9.3 Organizing Your Writing

Learning objectives.

  • Understand how and why organizational techniques help writers and readers stay focused.
  • Assess how and when to use chronological order to organize an essay.
  • Recognize how and when to use order of importance to organize an essay.
  • Determine how and when to use spatial order to organize an essay.

The method of organization you choose for your essay is just as important as its content. Without a clear organizational pattern, your reader could become confused and lose interest. The way you structure your essay helps your readers draw connections between the body and the thesis, and the structure also keeps you focused as you plan and write the essay. Choosing your organizational pattern before you outline ensures that each body paragraph works to support and develop your thesis.

This section covers three ways to organize body paragraphs:

  • Chronological order
  • Order of importance
  • Spatial order

When you begin to draft your essay, your ideas may seem to flow from your mind in a seemingly random manner. Your readers, who bring to the table different backgrounds, viewpoints, and ideas, need you to clearly organize these ideas in order to help process and accept them.

A solid organizational pattern gives your ideas a path that you can follow as you develop your draft. Knowing how you will organize your paragraphs allows you to better express and analyze your thoughts. Planning the structure of your essay before you choose supporting evidence helps you conduct more effective and targeted research.

Chronological Order

In Chapter 8 “The Writing Process: How Do I Begin?” , you learned that chronological arrangement has the following purposes:

  • To explain the history of an event or a topic
  • To tell a story or relate an experience
  • To explain how to do or to make something
  • To explain the steps in a process

Chronological order is mostly used in expository writing , which is a form of writing that narrates, describes, informs, or explains a process. When using chronological order, arrange the events in the order that they actually happened, or will happen if you are giving instructions. This method requires you to use words such as first , second , then , after that , later , and finally . These transition words guide you and your reader through the paper as you expand your thesis.

For example, if you are writing an essay about the history of the airline industry, you would begin with its conception and detail the essential timeline events up until present day. You would follow the chain of events using words such as first , then , next , and so on.

Writing at Work

At some point in your career you may have to file a complaint with your human resources department. Using chronological order is a useful tool in describing the events that led up to your filing the grievance. You would logically lay out the events in the order that they occurred using the key transition words. The more logical your complaint, the more likely you will be well received and helped.

Choose an accomplishment you have achieved in your life. The important moment could be in sports, schooling, or extracurricular activities. On your own sheet of paper, list the steps you took to reach your goal. Try to be as specific as possible with the steps you took. Pay attention to using transition words to focus your writing.

Keep in mind that chronological order is most appropriate for the following purposes:

  • Writing essays containing heavy research
  • Writing essays with the aim of listing, explaining, or narrating
  • Writing essays that analyze literary works such as poems, plays, or books

When using chronological order, your introduction should indicate the information you will cover and in what order, and the introduction should also establish the relevance of the information. Your body paragraphs should then provide clear divisions or steps in chronology. You can divide your paragraphs by time (such as decades, wars, or other historical events) or by the same structure of the work you are examining (such as a line-by-line explication of a poem).

On a separate sheet of paper, write a paragraph that describes a process you are familiar with and can do well. Assume that your reader is unfamiliar with the procedure. Remember to use the chronological key words, such as first , second , then , and finally .

Order of Importance

Recall from Chapter 8 “The Writing Process: How Do I Begin?” that order of importance is best used for the following purposes:

  • Persuading and convincing
  • Ranking items by their importance, benefit, or significance
  • Illustrating a situation, problem, or solution

Most essays move from the least to the most important point, and the paragraphs are arranged in an effort to build the essay’s strength. Sometimes, however, it is necessary to begin with your most important supporting point, such as in an essay that contains a thesis that is highly debatable. When writing a persuasive essay, it is best to begin with the most important point because it immediately captivates your readers and compels them to continue reading.

For example, if you were supporting your thesis that homework is detrimental to the education of high school students, you would want to present your most convincing argument first, and then move on to the less important points for your case.

Some key transitional words you should use with this method of organization are most importantly , almost as importantly , just as importantly , and finally .

During your career, you may be required to work on a team that devises a strategy for a specific goal of your company, such as increasing profits. When planning your strategy you should organize your steps in order of importance. This demonstrates the ability to prioritize and plan. Using the order of importance technique also shows that you can create a resolution with logical steps for accomplishing a common goal.

On a separate sheet of paper, write a paragraph that discusses a passion of yours. Your passion could be music, a particular sport, filmmaking, and so on. Your paragraph should be built upon the reasons why you feel so strongly. Briefly discuss your reasons in the order of least to greatest importance.

Spatial Order

As stated in Chapter 8 “The Writing Process: How Do I Begin?” , spatial order is best used for the following purposes:

  • Helping readers visualize something as you want them to see it
  • Evoking a scene using the senses (sight, touch, taste, smell, and sound)
  • Writing a descriptive essay

Spatial order means that you explain or describe objects as they are arranged around you in your space, for example in a bedroom. As the writer, you create a picture for your reader, and their perspective is the viewpoint from which you describe what is around you.

