Save PowerPoint presentations as PDF files

When you save presentation as a PDF file it freezes the formatting and layout. People can view the slides even if they don’t have PowerPoint, but they can’t make changes to it.

Select File > Export .

Save a presentation as PDF

Click Create PDF/XPS Document , then click Create PDF/XPS .

In the Publish as PDF or XPS dialog box, choose a location to save the file to. If you want it to have a different name, enter it in the File name box.

Optionally, if you want to change what the final PDF file is like, do any of the following:

At Optimize for , select Standard for higher quality (for example, if you want to print it). Select Minimum size to make the file smaller (for example, if you want to send it as an e-mail attachment).

Click Options to set how the presentation will appear as a PDF. Here are some of the available options:

To save the current slide only as a PDF, under Range , select Current slide .

To save specific slides as PDF, in Slides(s) , enter the slide number range in From and To boxes.

If you don't want to save slides, but instead only save comments, handouts, or Outline view, under Publish what , select an appropriate option. You can also specify the number of slides to appear in Slides per page dropdown box, and modify the order ( Horizontal or Vertical ).

You can choose to include frame slides, hidden slides, comments, ink, non-printing information such as Document properties or Document structure tags, in your PDF by selecting the appropriate options.

Click Publish .

There are two ways to make your PowerPoint for macOS presentation a PDF.

You can save your presentation as a PDF in File > Save As .

You can export your presentation as a PDF file by going to File > Export .

Both methods do the same thing, so you can choose whichever you're more familiar with when you want to create a PDF version of your presentation.

Method 1: Save your presentation as a PDF

Select File > Save As .

Choose the location where you'd like to save your PDF, and then in the File Format menu, choose PDF.

Method 2: Export your presentation as a PDF

Set the print quality of the PDF

Features such as saving notes, saving slides as handouts, including hidden slides in the PDF, or setting the PDF to a smaller file size aren't available. However, you can set the print quality of a PDF to a higher or lower standard.

Tip:  PowerPoint for macOS doesn't preserve hyperlinks in PDFs but if you save your presentation to OneDrive you can open it in PowerPoint for the web and download as PDF from there. PDF files generated from PowerPoint for the web preserve hyperlinks, are accessible, and also tend to have a smaller file size.

You can set the print quality of the PDF to High , Medium , or Low —depending on your need. By default, the print quality is set to High—which is the optimal choice for printing a PDF. Follow these instructions to set the print quality of the PDF:

Click the PowerPoint menu > Preferences .

In the PowerPoint Preferences dialog box, click General .

Under Print Quality (Paper/PDF) , set the Desired Quality to an option of your choice.

Set the print quality of the PDF to High, Medium or Low

Click the File tab, click Download As , and then click Download as PDF . (The file is converted to PDF, and then a dialog box tells you that it is ready to download.

Click Download . A message bar appears to show you that the downloaded PDF file is ready to save to your computer. (The exact message varies depending on the web browser you're using.) 

Click Save As , and then a dialog box appears that allows you to specify where to save the file on your computer.

If you want to share your presentation with someone that doesn’t have Microsoft PowerPoint, you can save and share the file as a PDF. You can also adjust the way the slides appear on the PDF. Here's how.

When you save a PowerPoint presentation as a PDF file, the layout, format, fonts, and images of the presentation will remain the same. This lets users without access to PowerPoint view the presentation (though they are unable to edit it).

First, open the PowerPoint presentation to be saved as a PDF. Select the “File” tab and then click the “Export” option in the left-hand pane.

You’ll then be at the “Create PDF/XPS Document” tab. Here, select “Create PDF/XPS.”

Window’s File Explorer will appear. Select the location in which you would like to save your new file. You can see that the “Save as type” is now PDF. You can also rename the file as you like.

