Resume formats: defining structure

Now that we’re done with the visuals, let’s move on to the magic of text. The most fundamental division of text in resumes is based on content format: 

  • Reverse Chronological
  • Combined (Combination resume).

The Reverse Chronological format is not only the most common one but also the most widely accepted among various employers and industries. The biggest benefit of a reverse chronological resume is its straightforward, easy-to-understand, and linear structure. 

It displays your professional experience and past work experience from most recent to oldest. Your most recent roles are most relevant to your application. This is great when you have a continuous history of work, and you can showcase some important recent positions. But what should you do if you’re a fresh graduate or have a sizable gap in your employment history? This is where the Functional and Combination formats come in.

A Reverse Chronological order also takes advantage of short attention spans and busy schedules of recruiters by demonstrating your most recent and impressive positions first. Take advantage of those 6-7 seconds of “eye time”!

The Functional resume format leans on soft and hard skills as its main focus point. A Combination format places equal emphasis on skills and relevant work experience, and is therefore appropriate for many technical and technological professions (though not exclusive to them). Many modern resumes have an expanded skills section at the top of the document before the reverse-chronological employment history, so they might be considered combination format resumes.

Resume sections: your professional feature list

There’s often a lot of confusion as to which sections to include in your resume. 

This isn’t surprising, since their importance can vary depending on your profession, industry, and nature of your experience. We can divide section types into necessary and optional ones. Let’s assume for the time being that you’re using the Reverse Chronological format (as it’s used in more than 90% of resumes nowadays).

Necessary sections often include:

  • Contact information and basic personal information
  • Summary (Personal statement, Objective )
  • Employment history

Optional sections can include:

  • Achievements and milestones (often this is included in the Summary and Social projects and volunteer work)
  • Awards, certificates and organizations
  • Hobbies and interests
  • Include the most important sections that showcase your professional experience and are likely to impress your employer.
  • Analyze which sections are important to your profession. Only then - use the free white available (if any) for optional categories.
  • Include every section possible, expanding your resume to maximum capacity.
  • Include your social media profiles if they contain party pictures. Keep it to your basic contact information such as email, phone number and Linkedin profile.
  • List every single life milestone or activity, regardless of available space (high school education, all hobbies and personal interests etc.)
  • Only include cum laude or GPA on a resume if an employer explicitly asks for it or if you are applying for an entry-level job.

These are not iron-clad rules, however. Sometimes certain sections change their importance depending on the job itself. Some questions to ask yourself when deciding to include or resize sections are: 

  • Will this increase my chances of getting hired?
  • Will this provide a positive impression on the employer?
  • Is it appropriate for the job description?

Your resume may be Chronological, but your decisions should be functional and pragmatic!

The professional summary: your highlight, your story

The vital necessity of keeping your resume concise often makes some resumes feel bland or emotionless. The Professional Summary is your biggest chance to add some color, life, and personality to your resume.  It demonstrates your determination, and positive outlook and brings some emotion to dry facts.

  • Write a Summary that has some character, energetic phrasing, action verbs and soft/hard skills integrated into your description as a professional.
  • Leave out lengthy grammar constructions so that the Summary is concise but your qualities and achievements "jump out" at the viewer.
  • Compose a Summary that is too dry or too rambling (in the form of a lengthy first-perspective narrative).
  • Forget to mention important qualities and achievements right at the beginning, quantifying with numbers and context where appropriate.

The Summary should be energetically written to capture attention. Use action verbs and strong descriptive terms. Avoid lengthy, grammatically complicated sentences. This lets the achievements and facts stand out. 

There are some resume action verbs you may want to use in your resume:

Some guides favor the Resume Objective, yet we believe that the Summary is a more robust and universal tool. 

The Objective can have its role in certain circumstances (for example, when you lack work experience or wish to make a career change). You can also include an objective as a part of the summary but it would be rare to call this section "objective." The hiring manager understands that your objective is to get the job, otherwise, why would you apply?

How to write a professional summary

Work experience: professional experience

If you’ve chosen the Reverse Chronological format (and in 9 out of 10 professions - you probably should), then this section is the backbone of your effective resume.

This is not only the place where you list your most impressive past employment, but you may also elaborate on each position by giving important facts, achievements, and figures that describe you as a great professional. It’s not necessary to include your entire employment history . Tailor your job mentions so that you impress your future employer with the most relevant work experiences for this specific job ad. This also keeps your resume short, clean, and concise.

If you can name percentages, numbers or specific projects that prove your productivity in past jobs - do so. Did you help save your company money? Did you participate in a company-wide initiative? Did you lead a design team? Maybe you increased the score of user reviews for an online service. Recruiters appreciate specific data.

Each position should be outlined in the following approximate format:

  • Job title , company name, location of employment
  • Month and year started and left the position
  • Between three and six bullet points briefly outlining your results and role at the company

It’s a great idea to keep a separate file or list with what you can consider to be your milestones, achievements, projects, and numbers. The skills section: competencies and superpowers

The skills section is your professional feature list, your superpowers, and your abilities. 

