depending on how many participants there are and how many people are talking.

  • Tiled: Shows up to 16 participants in small tiles or fewer participants in a sidebar if someone is presenting.
  • Spotlight: The presentation or active speaker fills the window.
  • Sidebar: The presentation or active speaker is in the middle, with smaller tiles on the side for other participants.

Apart from this, you can also pin a participant so they always appear in the center of your screen. Meeting creators can also mute participants, which works independently from self-mutes. For privacy reasons, no one except the participant themselves can unmute their own mic if self-muted. Call-in participants can mute or unmute themselves by entering *6 on the dial pad. Additionally, if you can also cast a Google Meet to a compatible display or Chromecast if you desire.

Live captioning

One of the coolest features of Google Meet is live captioning. Just hit the Turn on captions button at the bottom of the screen, and Google will generate closed captions for whoever is speaking. It’s included in the free plan as well, so anyone can use it. Note that this is currently only available in English, and the captions don’t get saved if the meeting is recorded.

How to present and chat in Google Meet

Video meetings are a great way to communicate with colleagues, but you’ll need to present something at some point. Like most video conferencing software, it’s fairly easy to learn how to use Google Meet for presentations, and it has a few extra options thanks to its integration with Chrome .

Sharing your screen

To share your screen, all you need to do is click the Present Now button at the bottom of the screen. You can then choose to share your entire screen , a single window , or a single Chrome tab . If you want to show a video or animation, Google recommends sharing just a Chrome tab for the best performance.

You can swap to a different Chrome tab by clicking Change source at the bottom of the page or stop sharing by clicking Stop presenting .

If you don’t want to share your screen or interrupt the presentation by speaking, you can also take advantage of the chat option. Just click the small chat icon in the upper right, enter your message, and click send. This is a great way to enter questions for a Q&A session or share links to Google Docs for meeting notes or other resources.

Google Meet has many great built-in features, but you can get even more done by installing a few Chrome Extensions. Obviously, this only works on Google Chrome, but if you’re using Meet from a Chromebook, laptop, or desktop, this is probably how you’re using the platform anyway.

One of our favorites is Google Meet Enhancement Suite , which adds lots more features to the platform. The free version includes options for push-to-talk, auto-muting, quick leave shortcuts, and more. There is a paid “Pro” version with other great features like picture-in-picture and an all-mute button.

If you don’t need so many features, another great option is Google Meet Push To Talk . It makes it so that pressing the spacebar will unmute your mic, so you don’t have to worry about embarrassing yourself in front of colleagues or classmates. Meet Mute does something similar but is a bit more cumbersome to set up.

Breakout Rooms

One more great extension for classrooms is Google Meet Breakout Rooms . It allows you to use the popular Zoom feature Breakout Rooms, which sets up separate meetings for smaller groups. The service has since added this feature for nearly all paying Google Workspace users (including education plans), but everyone else can still use the extension.

There are several products made specifically with Google Meet in mind. They are intended to be used in a proper meeting room, so they’re aimed primarily at businesses and carry a price tag to match.

The first dedicated Meet hardware was released by ASUS back in May 2020 and features several devices for the meeting room . There’s a basic Chrome OS computer system to run the calls, a touchscreen or remote to control them, an ultrawide UHD camera, and a speaker mic. These kits run for $2,000 or more, depending on the setup you need.

Google has also released its own Meet hardware called Series One , which can be seen in the video above. Made in partnership with Lenovo, the lineup includes a basic computer system, a smart soundbar, a 4K camera capable of panning and zooming, a touch control display and remote, and mic pods.

As you might expect, many of the best features of this hardware are software-based, like the camera panning and zooming to automatically frame participants and the soundbar using beam-forming microphones to process each participant’s voice separately. It’s available in three kits for different room sizes, costing $2,700, $3,000, and $4,000, respectively.

Muting and unmuting your mic in Microsoft Teams

When you join a Teams meeting, you can choose to mute your mic to prevent any unwanted noise or unmute your mic to participate in the meeting.

There are a few different ways you can mute or unmute your mic in Teams.

Note:  Some mic capabilities might be unavailable, depending on meeting settings or policies set by your IT admin. 

To automatically mute your mic if your screen locks:

Mute or unmute from your taskbar (Windows)

If you join a Teams meeting on a Windows device, you can mute or unmute your mic from your Windows taskbar.

To mute and unmute your mic from your Windows taskbar:

Use Ctrl+Spacebar to unmute

On the Teams desktop app, you can also choose to stay muted to avoid unwanted interruption or noise during a meeting and rapidly respond when called upon. To quickly unmute, hold down the keys  Ctrl+Spacebar (Windows) and Option+Spacebar  (Mac). Release keys to go back to muted state again.

How to enable:

Turn on the Keyboard shortcut to unmute  toggle. 

Join a call or a meeting. Mute yourself.

On Windows, press and hold Ctrl+Spacebar . On Mac, press and hold Option+Spacebar . You'll see an alert regarding temporary unmute. Check to make sure you're unmuted.

When you release the key combination, your mic will be muted again.

Note:  Shortcuts in general—including Ctrl+Spacebar  and Option+Spacebar  to unmute—don't work within the chat box or when apps like PowerPoint Live or Whiteboard are shared in the meeting stage.