You may also notice the “Optimize for” options at the bottom-right of the window:

  • Standard: This is a high-quality version of the document, ideal for when you only plan to publish it online or print it out.
  • Minimum Size: This is a lower-quality version of the document. It’s also suitable for publishing online, but ideal for when you need to send the document as an email attachment, as it reduces the size of the file .

You can also set specific options to adjust how the file appears. To do this, click the “Options” button underneath.

The “Options” window will appear, and you have several options to choose from. Here’s a brief overview of what’s available:

  • Range: Export all slides, the current slide, or a selection of slides from your presentation.
  • Publish Options: You can choose to export only comments, handouts, or outline view here by selecting the “Publish What” option. You’re also able to dictate how many slides appear on each page, flip the slides horizontally or vertically, or give the slides a frame.
  • Include Non-printing Information: Include document properties or structure tags.
  • PDF Options: Make the document PDF/_A compliant.

Once you’ve adjusted the options, click “OK.”

Finally, back at Windows File Explorer, click “Publish.”

Your PDF is now ready to share.

How to save a PowerPoint presentation as a PDF to lock in formatting and allow anyone to view it

  • You can save a PowerPoint presentation as a PDF to lock its content and formatting in place, so that other people can view the file but can't make changes.

1. Open the PowerPoint to be converted, then click "File."

2. Select "Export" from the dropdown menu.

3. Then choose the file name, destination, and change the file format to PDF. Then click "Export."

On a Mac, you can also choose to "Save As…" and then set the File Format as a PDF to get the same result.

After you’re done creating a presentation, you might want to open it in other computers, but perhaps your presentation is not compatible with the software included in them. For this reason, having a PDF version is useful. In this tutorial, you’ll learn how to export your presentation as a PDF file in a few steps. 

Exporting without Speaker Notes, One Slide per Page

Exporting with speaker notes or with multiple slides per page.

  • Click File → Save As. Select the PDF option from the drop-down menu. Then enter a name for the file and click Save.

If you have Adobe Acrobat PDF, there are two more options available for you:

  • Click File → Save as Adobe PDF.
  • On the Home tab, click Create and Share Adobe PDF.
  • Click File → Save As. Choose the PDF option from the drop-down menu.
  • Now you can optimize the size of the document for online publication, and add data such as tags, the author or a short title. Depending on your PowerPoint version, you may need to click More Options… to access these settings.
  • To choose what will appear in the PDF document, click Options…

  • Now you can choose the slides range, the publish options, the non-printing information and other settings. To change the number of slides per page or the orientation, choose Notes pages from the Publish what drop-down menu.

Options for presentations in PDF

If you’re using a Mac and you can’t find these options, follow these steps:

  • Click File → Print… or press Cmd + P.
  • Now you can choose the slides range, the format and the orientation, the number of pages, whether you want to print it in color or in black & white, and whether to include a frame, headers, footers and speaker notes. If you decide to include speaker notes, you’ll only be able to choose one slide per page.
  • To save, click the PDF button in the lower-right corner and select Save as PDF.

In this article, you will learn how to convert PowerPoint into the PDF file format using Microsoft Office.

You DO NOT need any 3rd party software programs, websites, or add-ins to get the job done.

If you have Microsoft Office (I’m using the Office 365 Subscription), there are three ways to convert PowerPoint into the PDF file format.

  • Full page slides
  • Handouts (with comments, notes, and/or multiple pages per slide)
  • An editable Word document (then convert Word to PDF)

Why bother converting into the pdf file format.

There are two main benefits for converting PowerPoint into the PDF file format:

Benefit #1: It reduces your file size by as much as one-third, making it easier to share and email your file with your colleagues, bosses, and clients.

Benefit #2: It locks down your PowerPoint presentation and protects your content. That way someone can’t just copy and paste the content of your presentation.

If you want to further protect your PowerPoint presentation, you can alternatively add a password to open your presentation. This forces someone to enter the correct password to be able to view and edit your presentation. To see how to password protect a PowerPoint presentation, read our guide here .