This is where you pass your first “competency test”. This part is more pragmatic than the Summary because recruiters and automated systems will be appraising your skills based on a certain checklist. If something is missing from a hiring manager's wish list, you can be sure they will quiz you on your suitability during an interview.

Moreover, there are certain hard skills (and sometimes - even soft skills, once again, check out our Nurse or teacher guides as an example) that are absolutely necessary for a position. So here are two important pieces of advice: prioritize what you include and analyze the job description! Use the same words to describe your skills that the employer uses in the literature about the role.

Space is finite and you may have many skills. Make sure the ones you describe (especially at the top) are the ones that fit the job listing.

Even the most seasoned professionals often confuse hard and soft skills, as in certain job areas, the line can be blurry. The rule of thumb is that soft skills mostly relate to interpersonal interactions, emotional intelligence, organization and leadership.

Hard skills are pragmatic and often technical competencies that are often requirements for getting a certain dream job. For example, a certain programming language in a developer position. Or using a certain type of software for an office administrator job. They relate to your everyday duties in terms of pragmatic actions.

Writing skills on your resume

Education: a story of growth and intelligence

The education section varies in importance depending on your profession and industry. 

For example, in our Web Developer guide , we emphasize the fact that formal education isn’t a make-it-or-break-it factor. Many developers are self-taught to a certain extent. However, no good resume is complete without some sort of education section, and many employers strongly value a formal degree.

Like in many other situations, there is no “one size fits all” approach to education sections. Professions like lawyers, doctors and hard-sciences positions (chemist, biologist, etc.) will have a very strong emphasis on formal education. You may even want to include scientific or similar publications in your resume for some of these (in your Education section or in a separate category). Academic CVs will likely contain a long list of academic publications.

Reverse Chronological doesn’t only apply to your Employment History. Your education should also showcase the most recent and impressive academic achievements first.

It’s important to note that in our era of accessible information and technology, your education listing can include things like online certificates, bootcamps, specialized seminars or courses and so on. How long should my resume be in 2024?

An effective resume in 2024 needs to be long enough to cover all the necessary information, yet not so long that it will dilute your story. Find that perfect balance.

Technology and psychology: ATS checks and recruiters

But there are still two vitally important aspects to making your resume that perfect professional key: interacting with Applicant Tracking Systems and understanding how a recruiter views your resume.

Applicant Tracking Systems (ATS) has become ubiquitous for large and medium-sized employers in most developed countries around the globe. With the amount of applications and potential employees coming in each month, human specialists can’t always keep up.

So, instead of expanding recruiting departments to ludicrous sizes, employers are using automated systems to help with hiring. The task of an ATS is to analyze, filter (and sometimes score) your resume based on keywords. It may even morph your resume into a different format for the hiring manager.

A study by Preptel shows that, in general, 75% of resumes (U.S. data) are never seen by human eyes. Automated filters can become a resume black hole. So, understanding how the ATS works is important.

One of the big reasons for using online tools instead of text editors is that ATSs are often inflexible. They process your resume based on a specific algorithm. Should you include resume references?

While every resume should include a summary, work experience, education, and skills sections, whether you should include references from previous employers is far less clear-cut. Let’s explore this in more detail .

But here’s the thing: you only have 7.4 seconds to make an impression on potential employers , according to a 2018 eye-tracking study by Ladders. In that short timeframe, recruiters will make up their mind on whether you’re application and résumé is worthy of an interview , or if they should keep the doors firmly shut.

It’s a tricky situation to navigate, but we’ve got you covered. Whether you’re just entering the world of work , looking for a new job, or changing careers , this step-by-step guide will help you write a résumé that gets you noticed and, most importantly, hired.

1. Do some prep work

Before you start writing your résumé, it’s a good idea to:

  • review the job description (take note of specific requirements, and highlight important keywords and phrases)
  • write a list of important duties and responsibilities you performed in your previous positions, especially those that pertain to the job you’re applying for now
  • write down all your achievements from previous positions, along with figures and data that quantify those achievements
  • create a master list of your soft skills and hard skills.

Why do this? By gathering all this information, you’ll be better equipped to craft a tailored résumé , which in itself shows employers your genuine interest in the role and that you understand their needs — and, in effect, gives yourself an advantage over the other candidates.

2. Choose the right format

Now that you’ve completed the prep work, it’s time to start writing your résumé. This begins by determining and choosing the résumé format that best matches your specific career situation.

There are three main formats: chronological , functional/skills-based , and combination/hybrid .

Here’s a quick rundown of each one:

3. Add a header

At the top of your résumé, always add a header that includes your name (typically in a larger font size), phone number, email address, LinkedIn profile and location.

You can also optionally add the following, if applicable:

  • a link to your personal website or online portfolio
  • links to your professional social media pages
  • your personal details (like marital status and date of birth) if you’re applying for jobs in countries where it’s customary to include this information
  • a professional photo of yourself , particularly if you’re a creative professional or applying for a customer-facing job.