The view must move in an orderly, logical progression, giving the reader clear directional signals to follow from place to place. The key to using this method is to choose a specific starting point and then guide the reader to follow your eye as it moves in an orderly trajectory from your starting point.

Pay attention to the following student’s description of her bedroom and how she guides the reader through the viewing process, foot by foot.

Attached to my bedroom wall is a small wooden rack dangling with red and turquoise necklaces that shimmer as you enter. Just to the right of the rack is my window, framed by billowy white curtains. The peace of such an image is a stark contrast to my desk, which sits to the right of the window, layered in textbooks, crumpled papers, coffee cups, and an overflowing ashtray. Turning my head to the right, I see a set of two bare windows that frame the trees outside the glass like a 3D painting. Below the windows is an oak chest from which blankets and scarves are protruding. Against the wall opposite the billowy curtains is an antique dresser, on top of which sits a jewelry box and a few picture frames. A tall mirror attached to the dresser takes up most of the wall, which is the color of lavender.

The paragraph incorporates two objectives you have learned in this chapter: using an implied topic sentence and applying spatial order. Often in a descriptive essay, the two work together.

The following are possible transition words to include when using spatial order:

  • Just to the left or just to the right
  • On the left or on the right
  • Across from
  • A little further down
  • To the south, to the east, and so on
  • A few yards away
  • Turning left or turning right

On a separate sheet of paper, write a paragraph using spatial order that describes your commute to work, school, or another location you visit often.

Before you start to write any document, it is helpful to have a broad plan in mind setting out what information you intend to include, and in what order. This is known as the structure of your document or text.

Developing this structure or framework will save you time as you write. It will ensure that you include all the necessary information, without any unnecessary detail. It will also help to improve the flow of the writing.

This page describes the process of developing a suitable structure for any document. It also provides some examples, although many more exist online and in study guides.

Why Use a Structure?

Developing a structure or framework for your writing will ensure that the most important points are covered at the appropriate point in the writing.

A framework or structure will also allow you to break down the daunting task of writing a longer document into more manageable sections.

For example, being asked to write a 10,000-word report is an intimidating prospect. However, you can use a framework to decide that you will need 500 words in an introduction, 2,000 to explain the methods you used, 2,500 to set out your results, and so on. Writing a 500-word introduction is a much less daunting task than writing a 10,000-word report.

Adhering to your framework will also prevent you from writing too many words for one section and then having to delete these to make enough room for another section.

Developing a Structure

There is no one set structure or framework that covers all possible forms of written communication.

Check Before You Begin!

Your first step in developing a structure is to check whether one already exists.

For example, if you are writing a business document, or something at work, your employer may already have a template for that document. If you are a student, there may be a required structure for each kind of written assignment.

Checking first will save you considerable time developing your own structure, or putting your document into the correct structure later.

If there is no outline structure provided, you will need to develop one.

However, don’t panic, because there are many examples of structures for different forms of writing available on the web and within study guides. You really do not need to reinvent the wheel.

Start by searching for a suitable example using your keywords (for example, ‘factual news article’, or ‘business report’). You can then compare outline structures, and decide which one you think will work.

If you really cannot find a suitable outline, then you will have to develop one.

A Process for Structure Development

There are broadly two options for structuring documents.

‘Chronological’, or the order in which you have developed your thinking.

Academic writing generally takes this form. You start with background and previous research, then describe your methods, results, and conclusions, setting this into the context of previous research. Finally, you put forward proposals for future research.

Non-chronological, which follows the order in which the reader needs the information.

Business writing often takes this form, because executives tend to want to read the conclusions or recommendations first. If they don’t understand or support these, then they want more information about how the ideas were developed. They usually know the background, so that is often included in an appendix, rather than the main text.

Some Tips for Deciding Your Structure:

It is a good idea to start by thinking about your conclusion or recommendations , and decide whether you want those upfront, or at the end. This depends chiefly on your readers’ need.

Consider whether you need to include any background, and if so, how much . To decide this, again consider your reader. You can then decide if you want to include the background early on (because your audience needs this information), or if it can be included as an appendix for anyone who wants to read it later.

Decide when and where to include the arguments supporting your conclusion or recommendations.

This will probably give you enough clues to decide on a chronological or non-chronological structures. Beyond that, you will need to be flexible to decide what is most appropriate for your purposes.

It’s not set in stone!

When you are developing a suitable structure, remember that it is not set in stone. You do not have to use it rigidly. Even within an organisational outline, there will be some flexibility.

The structure is designed to help you and your reader, not to constrain you and make your life difficult.

You will probably have realised by now that perhaps the most important consideration is your audience. There is more about this process of understanding your readers’ needs in our page on Know Your Audience .

Once you have decided whether you are using a chronological or non-chronological structure, set out some possible headings and sub-headings for your document. These should allow you to set out all the necessary information, in a logical order.

Using Your Structure

The next step is to start to populate the structure with notes about what content to include.

Under each heading in the structure, make a note of the required information. You can then start to fill in the sections in more detail.