Convert PowerPoint to PDF as full page slides

The fastest (and simplest) way to convert your .ppt or .pptx files into the .pdf format, is through the  Save As dialog box. While you will learn how to print your slides in a variety of different formats as a PDF later in this tutorial, saving your presentation as a PDF is the fastest way to do it.

That said, you can only use this method to save your presentation as full-page slides. If you want to print multiple slides per page or include your speaker notes in your PDF, then you will need to use one of the following methods listed below.

1. Open the Save As dialog box

The fastest way to open the Save As dialog box in PowerPoint is by hitting F12 or Ctrl + Shift + S on your keyboard.

The Save As dialog box gives you a variety of different ways you can save your presentation, including converting it into the PDF file format.

2. Open the Save As Type dropdown

Inside the Save As dialog box, open the Save as type dropdown. By default, your PowerPoint presentation will start as the PowerPoint Presentation file type as you can see in the picture below.

3. Select the PDF file format

Inside the Save As Type dropdown you will see all of the different file types you can save your PowerPoint presentation as. including a PowerPoint template, older versions of PowerPoint, PNG, etc.

Scan through the list and find the PDF file format and select it as pictured below.

One of the options worth noting in the Save As Type dropdown is the PowerPoint Template option. 

Creating a PowerPoint template is a great way to save time by creating the custom layouts you and your team specifically want to use for your pitches and presentation.

That said, before you choose this file type, make sure you set up your PowerPoint slide master correctly, so you have a template worth saving. To see how to create a PowerPoint template from scratch like this, read our guide here .

4. Choose a location and/or rename your PDF

Choose a location on your computer to save your PowerPoint presentation as a PDF. You can also rename the file if you choose.

It is important to note that because the PowerPoint and PDF file types are different, you do not need to worry about overwriting your original PowerPoint presentation with the PDF version of your presentation that you are creating.

If you make no selection, your converted PDF file will save to the last place you saved your presentation with its existing name.

5. Click Save

Once you have made all of the selections above, simply click Save to start the PowerPoint to PDF conversion process.

Once the conversion process is complete, the PDF version of your presentation will open for you to review. This is a great time to look through your PDF to make sure you didn’t lose any of your content.

6 Types of PowerPoint Content That Will Not Convert to a PDF

Because the PDF file format is meant for printing (not presenting graphics), there are six different types of PowerPoint content you will lose in the PDF conversion process.

Below I’ve listed the type of content you will lose, and any workarounds if they exist.

1. PowerPoint Animations

So there is a NEW workaround you can use to get your animations into the PDF file format using some VBA code.

On his blog, Neil Mitchell has written a macro you can install to convert your PowerPoint animations into the PDF file format.  See details on Neil’s blog here .

On the flip side, if you don’t install that macro, all of your PowerPoint animations will be removed when you convert PowerPoint to PDF.

This means that all your animated objects will be left where they are on your slide. It doesn’t matter what type of animation you had applied to them either (appear, disappear or motion path effect).

For example, if you have a list of bullet points with the Appear Animation effect applied to them, your bullets will just appear (as they are) without the animations applied to them.

Thankfully, you will not lose your bullet points.

2. Off-slide content

All off-slide content including your speaker notes, comments, formatting guides and/or graphics outside of your slide space are removed when you save your presentation as a PDF. For example, all of the content to the right of slide in the picture below counts as off-slide content as it is not on the slide itself. As such, it will be removed.

If you have off-slide content that you don’t want removed, make sure to sweep through your presentation and move it onto your slide before you save your presentation as a PDF.

3. Slide transitions and special effects

All slide transitions and timings are removed in the PDF file format.

If you need to keep your transitions and other other effects, you will want to use a different method for protecting your presentation.

4. Zoom transitions

The PDF file format does support hyperlinks, and because Zoom Transitions are a fancy form of hyperlinks, the links between your slides will properly convert to the PDF file format.