Make sure you use the exact same header of your résumé in all supporting documents, including your cover letter and list of references. This ensures consistency in terms of personal branding.

4. Write a standout headline

The résumé headline (or résumé title) is one of the most underutilized elements of a great résumé .

It’s essentially a short sentence that summarizes your key skills and industry experience, typically placed right after your résumé’s header and before your summary section (but it can be placed immediately after your name). When done right, a headline can help you make a great first impression, catch the hiring manager’s attention, and convince them you’re the perfect candidate.

Headlines are ideal for candidates with a lot of experience, as it’s a great way to condense your value to potential employers into a snappy one-liner, but everyone can (and should) consider adding one to their résumé.

Make sure your headline:

  • includes keywords from the job ad
  • incorporates achievements (like years of experience, number of awards won or dollar amount of sales)
  • includes certifications and licenses
  • is limited to a maximum of two lines
  • uses title case
  • is free of clichés and buzzwords like “motivated”, “go-getter” and “synergy”.

5. Craft a strong career summary or career objective

Every great résumé begins with a strong career summary or career objective .

Though they both are placed at the beginning of a résumé and intended as an introduction, they do have some key differences. Here’s a quick comparison between the two:

Incorporates metrics to prove your achievements using percentages, years, dollar amounts, etc

Whichever you choose to use (you can even combine the two by including a one-sentence objective at the end of a summary), make sure it:

  • is tailored to the job you’re applying for
  • demonstrates your value
  • is concise (typically 3–5 lines long).

Here’s a useful tip: write this section last. Why? Because once you have the rest of your résumé planned out, it will be easier to pick out the things you want to show off here.

6. Detail your work experience

The work experience section is perhaps the most important element of your résumé — and the one that recruiters care most about. It gives potential employers an idea of your employment history and whether you have the skills and knowledge to succeed in the role.

You should only list the positions that are relevant to the job you’re currently applying for in this section, which should be formatted as individual entries in reverse-chronological order (i.e. starting from your most recent position first and then working backwards through time).

Each entry should include:

  • your position/job title
  • the name of your employer
  • the location of where you are working/have worked
  • dates of employment
  • a short optional description of the company if it’s not a household name
  • a bulleted list of 4–6 of your most notable achievements (make sure to start each list item with an action word ).

If you want to showcase experience from a previous career or that is otherwise unrelated to the job you’re applying for, you can do this by creating another section titled “Additional Experience”. In this case, you should replace the company description and list of achievements with an optional job summary, limited to two lines at most.

7. List your education

Up next is the education section , where you should list your academic experiences as separate entries.

  • the type of qualification you earned or are working towards
  • the name of your school
  • the school’s location
  • years attended.

You can also optionally add the following, particularly if you’re an entry-level jobseeker:

  • relevant coursework
  • any awards and honors you received
  • your academic achievements
  • relevant extracurricular activities.

Always begin this section with your highest education first, and then list everything else in reverse-chronological order. That said, don’t include your high school experience if you’ve completed a university degree.

8. Showcase your skills

The skills section of your résumé  is intended to give employers an at-a-glance view of all your know-how that makes you the perfect candidate for the job. It should comprise a mix-and-match of your most relevant soft and hard skills.

There are many different ways you can list your skills in your résumé, including:

  • as a bulleted list (with an optional short description for each skill)
  • by category (such as “Technical Skills”, “Soft Skills” and “Languages”)
  • by rating each skill with a consistent metric to show your proficiency

As a general rule of thumb, you should list between five and 10 skills here. Depending on your background and the required experience for the position, you can list more, but limit the number to 20. Ultimately, the skills you include in your résumé should be directly relevant to the job.

9. Add other optional sections

If you have other key accomplishments and qualifications you weren’t able to mention elsewhere on your résumé, and which will help you further demonstrate your suitability for the position, consider including additional sections, such as:

  • Achievements
  • Awards and honors
  • Certifications and licenses
  • Hobbies and interests
  • Memberships and affiliations
  • Military experience
  • Publications
  • Testimonials
  • Volunteer work

Again, make sure that the content of any additional sections is tailored to the job you’re applying for.

10. Proofread your résumé

Before you submit your résumé to potential employers for consideration, make sure you thoroughly proofread it — and then proofread it again . This is essential as it can save you from a potentially embarrassing — and job-costing — typo like “attention to derail ” or “ ruining the company’s global operations”.

Beyond proofreading your résumé for grammar and spelling errors , you should also:

  • confirm that your contact details are up to date and correct
  • ensure that dates, names (including those of employers and schools), and figures and percentages are correct
  • check that links work and point to the correct addresses
  • make sure that dates, numbers, bulleted lists, and fonts are formatted consistently.

It’s a good idea to ask a trusted friend or relative to look over your résumé after you’ve proofread it yourself. After all, they might find typos you missed, and can even offer you valuable feedback on content and layout.