You will often be able to use the titles of the main sections in your structure as headings and subheadings within the text . These help the reader to navigate through the piece.

However, even if you are not expected to use the section titles in the finished document, they will still help you to structure your writing into the desired framework.

You don’t need to write in the final order

One of the most useful aspects of a structure is that you do not need to write your document in the final order. Instead, you can move about the document, writing different sections to follow your train of thought.

For example, some people find that it is helpful to start with their conclusion or recommendation. This means it is clear in their mind as they write their supporting arguments.

In academic writing, it is common to start with the methods, because this is often the easiest section. The introduction or background may be written early, but will often need much more work once you have developed your conclusions.

Whatever structure you choose to use, you should constantly check that you are adhering to it. If you find that your structure does not work, then revisit it to see whether another structure might be more appropriate.

You should also check the flow of your text as you write. Paragraphs and sections should flow logically from one to the next. Conclude one subject area before introducing another. Hopping from one topic to another with no clear structure confuses the reader and demonstrates a lack of clarity.

Examples of Structures for Written Work

Two examples of common structures for writing different types of communication are provided below . Remember that these are simply examples, and many variations on these frameworks exist.

A Written Report

Reports are always presented in sections and subsections, because they contain a lot of information. This needs to be organised in a way that makes sense to the reader.

Sections are often numbered, and long reports generally include a title page and a table of contents.

Example Structure:

  • Contents Page (with headings, subheadings and page numbers)
  • List of Illustrations (optional)
  • Acknowledgements (optional)
  • Abstract/Summary/Executive Summary
  • Introduction which may be combined with the next section.
  • Background/Literature Review
  • Research Methods/Methodology
  • Findings/Analysis
  • Recommendations ( optional; in some business situations, this section may be included at the beginning of the report )
  • Further research
  • References/Bibliography

A Press Release

A press release is a written statement to the media. They are used by organisations to try to generate a news story.

Journalists receive numerous press releases every day. The key aim is therefore to capture their interest quickly and show them that you have a good story for them, which will repay their attention.

In this example, the headings and subheadings provided below should not be included within the press release. They are only to help you structure the text.

  • Statement “For immediate release” or “Embargoed until (date and time)” as appropriate
  • Headline (a short, attention- grabbing summary of the story)
  • Photo opportunity (optional)
Paragraph 1 Lead Sentence : Summarise the story - who, what, where, when and why. All key information needs to be in this paragraph. It needs to keep the reader’s interest and follow on from the headline. Paragraph 2 : Include more details to flesh out the story that you outlined in the first paragraph Paragraph 3 : Quotes from someone relevant to the story. Each quote should make one point. If you wish to include more than one point here, use quotes from different people. Paragraph 4 : Any additional relevant information Contact Information Note for Editors (background information; whether you can offer interviews or additional pictures; any additional relevant information)

A final thought

A structure is chiefly useful in ordering your thoughts, and helping your reader to navigate your document.

As you develop your structure, and then use it to write your document, you therefore need to keep these aspects in mind.

Structure: Introduction

The introduction of an essay is very important because it establishes the purpose and scope of the essay - what problem is the essay addressing and what specific aspects of the problem will be examined? It should act as a guide to the reader, indicating that you will be taking them on a planned and orderly journey.  The introduction may include the following elements:

  • Establish the issue that the essay addresses and why it is interesting or significant
  • Provide academic context - theoretical perspectives, history of the issue (space permitting)
  • Indicate your aim and your approach (this may include your theoretical lens and/or your thesis)  
  • Outline the essay structure (introduce the separate parts of the essay, or aspects of the issue, in the order that they will be discussed)

The introduction is about 10% of your word count, which can help you to decide how much weight to give each of the elements above. A short, 200-word introduction should briefly deal with 1, 3 and 4 above at a minimum.

A thesis statement introduces the main ideas of your essay, acts as a guide the the reader, and gives structure to your work.

Structure: The Body of the Essay

In the body of the essay, you will develop arguments to support your thesis. Each argument should consist of  points that are supported by evidence. 

Longer essays may be divided into  headings and sub-headings  (check module leader's guidance - some departments discourage the use of headings). 

Develop a plan for your points and decide which points should be discussed first.

Progress from general points to more specific points (for example, move from theory to application of theory to cases).

Divide your discussion into themes in which related points are grouped together. 

Strong Paragraphs

Strong paragraphs are essential to a well-written essay.  

A paragraph is a group of sentences that are linked coherently around one central topic/idea.   Paragraphs are the building blocks of academic writing. Each paragraph should do a specific job, moving the argument forward and guiding the reader through your thought process.

Paragraphs should be 10-12 lines long, but variations are acceptable. Do not write one-sentence long paragraphs; this is journalistic style, not academic.

Strong paragraphs

You need to write so-called strong paragraphs wherein you present a topic, discuss it and conclude it, as afar as possible.  Strong paragraphs may not always be feasible, especially in introductions and conclusions, but should be the staple of the body of your written work. 

Topic sentence : Introduces the topic and states what your paragraph will be about

Development : Expand on the point you are making: explain, analyse, support with examples and/or evidence.