How to write a resume that gets interviews

Here’s a quick overview of the basic steps for writing a professional resume. Follow these steps to make your resume clear, concise, and appealing.

Gather all relevant data about your work experience, skills, achievements, and education.

Select a format that’s right for you, whether it’s chronological, functional, or hybrid., clearly list your name, phone number, email, and key social media profiles., create a compelling headline that includes the job title you’re applying for., write a brief statement that summarizes your key achievements and value you offer., list the skills you have that align closely with the job requirements., detail your past job roles, responsibilities, and accomplishments., include your educational degrees, certifications, and relevant training., showcase any relevant honors, awards, and volunteer work., tailor your resume by focusing on the experiences and skills that are most relevant to the job..

Before you start working on your resume, remember that your resume is not your biography. You’re not telling the story of your life. Instead, your resume should be a targeted document meant to showcase the skills and experiences that match the job you want .

This means that if something is not relevant to your targeted job, leave it out . With this in mind, let’s start building your resume!

1. Gather your essential information before you start

Before diving into the actual resume writing, it’s crucial to collect all the necessary information you’ll need. This preparatory step ensures that the resume writing process is smooth and that you don’t miss any important details.

  • Significant achievements : List standout accomplishments from previous roles that demonstrate your contributions and successes.
  • Skills : Compile a list of your soft, hard, and technical skills that align with those required by the job you’re targeting.
  • Employment history : Provide detailed information about past employers, including their names, your dates of employment, locations, job titles, and a clear description of your duties.
  • Education : Document your academic qualifications like college degrees, certifications, or licenses that prove your expertise in relevant fields.
  • Volunteer work : Include any voluntary engagements where you developed skills pertinent to the job you are seeking.
  • Awards and honors : Mention any notable recognitions you’ve received that underscore your exceptional talents and commitment.

When you gather your information, include everything you can think of. You can cut information that’s not relevant to a specific job later.

2. Choose a resume format that’s right for you

A  resume format  is the way you organize, or lay out, your information. There is no one-size fits all resume format. Instead, there are three different types of formats to choose from – chronological, functional, and hybrid. Which format you choose depends on your particular situation.

The chronological resume format

This is the most traditional resume format, especially for job seekers with lots of relevant experience.

The chronological resume format lists your work history in reverse chronological order , with your most recent jobs listed first. Your skills and education should come after your work history in this format.

  • Have a strong work history showing steady career growth without significant employment gaps.
  • Are staying in the same field and want to highlight your experience and advancements within that field.
  • Want to highlight career progression and professional achievements over time.

The functional resume format

This resume format focuses on your skills rather than your work history. It helps you downplay your lack of experience in a particular field.

In this format, your skills and education should be emphasized over your work history.

  • Are changing careers and want to emphasize transferable skills over past job titles.
  • Have gaps in employment and want to focus on skills rather than work experience.
  • Are new to the workforce and want to highlight skills, coursework, and internships.

NOTE : Generally speaking, we don’t recommend the functional resume format . Recruiters want to see some kind of work history. Instead of the functional format, try the next resume format—the hybrid.

The hybrid resume format

A hybrid resume is a combination of the chronological resume and the functional resume. It showcases both your work history and your skills.

In this format, your skills comes before your work history. But your work history is still the heart of your resume, just like in the chronological format.

  • Have lots of skills that are relevant to the job you are targeting.
  • Are climbing the career ladder within the same field.
  • Are changing roles within the same industry and want to highlight your relevant skills.

We like the hybrid resume  because it offers the best of both worlds, combining the strengths of the chronological and the functional resume formats.

3. Put your contact information at the top of your resume

This section might appear simple, but it’s important. If hiring managers can’t contact you, you won’t get an interview.

  • Phone number
  • Location (City, State, Zip Code)
  • Email Address
  • LinkedIn profile URL

It’s surprising how often job seekers forget a crucial piece of contact information. Double-check to make sure it’s as easy as possible for recruiters to contact you for a job interview.

Contact information do’s and don’ts

  • Include your full name, including your middle initial.
  • Include a link to your professional website or online portfolio.
  • Create a strong LinkedIn profile and be sure to include the URL on your resume.
  • Don’t write your full address; only your city, state, and zip code.
  • Don’t include a work phone number; only your personal number.
  • Don’t add a photo of yourself . This can lead to bias or discrimination.

4. Create a compelling resume headline

Your resume headline comes right after your contact information. At the very least, your headline should clearly identify the title of the job you’re applying for.

Is putting the job title in the headline necessary? Yes! “Think of your resume as a maze,” says resume expert Laura DeCarlo . “It has to have a visible entrance or no one would ever get started.” Without a headline, “the prospective employer won’t know for which position you are applying.”

Your headline can also include years of experience and key qualifications. Here’s an example:

  • Keep your headline under ten words to make sure it packs a punch.
  • Position yourself as an expert in your field.
  • Don’t use clichés such as “hard worker” or “team player.” Be specific.
  • Don’t be too salesy. Focus on giving a snapshot of your skills and experience.
  • Don’t make your headline too long. Cut to the chase.