Concluding sentence : Summarise how your evidence backs up your point. You can also introduce what will come next.

PEEL technique

This is a strategy to write strong paragraphs. In each paragraph you should include the following:

P oint : what do you want to talk about?

E vidence : show us!

E valuation : tell us how the evidence does in fact support your point

L ink : what's coming next? OR how does this paragraph link to your major argument?

Paragraph bridges

Paragraphs may be linked to each other through "paragraph bridges". One simple way of doing this is by repeating a word or phrase.

Structure: Conclusion

In many respects, the conclusion is the most important part of your essay, and it is also the simplest. During your essay you have presented the evidence, and now you must round up the argument. You will need to:

  • Summarise the key themes discussed (for example, briefly highlight the key points that you have made during the main body of the essay).
  • State your general conclusions (your conclusions should be based on the evidence discussed in the main body of the essay. They should not be a surprise to the reader). If taking a discussion-led approach to your essay, you need to make sure you reach a decision on the topic you discussed.
  • Directly address and answer the question (for instance, if you have been asked ‘to what extent do you agree’ with a statement you will need to indicate the level to which you agree; if you have been asked ‘what are the most important factors’ you will need to identify them).
  • Consider recommendations or new possibilities (for example, you could highlight why your conclusions are significant and/or what further work or research needs to be done to address the issue).
  • Do not add new material (new information and evidence should be discussed within the main body of the essay).

why is the structure of an essay important

The purpose of this resource is to:

  • Explain why the structure of your essay is important
  • Provide a basic, standard structure for academic essays
  • Suggest a practical strategy for creating a structure for your particular essay
  • Give you an opportunity to test your learning

Why does structure matter?

University writing consists of multiple genres (types of writing). These include reports, presentations, case studies, annotated bibliographies, reflective assignments, essays, and many others. In each case, a particular structure is used to achieve a specific purpose.

For academic essays, a simple, flexible structure is used to present an academic argument (or series of arguments).

Usually, your tutors will set a question or series of questions in the assignment brief, and your essay’s argument(s) will be a response to these. However, in some assignments, you may be given the option of developing your own question.

In either case, a well-organised essay structure will help you to:

  • Guide your reader through your argument
  • Make all your ideas clear
  • Be more persuasive
  • Demonstrate to your marker that you are answering the question
  • Discuss similar or related ideas together
  • Avoid including irrelevant or repetitive information

The basic structure of an essay

Academic essays have the same basic structure:

Introduction

  • List of references

In the diagram below, the top triangle indicates a progression from general to specific information, while the bottom one indicates the reverse.

Introduction, Main Body, and Conclusion

An introduction is usually approximately 10% of the word count. Unless your introduction is over 250 words, it is usually best to present your introduction as one paragraph. This strategy helps signal the transition from your introduction into your main body.

Your introduction needs two primary elements:

  • Background information , i.e. context for the essay 
  • Preview of your essay

Background information orientates your reader ahead of reading your essay. Start with broader information and then narrow your focus.

You will need to include:

  • Key context, definitions
  • Reasons why the topic is important, relevant or interesting (to ‘hook’ your reader’s interest)
  • References for any definitions, statistics, ideas of other writers, etc.

Providing a preview of your essay , helps set the reader’s expectations. Choose one or more of the following options to best suit your essay:

  • A purpose statement summarising the aim(s) of the essay.

e.g. ‘This essay will discuss/examine/consider…’

  • An indication of your approach to answering the question.

e.g. ‘To do so, the [theory/model/approach] will be used.’

  • A thesis statement summarising your main conclusion for the essay.

e.g. ‘This essay argues that…’

  • A roadmap or outline of the sections of your essay.

e.g. First, [item one] will be presented; second, [item two] will be analysed…

  • A thesis statement is often a good choice because it presents your main claim upfront. This means your argument will be clearer to the reader.
  • Including keywords from the assignment brief will give your marker

The main body is where you present your answer to the essay question. In other words, this is where you provide your argument.

What is the main argument?

At a minimum, an academic argument is made up of two components:

  • A claim , i.e. your answer to a question in the brief
  • Support for the claim , i.e. logical reasons and evidence to convince your reader of your answer to the question(s) in the brief

Note: In many cases, an essay question requires more than one argument, or a series of sub-arguments. You may also have more than one question to respond to in the assignment brief.

A good academic argument often recognises complexity. For example, a simple “Yes” to the question “Does exercise benefit mental health?” is unlikely to get you a good grade, even if it is well-evidenced.

An argument can be strengthened by including critical thinking. For example, by considering:

  • Implications
  • Limitations
  • Potential objections
  • Counter arguments
  • The quality and/or relevance of your evidence
  • Alternative interpretations of your evidence

Organising your argument

Your argument will need to be organised into a series of main points. Each point has its own paragraph. Your main body will be organised like this:

  • Main point 1
  • Main point 2
  • Main point 3

There are various models of paragraph structure which can help you organise the sentences within your paragraph. There are some resources in the reference list you may want to use. However, whichever model you use, each paragraph will need at least:

  • A topic sentence: This summarises the main point of the paragraph.
  • Evidence and/or examples: This is where you convince your reader.