5. Write your resume summary

A resume summary is a brief paragraph that provides an overview of your qualifications for the role you’re applying for. Most expert resume writers today highly recommend using a summary.

“One of the most common mistakes I see in resumes is the absence of a targeted introductory paragraph at the beginning of the resume,” says career coach Suzanne Berger . “Keep in mind that recruiters or hiring managers only spend 10 to 20 seconds reviewing your resume, so it is important to make an impact from the start.”

As you can see from the following example, your summary goes right under your resume headline:

Your resume summary should include a concise overview of your key qualifications, professional achievements, and skills that are relevant to the job you are applying for.

Here’s a formula you can use to write your summary, followed by an example:

[Your Professional Title] with [Years of Experience] years of experience. Proven track record in [Top Achievement 1] and [Top Achievement 2] . Skilled in [Skill 1] , [Skill 2] , and [Skill 3] . Known for [Unique Value or Strength] .

Marketing Manager with 8 years of experience . Proven track record in increasing online engagement by 40% and boosting lead generation by 30% . Skilled in content creation, data analysis, and strategic planning . Known for exceptional organizational skills and the ability to manage and inspire teams to exceed corporate objectives .

Resume summary do’s and don’ts

  • Use numbers to show that you are able to produce tangible outcomes.
  • Incorporate keywords from the job description whenever possible.
  • Write your resume summary last because you’ll then have a fuller picture of your experiences and skills.
  • Don’t just list your job duties; instead focus on your accomplishments.
  • Don’t use personal pronouns (I, me, or my).
  • Don’t make your summary too long; keep it to no more than 3-4 sentences.

6. Create your skills section

When we talk about keywords, we are mostly talking about skills .

There are two main types of skills— hard and soft . Hard skills are specific abilities you learn through education or training, like using certain software or speaking a foreign language. Soft skills are more about how you work and interact with others, such as teamwork, communication , and flexibility.

You should place your skills section under your resume summary. List your skill set using bullet points, either in columns or in a bullet-point format. Try to include 10 to 20 key skills in this section.

IMPORTANT! The way the same skill is worded in a job description can vary from company to company. This is why it’s crucial to tailor each resume to the job you’re applying to.

For example, here are three different ways of listing essentially the same skill:

  • Customer Service
  • Client Relations
  • Customer Support

If the job description lists “customer support” and you have “customer service” on your resume, the hiring manager might not find your resume when searching through the ATS database — even though you do have that skill.

7. Create a compelling work history section

Now it’s time to get to the heart of your resume – the  work experience  section. This is the section employers will spend the most time looking at when they consider your resume.

Why is this section so critical? Because it’s where you provide the proof to support what you said about yourself in your resume headline, summary, and skills section.

Each job should include the following information and be listed in reverse-chronological order (latest job first).

  • Company name and location – Include the full name of the company you worked for followed by the city and state of its location.
  • Job title – Be as specific as possible to ensure that employers know exactly what your role was within the company.
  • Start and end dates – Include the month and year for each position. If you only list the year, it may appear as though you are omitting information.
  • Achievements and responsibilities – These can be listed using bullet points. Include hard numbers and metrics wherever possible.

One of the biggest mistakes people make when writing a resume is only listing their job responsibilities. These are tasks that you’re expected to perform as part of your job.

Listing your job responsibilities gives a potential employer an idea of what you did day-to-day. But it doesn’t reveal  how well you did it.

This is why it’s important to highlight your specific accomplishments. For example, if you increased sales, reduced costs, or implemented new processes or technologies, be sure to mention these accomplishments.

8. Create your education and certification section

Your education section should appear after your work experience. If you’re applying to a job that requires extensive education (like medicine, law, or academia), you’ll need to be more detailed. But most job seekers can get away with providing only the following information on their resume:

  • Name of the degree/certification: Write the full name of the degree or certification. Use commonly accepted abbreviations (e.g., B.A. in English, MBA, PMP).
  • Institution name: Include the name of the university or institution that awarded the degree or certification.
  • Location (optional): List the city and state if the location is relevant to the job or if the institution is well-known.
  • Graduation date: Mention the month and year of graduation. For certifications, you can also include an expiration date if applicable.

Education section do’s and don’ts

  • Bold your degree so that it stands out.
  • List your education in reverse-chronological order.
  • Include any relevant coursework, skills training, licenses, and certifications .
  • Don’t mention your high school if you have a college degree.
  • Don’t disclose your GPA unless you graduated recently and had a very impressive academic career (3.5 GPA plus).
  • Don’t list an advanced degree if the job doesn’t require it.

9. Showcase honors, awards, and volunteer work

The key to this section is to only include honors and awards that are relevant to the job you’re applying to.

This can get a little tricky because if you do have honors or awards that are highly relevant, consider including them in your summary section. Otherwise, hiring managers might miss them if you only list them at the bottom of your resume.

If you have any  volunteer experience , it’s generally a good idea to add it to your resume.

According to a LinkedIn survey , 20% of employers say they have hired a candidate because of their volunteer experience. The survey also showed that job seekers who volunteer are 27% more likely to be hired than non-volunteers!

  • The name of the organization.
  • The dates of your service.
  • A brief description of your duties and responsibilities.

10. How can you tailor your resume to a specific job position?

Tailoring your resume to each specific job is not just recommended; it’s imperative . This is because most companies today use ATS computer software to manage and filter the enormous amount of resumes they receive.

When you submit your resume, it goes into an ATS database . Hiring managers search the ATS database for suitable resumes by typing keywords, or skills, into the ATS search bar. If your resume contains these keywords it will be found. If it doesn’t contain the right keywords, your resume will remain in the ATS database, unseen.

To tailor your resume, you must first read the job description. This is where you’ll find the keywords to add to your resume. Make sure you add those keywords exactly as they are written in the job description .

Effective resume formatting tips

Properly formatting your resume makes it easy for hiring managers to find what they’re looking for. At the same time, good formatting helps the ATS understand your resume.

Remember, if the ATS can’t read your resume you won’t get the job!

Choose a professional, easy-to-read font like Arial, Calibri, or Times New Roman in size 10 to 12 for text and 14 to 16 for headings.

Creating a good resume without any work experience might seem tough, but you can still make a strong impression on employers by highlighting your skills and activities. Here’s how:

In many cases, your resume is the first document a hiring manager will look at when reviewing your application, and therefore is a true “first impression.” Accordingly, it’s important to put time and effort into developing and maintaining an updated, accurate resume.

List the Details . Make sure to include the name of the company, its location, dates of employment, and several bullet points describing your role and responsibilities for each position you list. Although you may need to expand on the bullet points later on, you’ll need this information at the minimum.

Include Your Experience and Accomplishments. Although this should focus on professional work experience, you can also include awards or accolades,  volunteer or community experience , post-grad coursework, and  skills , as well as your  college education , which can move to the bottom of your resume once you get your first job after college.

Focus on Your Achievements. When writing the descriptions for the jobs you’ve held, focus on  what you accomplished in each position  rather than what you did. Listing quantifiable achievements in a  numerical manner  (increased sales by 20%, reduced expenses by 10%, for example) will help your resume stand out.

If it’s challenging (and it can be!) to write resume descriptions that will catch the attention of the hiring manager, review these tips for  how to make your resume employment history sound better —and get you picked for an interview.

There are some things that don’t belong on a resume for a job.  What you exclude  is just as important as what you include. Ideally, your resume should reflect experience that is relevant to the job you are applying to, and typically no more than ten to fifteen years in the past. Since your resume should, if possible, be no longer than  one or two pages , you may need to nix certain items.

For example, if you took a job and only stayed there for a month or so, you wouldn’t want to include that position. If you’ve been out of college for more than five years, it’s generally best to remove any internships you’ve had, assuming you have other professional work experience to fill the gap.

However, this is a case where you’ll want to use your common sense. If you went to college for marketing and had a marketing internship your senior year, then worked as a server for the next several years, you would want to include your marketing internship.

Ultimately, you want to try to strike a balance between including experience that is both timely and relevant.

How to Format Your Resume 

It's important to  choose a font and font size  that are legible and will leave enough white space on the page.

You also want to keep style features (such as italics, underlining, bold, and the use of  bullets ) to a minimum; reserve the use of boldface for section headings and for quantifiable achievements that you would like to have “pop” on the page (example: “Secured and fulfilled  $1.5M  contract”).

When you use a particular style, use it consistently. That is, if you bold one section header, make sure to bold all of them. 

You should use consistent spacing throughout, and evenly sized margins on all sides if possible. It’s generally best to stick to your word processor’s default settings, but in some cases, if you shrink the margins on the left, right, top and bottom, this can help buy more space to  fit your resume on one page .

Although visual or infographic resumes have become trendy in some industries, it is always a safe bet to stick with traditional formatting: white page, black text, readable font. Choose a  basic font  such as Arial, Times New Roman, Calibri, Helvetica, or Georgia. Ideally, your font size should be no larger than 12 and no smaller than 10.5.

Even if you are only sending in copies digitally, it is a good idea to print your resume (as it’s possible that hiring managers may be doing so) to be sure it prints on a single page, and is easy to read in printed form. Reading over a printed copy of your resume will also help you ensure that there is plenty of white space on the page and it looks professional.

Most companies use recruiting management software to screen candidates for job openings. 

In order to get found, your  resume needs to contain keywords  that directly target the jobs you are interested in.

Spend some time  matching your qualifications to the job  to ensure you're including the appropriate keywords and skills. In addition to helping your resume get selected, it will also help the hiring manager see how your skills and experiences make you an ideal candidate for the specific job.

  • Check for grammar and spelling errors as well as any style inconsistencies.
  • Always print it out and proofread a hard copy. That helps to catch errors.