In addition, your markers are also likely to expect your paragraph to end with:

  • Criticality: Evaluation or analysis of your point and/or evidence. You may also link your point back to your wider argument here.

When moving onto a new point, it can be hel ful to use signal phrases such as ‘first’, ‘secondly’, ‘similarly’, ‘in contrast’, ‘next’ or ‘finally’ at the start of the next paragraph.

Conclusions remind the reader of what you have argued. This is your chance to ensure your reader takes away the main points you want them to remember.

Orgnaise your conclusion in the following way:

  • Restate your claim
  • Avoid adding new points or information here
  • e.g. general recommendations, ideas for future research, etc.

Referencing

Your references should usually be on a separate page and laid out according to the referencing style required by your department.

Creating the structure of an essay

Writing your plan.

Attempting to develop a structure for your essay can feel daunting, and we all plan differently.  Before writing your plan , ensure you fully understand the question(s) in the brief. This may require background reading. Then undertake focused, critical reading that allows you to develop an answer to the questions in the brief and to provide evidence your argument.

You may want to use this step-by-step strategy to develop a robust essay plan that presents your argument clearly.

Step 1. Express your claim concisely

Write an answer to the question(s) in the brief in one or two sentences. You can use these sentences as a basis for your thesis statement in the introduction and your conclusion.

Step 2. Identify your main points

These are the points that will make up your main body and together add up to constitute your argument. You can use these key points to write your paragraph’s topic sentences within the body of your essay.

Step 3. Organise your points

Arrange your points in a logical sequence. For example, you could organise your points in the following ways:

  • Thematically (i.e. theme #1, theme #2…)
  • Problem then solution(s)
  • Most important factor to least important factor

Step 4. Identify support for your points

This may be from your reading (e.g. data, evidence, theory, examples) and/or from your case study, if you have been given one. You may need to do additional research at this stage if you don’t feel your points are well-supported.

Step 5. Add any counter-arguments

You can include two types of counter-arguments:

A counter-argument in response to your wider argument . This will require at least one paragraph to:

  • Explain and evidence this alternative viewpoint
  • Present a well-developed rebuttal (i.e. to what extent this counter argument should be rejected and why)
  • Come to a conclusion (e.g. entirely reject the alternative viewpoint, or modify your original claim)

A counter-argument in response to individual points in the main body . These can be located within the paragraph about the relevant point or as a separate paragraph. These counter-arguments will still require a rebuttal and a conclusion, but this may be less in-depth.

Revising the structure

Once you have drafted your essay, you may need to revise your structure. For example, you may need to reorder your paragraphs, add a new paragraph, or delete a paragraph. This is a normal part of the writing process.

Essays allow you to demonstrate your in-depth knowledge of a topic based on research and reading.  The focus of an essay is to develop an argument or analyse ideas rather than write a description. 

An essay is written in paragraphs and has a set structure of an introduction, a body and a conclusion.

Structure of an academic essay

  • Introduction
  • Reference List

The introduction begins with a general statement that establishes the focus of the essay.  It then outlines the main ideas of the essay and the order in which they will be discussed.  

The body contains a number of paragraphs that link together to present a strong argument or analysis of the topic.  There should be one main point per paragraph.

Every paragraph starts with a topic sentence which states the main idea of that paragraph.  This is followed by supporting sentences that fully explain and expand on the main idea raised in the topic sentence.  This explanation needs to be supported by evidence including quotes, examples or statistics.  The paragraph is finished with a concluding sentence that summarises the paragraph.  

The purpose of the conclusion is to summarise the main points and draw them together to make a final comment on the topic presented in the essay.  Do not introduce any new information or include quotes in your conclusion.

Your reference list includes the full reference for every source cited within your essay.  SIT requires APA 7th edition for referencing, so make sure all your references are formatted correctly.

Essay Layout

Introduction:

  • A general statement that establishes the focus of the essay.
  • Outline the main ideas of the essay and the order in which they will be discussed.

Organise your essays to demonstrate your knowledge, show your research and support your arguments

Essays are usually written in continuous, flowing, paragraphed text and don’t use section headings. This may seem unstructured at first, but good essays are carefully structured.

How your assignment content is structured is your choice. Use the basic pattern below to get started.

Essay structure

An essay consists of three basic parts:, introduction.

The essay itself usually has no section headings. Only the title page, author declaration and reference list are written as headings, along with, for example, appendices. Check any task instructions, and your course or unit handbook, for further details.

Content in assignment introductions can vary widely. In some disciplines you may need to provide a full background and context, whereas other essays may need only a little context, and others may need none.

An introduction to an essay usually has three primary purposes:

  • To set the scene
  • To tell readers what is important, and why
  • To tell the reader what the essay is going to do (signposting)

A standard introduction includes the following five elements:

  • A statement that sets out the topic and engages the reader.
  • The background and context of the topic.
  • Any important definitions, integrated into your text as appropriate.
  • An outline of the key points, topic, issues, evidence, ideas, arguments, models, theories, or other information, as appropriate. This may include distinctions or contrasts between different ideas or evidence.
  • A final sentence or two which tells the reader your focal points and aims.

You should aim to restrict your introduction to information needed for the topic and only include background and contextual information which helps the reader understand it, or sets the scene for your chosen focal points.

In most essays you will have a considerable range of options for your focus. You will be expected to demonstrate your ability to select the most relevant content to address your focal points.

There are some exceptions. For example, if an assignment brief specifically directs the essay focus or requires you to write broadly about a topic. These are relatively rare or are discipline-specific so you should check your task instructions and discipline and subject area conventions.

Below are examples of an opening statement, a summary of the selected content, and a statement at the end of the introduction which tells the reader what the essay will focus on and how it will be addressed. We've use a fictional essay.

The title of our essay is: 'Cats are better than dogs. Discuss.'

To submit this essay you also would need to add citations as appropriate.

Example of opening statements:

People have shared their lives with cats and dogs for millenia. Which is better depends partly on each animal’s characteristics and partly on the owner’s preferences.

Here is a summary of five specific topics selected for the essay, which would be covered in a little more detail in the introduction:

  • In ancient Egypt, cats were treated as sacred and were pampered companions.
  • Dogs have for centuries been used for hunting and to guard property. There are many types of working dog, and both dogs and cats are now kept purely as pets.
  • They are very different animals, with different care needs, traits and abilities.
  • It is a common perception that people are either “cat-lovers” or “dog-lovers”.
  • It is a common perception that people tend to have preferences for one, and negative beliefs about and attitudes towards, the other.

Example of closing statements at the end of the introduction:

This essay will examine both cats’ and dogs’ behaviour and abilities, the benefits of keeping them as pets, and whether people’s perceptions of their nature matches current knowledge and understanding.

Main body: paragraphs

The body of the essay should be organised into paragraphs. Each paragraph should deal with a different aspect of the issue, but they should also link in some way to those that precede and follow it. This is not an easy thing to get right, even for experienced writers, partly because there are many ways to successfully structure and use paragraphs. There is no perfect paragraph template.

The theme or topic statement

The first sentence, or sometimes two, tells the reader what the paragraph is going to cover. It may either:

  • Begin a new point or topic, or
  • Follow on from the previous paragraph, but with a different focus or go into more-specific detail. If this is the case, it should clearly link to the previous paragraph.

The last sentence

It should be clear if the point has come to an end, or if it continues in the next paragraph.

Here is a brief example of flow between two summarised paragraphs which cover the historical perspective:

It is known from hieroglyphs that the Ancient Egyptians believed that cats were sacred. They were also held in high regard, as suggested by their being found mummified and entombed with their owners (Smith, 1969). In addition, cats are portrayed aiding hunters. Therefore, they were both treated as sacred, and were used as intelligent working companions. However, today they are almost entirely owned as pets.

In contrast, dogs have not been regarded as sacred, but they have for centuries been widely used for hunting in Europe. This developed over time and eventually they became domesticated and accepted as pets. Today, they are seen as loyal, loving and protective members of the family, and are widely used as working dogs.

There is never any new information in a conclusion.

The conclusion usually does three things:

  • Reminds your readers of what the essay was meant to do.
  • Provides an answer, where possible, to the title.
  • Reminds your reader how you reached that answer.

The conclusion should usually occupy just one paragraph. It draws together all the key elements of your essay, so you do not need to repeat the fine detail unless you are highlighting something.

A conclusion to our essay about cats and dogs is given below:

Both cats and dogs have been highly-valued for millenia, are affectionate and beneficial to their owners’ wellbeing. However, they are very different animals and each is 'better' than the other regarding care needs and natural traits. Dogs need regular training and exercise but many owners do not train or exercise them enough, resulting in bad behaviour. They also need to be 'boarded' if the owner is away and to have frequent baths to prevent bad odours. In contrast, cats do not need this level of effort and care. Dogs are seen as more intelligent, loyal and attuned to human beings, whereas cats are perceived as aloof and solitary, and as only seeking affection when they want to be fed. However, recent studies have shown that cats are affectionate and loyal and more intelligent than dogs, but it is less obvious and useful. There are, for example, no 'police' or 'assistance' cats, in part because they do not have the kinds of natural instincts which make dogs easy to train. Therefore, which animal is better depends upon personal preference and whether they are required to work. Therefore, although dogs are better as working animals, cats are easier, better pets.

Trying to devise a structure for your essay can be one of the most difficult parts of the writing process. Making a detailed outline before you begin writing is a good way to make sure your ideas come across in a clear and logical order. A good outline will also save you time in the revision process, reducing the possibility that your ideas will need to be rearranged once you've written them.