In the short term, you should  tweak your resume based on each job you apply to . For example, if one position you’re applying to seems to weigh a certain responsibility or focus over another, you should be sure your resume conveys your expertise in this area.

At the same time, you should be updating your resume with your experience as it develops, adding any new skills you’ve learned, courses you’ve taken or awards you won.

It is much easier to update your resume periodically than all at once, so even when you’re employed, set a reminder to refresh your resume every three months, while the information is still fresh in your head. Imagine you've got everything covered in your resume : You listed your past experiences, included keywords from the job description, and pared it down to design elements an applicant tracking system (ATS) can parse. Now it’s an accurate representation of your professional qualifications—but you still can’t shake the feeling that who you are as a person is getting a bit lost. That’s where a resume profile comes in.

Adding this section to your resume is a good way to show more of your personality while still being professional. Curious? Read on to find out exactly what a resume profile is, and how to write yours—including examples.

What is a resume profile?

A resume profile is a few concise sentences or bullet points that can be placed at the top of your resume (below the header). It “describes who you are as a professional,” says Muse career coach Yolanda Owens , founder of CareerSensei and who also worked as a college corporate recruiter for more than 20 years.

Career professionals don’t all agree on the exact contents of a resume profile, or even on whether it’s different from a resume summary . So you have a bit of flexibility in how you think about yours and what you include in it.

For example, you might think of a resume profile as a way to “tell the reader who you are, what you do, and what you’re looking for,” so that you can grab their attention and “quickly showcase your accomplishments,” says Muse career coach and former recruiter Jennifer Smith , founder of Flourish Careers .

Or you might approach your resume profile like Owens does, as the equivalent to “a dating profile that describes how you see yourself at work, and the type of work environment that makes you feel productive and purposeful.”

What’s the difference between a resume summary and a profile?

While some career coaches may use the terms resume summary and resume profile interchangeably, others treat them differently.

The first is a quick synopsis of the relevant experiences and skills you bring to a role. The latter can do the same, but it can also focus on your traits and achievements, your story as a professional, and your desires for your next role.

At this point, you might be wondering: If a resume profile includes what you’re looking for in your next role , how is it different from a resume objective ? Some people say that resume objectives are outdated at best and a waste of space at worst. If that’s true, why is a resume profile acceptable?

The difference lies in “the additional context that’s included in the profile,” says Smith. A traditional objective merely states what you’re looking for and maybe a vague reason why. But “the profile goes deeper into who you are and what you do” in addition to what you’re looking for next, connecting your past and present to your future.

Is a resume profile necessary? Who should use it?

Resume profiles can be advantageous for all job seekers, Smith says, especially for those “who are changing either their role or industry.” If you’re a career changer , a strong, explicit resume profile will give you space to tell the reader right up front that, no, you didn’t apply to this job by mistake—this is the next step in your career and here’s why.

Resume profiles are also particularly useful for entry-level job seekers who may need to tie their education and other experiences together more explicitly. If a candidate is writing an entry-level resume , Owens suggests that they “use the profile section to explain what they’re looking for in terms of challenges and learning, and the skills they possess that could potentially add value.”

What to include in a resume profile

Think about what you’d want the person reading your resume to know first. Is it something about your qualifications or your biggest accomplishment? Is it how well you work with others or what your personality adds to a team? This is what should go into your resume profile. You have a few sentences (or bullets) to work with, so don’t restrict yourself to highlighting just one thing.

Here are a few types of information that you can include in a resume profile, according to our coaches:

  • Relevant skills and experiences
  • Relevant achievements and accomplishments
  • Years of experience
  • Strengths as a professional (both soft and hard skills )
  • Signature traits related to the job
  • Personal traits that contribute to your work
  • Qualities you’re looking for in your next role, team, or company
  • Willingness to relocate (if you’re applying to a job not near the location listed on your resume)

What are recruiters looking for in a resume profile?

Don’t underestimate the power of a good first impression to get someone to keep reading the rest of your resume with interest. “The resume profile has an ability to quickly convince a recruiter that the person is a strong, qualified candidate,” says recruiter and Muse career coach Steven Davis , founder and CEO of Renaissance Solutions .

But recruiting isn’t just about making sure candidates have the right skills, Owens says. Recruiters also need to get a feel for whether the team and work environment will be a good match for the candidate long term.

Candidates’ skills and experiences should be well represented throughout their resumes, so as a recruiter, Owens most often “looked at the profile as a way to get a sense of their work persona and gauge environment fit for the role.”

How to write a profile for a resume : 5 steps

Once you know what recruiters and hiring managers are looking for in your resume profile and what you’d like to portray, you can follow these tips as you write your own:

1. Keep it concise

Your resume profile should be no more than four sentences or bullet points, and should not have more than 500 characters. Remember recruiters read dozens of resumes daily, so you don't want yours to be unnecessarily long and tiring.