The First Steps

Before you can begin outlining, you need to have a sense of what you will argue in the essay. From your analysis and close readings of primary and/or secondary sources you should have notes, ideas, and possible quotes to cite as evidence. Let's say you are writing about the 1999 Republican Primary and you want to prove that each candidate's financial resources were the most important element in the race. At this point, your notes probably lack much coherent order. Most likely, your ideas are still in the order in which they occurred to you; your notes and possible quotes probably still adhere to the chronology of the sources you've examined. Your goal is to rearrange your ideas, notes, and quotes—the raw material of your essay—into an order that best supports your argument, not the arguments you've read in other people's works. To do this, you have to group your notes into categories and then arrange these categories in a logical order.

Generalizing

The first step is to look over each individual piece of information that you've written and assign it to a general category. Ask yourself, "If I were to file this in a database, what would I file it under?" If, using the example of the Republican Primary, you wrote down an observation about John McCain's views on health care, you might list it under the general category of  "Health care policy." As you go through your notes, try to reuse categories whenever possible. Your goal is to reduce your notes to no more than a page of category listings.

Now examine your category headings. Do any seem repetitive? Do any go together? "McCain's expenditure on ads" and "Bush's expenditure on ads," while not exactly repetitive, could easily combine into a more general category like "Candidates' expenditures on ads." Also, keep an eye out for categories that no longer seem to relate to your argument. Individual pieces of information that at first seemed important can begin to appear irrelevant when grouped into a general category.

Now it's time to generalize again. Examine all your categories and look for common themes. Go through each category and ask yourself, "If I were to place this piece of information in a file cabinet, what would I label that cabinet?" Again, try to reuse labels as often as possible: "Health Care," "Foreign Policy," and "Immigration" can all be contained under "Policy Initiatives." Make these larger categories as general as possible so that there are no more than three or four for a 7-10 page paper.

With your notes grouped into generalized categories, the process of ordering them should be easier. To begin, look at your most general categories. With your thesis in mind, try to find a way that the labels might be arranged in a sentence or two that supports your argument. Let's say your thesis is that financial resources played the most important role in the 1999 Republican Primary. Your four most general categories are "Policy Initiatives," "Financial Resources," "Voters' Concerns," and "Voters' Loyalty." You might come up with the following sentence: ÒAlthough McCain's policy initiatives were closest to the voters' concerns, Bush's financial resources won the voters' loyalty.Ó This sentence should reveal the order of your most general categories. You will begin with an examination of McCain's and Bush's views on important issues and compare them to the voters' top concerns. Then you'll look at both candidates' financial resources and show how Bush could win voters' loyalty through effective use of his resources, despite his less popular policy ideas.

With your most general categories in order, you now must order the smaller categories. To do so, arrange each smaller category into a sentence or two that will support the more general sentence you've just devised. Under the category of "Financial Resources," for instance, you might have the smaller categories of "Ad Expenditure," "Campaign Contributions" and "Fundraising." A sentence that supports your general argument might read: "Bush's early emphasis on fundraising led to greater campaign contributions, allowing him to have a greater ad expenditure than McCain."

The final step of the outlining process is to repeat this procedure on the smallest level, with the original notes that you took for your essay. To order what probably was an unwieldy and disorganized set of information at the beginning of this process, you need now only think of a sentence or two to support your general argument. Under the category "Fundraising," for example, you might have quotes about each candidate's estimation of its importance, statistics about the amount of time each candidate spent fundraising, and an idea about how the importance of fundraising never can be overestimated. Sentences to support your general argument might read: "No candidate has ever raised too much money [your idea]. While both McCain and Bush acknowledged the importance of fundraising [your quotes], the numbers clearly point to Bush as the superior fundraiser [your statistics]." The arrangement of your ideas, quotes, and statistics now should come naturally.

Putting It All Together

With these sentences, you have essentially constructed an outline for your essay. The most general ideas, which you organized in your first sentence, constitute the essay's sections. They follow the order in which you placed them in your sentence. The order of the smaller categories within each larger category (determined by your secondary sentences) indicates the order of the paragraphs within each section. Finally, your last set of sentences about your specific notes should show the order of the sentences within each paragraph. An outline for the essay about the 1999 Republican Primary (showing only the sections worked out here) would look something like this:

Joseph R. Biden Jr. ran for the White House as a sharp critic of President Donald J. Trump’s crackdown on trade with China. In office, though, he has taken Mr. Trump’s trade war with Beijing and escalated it, albeit with a very different aim.

The two men, locked in a rematch election this fall, share a rhetorical fondness for beating up on China’s economic practices, including accusing the Chinese of cheating at global trade. They also share a building-block policy for countering Beijing: hundreds of billions of dollars in tariffs, or taxes, on Chinese imports. Those tariffs were first imposed by Mr. Trump and have been maintained by President Biden.

On Tuesday, Mr. Biden will announce that he is increasing some of those tariffs. That includes quadrupling electric vehicle tariffs to 100 percent, tripling certain levies on steel and aluminum products to 25 percent, and doubling the rate on semiconductors to 50 percent.

But Mr. Biden’s trade war differs from Mr. Trump’s in important ways. Mr. Trump was trying to bring back a broad swath of factory jobs outsourced to China. Mr. Biden is seeking to increase production and jobs in a select group of emerging high-tech industries — including clean energy sectors, like electric vehicles, that Mr. Trump shows little interest in cultivating.

Mr. Biden has pulled more policy levers, some of them created by Mr. Trump. He has imposed more restrictions on trade with China, including limiting sales of American technology to Beijing, while funneling federal subsidies to American manufacturers trying to compete with Chinese production.

And in a sharp break from Mr. Trump’s go-it-alone posture, Mr. Biden’s strategy relies on bringing international allies together to counter China through a mix of domestic incentives and, potentially, coordinated tariffs on Chinese goods.

As they compete for the White House again, Mr. Biden and Mr. Trump are both promising to further increase trade pressure on China, which both men accuse of unfair trade practices that disadvantage American workers. Here is how their plans overlap, and where they diverge sharply.

Mr. Trump’s plan includes more tariffs and less trade.

Mr. Trump broke decades of political consensus by pushing aggressive restrictions on trade with China as president. He imposed tariffs on more than $360 billion worth of Chinese products, including toys, electronics and household furnishings, drawing retaliatory tariffs from Beijing.

In 2020, he struck an agreement with Chinese officials that called for China to increase its purchases of exported goods from America, including agricultural products, and carry out a series of economic reforms. China came nowhere close to fulfilling those terms . Lael Brainard, the director of Mr. Biden’s National Economic Council, told reporters this week that the deal “did not deliver on its promises.”

Mr. Trump has pledged new efforts to sever the nations’ trading relationship if he is elected to a second term. Those include barriers to investment between the two countries, along with bans on imports of Chinese steel, electronics and pharmaceuticals. He has also proposed an additional 10 percent tariff on all imports to the United States, not just those from China. And he has criticized Mr. Biden.

Chinese officials were “petrified of me putting on additional tariffs,” Mr. Trump told CNBC in March. “And we don’t use that, China is right now our boss. They are the boss of the United States, almost like we’re a subsidiary of China, and that’s because the Biden administration has been so weak.”

Mr. Biden is building on his predecessor’s efforts.

Mr. Biden was once a critic of Mr. Trump’s tariffs. “President Trump may think he’s being tough on China,” Mr. Biden said in a 2019 speech , as a candidate for president, “but all he has delivered is more pain for American farmers, manufacturers and consumers.”

Early in Mr. Biden’s administration, his aides debated rolling back many of Mr. Trump’s taxes on Chinese imports to ease the pain of rapid price increases. They ultimately decided against it. Instead, Mr. Biden will announce on Tuesday that he is increasing tariffs on about $18 billion worth of Chinese imports, including solar cells, ship-to-shore cranes and certain medical technologies.

His administration has also imposed new restrictions on exports of American semiconductors and chip-making materials to China, and it has taken the first step to cracking down on imported Chinese smart-car technologies .

Administration officials offer economic rationale for all of those moves. But Mr. Biden is also responding to swing-state political pressures — and seeking to outflank Mr. Trump on the China issue. Last month, he called for higher taxes on Chinese heavy metal imports in a speech to steelworkers in Pennsylvania, a crucial state where polls show he is struggling to overcome voter anxiety about the economy.

And while Biden aides say his tariff approach is more targeted — and, by extension, more effective — than Mr. Trump’s, the president has notably decided not to roll back any of the original tariffs that Mr. Trump imposed on Chinese products.

A greener war, with allies this time.

Mr. Biden has tailored his policy, though. He has consciously coupled new restrictions on China trade with the strategic investments, in the form of government spending and tax credits, that he has used to entice new factory production in a handful of targeted sectors.

Perhaps no product better exemplifies the divergence between Mr. Biden and Mr. Trump on trade policy than electric vehicles. Mr. Trump sees them as a scourge, and has said efforts to accelerate their adoption will result in an “assassination” of American jobs .

Mr. Biden has signed multiple laws meant to supercharge electric vehicle production and consumption in the United States, including an infrastructure bill with funding for 500,000 charging stations and a climate law with lucrative incentives to make and sell the vehicles in the United States. They are part of an ambitious industrial strategy to build up American factory capacity for a host of clean energy technologies meant to fight climate change and to dominate advanced manufacturing industries globally for decades to come.

Mr. Biden is increasingly worried that a flood of low-cost electric cars and other goods from China could undermine those efforts, and he is using trade policy to protect his industrial investments. His tariff increases planned for Tuesday include a quadrupling of the rate on imported electric vehicles, to 100 percent.

And while Mr. Biden antagonized allies by imposing tariffs on steel and aluminum from Japan, the European Union and elsewhere, the president has sought to bring together a coalition of wealthy democracies to battle China in clean energy. His administration led an effort at the Group of 7 summit last year to outline a harmonized strategy of subsidies to compete with China’s state funding for new technologies.

Many current and former administration officials hope that cooperation will now extend to tariffs as well, starting with Europe, which is conducting its own investigations of Chinese trade practices and appears poised to raise its existing tax rate on imported Chinese electric vehicles.