2. Find the format the suits you best

Decide if you want to use either bullet points or paragraph form. Your resume profile can be written as bullet points, but keep in mind that bullet points often take up more space than a paragraph. “To preserve real estate on the resume and attempt to keep it to one to two pages , I always recommend using paragraph format,” Owens says.

3. Consider the position you're applying for

Tailor your profile to the job, but not so much that it’s not true to who you are. If your resume profile is closer to a summary that highlights your key qualifications and accomplishments as they relate to a given job, you should be tailoring it very carefully for each application and incorporating keywords from the job description.

However, if your resume profile is more of a personal (but still professionally appropriate) description of yourself, Owens recommends against tailoring it to match each job: “What you don’t want to do is try to tell employers what you think they want to hear,” she says, if it doesn’t reflect who you are. “That’s how you end up in positions where you’re ultimately unhappy.”

4. Quantify your experiences and accomplishments

Whenever possible, quantify your experiences and accomplishments by adding numbers, percentages, and other metrics to your resume profile. Keep in mind that recruiters nowadays not only want to know what you did, but also what you achieved and the exact results of your work.

5. Show some personality

While the rest of your resume won’t let much of your personality shine through, your profile gives you an opportunity for creativity. If you’re applying to a casual company, you can add a splash of personality, but if you’re applying to a more formal organization, it’s best to keep things more buttoned up.

What to Say When Emailing a Resume (with Examples)

You've written the perfect resume and tailored it to the role you're aspiring to. What should you do next? A few years back, you'd have printed it off on some quality paper, addressed an envelope in your best handwriting, posted it off, and settled in to wait for a response. These days, though, it's more common to email your resume. It's faster, it's more professional, and it's easier to share a file than a printout.

But if you're going to email your resume, what should you say? Should you attach a cover letter? How much detail should you include?

Should I email my resume?

Yes! It's absolutely fine to email your resume when you apply for a job. In fact, it's usually preferred to printed correspondence these days. Of course, the most important point is that you should follow the instructions on the job posting. If it requests a printed resume or a resume uploaded via an online portal, you should definitely apply in line with those instructions. However, if there are no specific instructions, an email application is advisable. Just make sure you're addressing it to the right person!

General rules for emailing your resume

Before we get into the specifics, let's refresh on some general guidelines for emailing your resume to a company. After all, first impressions count, so using proper email etiquette is important.

Use a professional email address. “ HotLips69@...” may have seemed cool and funny when you set up the account, but does it really convey that you're a credible professional? If necessary, set up a new email account to use for job applications – and remember to check it regularly for responses!

Add a clear subject line. Make the point of your email clear with a logical  subject line – you could include the job title of the vacancy you're applying for, for example, or refer to the fact that the email is a job application or resume.

Choose a professional greeting. Think “Dear [name],” or even just “[name],” rather than “Hiya” or “Greetings.” While email is less formal than a letter, you still need to keep the tone professional.

Be concise. Short,  snappy paragraphs are easier to read on a screen, and no one wants to trudge through pages of waffle to find the information they need. Respect the reader's time by keeping it simple.

Add a formal sign-off. A version of “thank you” and your name is sufficient – you may also want to add your professional title, a contact number, and a link to your portfolio if you have one.

Don't forget the attachments! Make sure that you've actually attached your resume (and your cover letter, if required). Ensure they have sensible file names, too: “Jay Miller – Resume” or “J Miller – Sales Executive Resume” is more professional and easier to retrieve than something like “JM 010224 v3” or simply “Resume.” Also, double-check the file type that you're sending – check out our article  Word vs PDF  if you're not sure.

What to say when emailing your resume – the detail

So now we've reviewed the basics of email etiquette, let's get down to business. You need to know what to say when emailing a resume. Well, the exact wording will vary depending on the situation, the role, and your personality, but you'll certainly need to include the following:

Why you're emailing

Your reader may have a ton of open vacancies and is likely to receive many resumes for each one. Make their life easier by clearly stating the role you're interested in applying for. If you have a reference number for the vacancy, you can include that too.

Your elevator pitch

Briefly explain who you are , what you do, and why you're the right person for the open role. This doesn't need to take up a lot of space or be very detailed – the key thing here is to be convincing enough for them to want to open your resume document to find out more. Include whatever information is most pertinent to the role – that could be your academic qualifications, your industry experience, awards and accolades, or particular skills. Refer to the job posting to find out what the company wants to see in a successful candidate and ensure the requirements are reflected in your email.

A call to action

Encourage the reader to open your resume, reach out with further questions, or schedule an interview. This one little line can show your enthusiasm for the role, emphasize your professionalism, and prompt your reader to take the next step in progressing your application.

Should you attach a cover letter when emailing a resume?

How long does it take to hear back after emailing a resume?

Don't panic if you don't hear back immediately! While email is a speedy way to apply, recruiters and hiring managers receive many resumes for every open role and need time to sift through them, create shortlists, and schedule interviews. That said, certain recruiters have a reputation for ghosting unsuitable candidates, or your application may simply have been overlooked, so there's no harm in following up after a week or two if you haven't heard anything.