That said, the Zoom Transition effect will not convert to the PDF file format. Only the hyperlink between the slides you are Zooming between.

5. Zoom Transitions

If you have the Microsoft Office 365 Subscription, any 3D models will automatically be converted into a static picture.

6. Videos, audio and other media file types

All media files in your presentation will be converted into static pictures. The static image will either be the first frame of your video or the the poster frame you set for your video.

On top of that, any audio files, narrations and other media files will be removed from your presentation. The PDF file format is not a media rich format.

Converting Speaker Notes and Multiple Slides per Page into the PDF file format

To convert your speaker notes into the PDF file format or print your presentation with multiple slides per page, you’ll need to use the Microsoft Print to PDF printer and adjust your print layout.

The following steps assume that you have already added speaker notes to your presentation and have properly set up your Notes Master and/or your Handout Master . To learn all about how to add and format your speaker notes in PowerPoint, read our guide here .

1. Open the Print dialog box

The Print shortcut in PowerPoint is control plus P

The fastest way to open the Print dialog box is using the Ctrl + P keyboard shortcut.

If you don’t like keyboard shortcuts, you can alternatively:

  • Click the File tab
  • Select Print in the backstage view

2. Select the Microsoft Print to PDF printer

Open the Printer dropdown and select the Microsoft Print to PDF printer

Inside the Print dialog box, open the Printer dropdown and select the Microsoft Print to PDF printer.

The Microsoft Office Suite includes this Microsoft Print to PDF printer so that you can quickly and easily turn any Microsoft Office document into the PDF file format. You do not need to buy any third-party software or applications to do this.

3. Select the correct Notes Page or Handout layout

In the Print Layout options, choose either the Notes Page or select multiple slides per page

Next make the proper layout selection based on how you want your PDF presentation to look.

If you want your Speaker Notes below your slide, you will want to select the Notes Pages layout (picture on the left). If you want to print multiple slides per page, select the appropriate Handouts layout (picture on the right).

4. Click Print

After making any other final printing adjustments or customizations, click Print .

5. Choose a location and name for your PDF

Choose a location to save your PDF on your computer and a name for your new file

Inside the  Save As Print Output dialog box, select a location on your computer to save your PDF and name the file.

While you can just print to your desktop, I recommend saving the PDF in the appropriate client or project folder so you do not forget where it is. You also do not need to worry about your PDF overwriting your original PowerPoint presentation as the PowerPoint and PDF file types are different.

6. Click Save

Click Save to start the PDF conversion process

Although we are printing your presentation as a PDF with speaker notes or multiple slides per page, the final step is to click Save (not print).

This saves your presentation in the PDF file format with your speaker notes below your slides.

Final Thoughts

So those are the two different ways you can convert PowerPoint into the PDF file format, natively within the Microsoft Office program.

If you plan on converitng your presentation into the PDF file format, remember that not all types of PowerPoint content will properly convert. In this case, make sure you build your presentation with the conversion process in mind, avoiding things like animations, videos or special effects that cannot be translated into the PDF file format.

You can use these same techniques to convert your other office documents into the PDF file format too.

How to Save a PowerPoint Presentation? [PPT & Other Formats!]

Saving a PowerPoint presentation is one of the most important things that you need to do when you are creating a presentation using PowerPoint. Unlike some of the modern web-based presentation applications, you need to make sure that you save a PowerPoint presentation when you are using an offline version!

To save a PowerPoint presentation, click on the “File” tab. Then, from the backstage view, click on the “Save” option from the left panel. Choose the location or the folder where you want to save the presentation on your computer, and click on “Save”.

In this article, we shall not only understand how to save a standard PPT or PPTx file, but we shall also take a look at how to save a PowerPoint presentation in different file formats such as a PDF, video or an image!

So, let’s get started!

1. How to Save a PowerPoint Presentation?

Once you have saved a PowerPoint presentation, you can easily save it again with just one click. Furthermore, you can also save a PowerPoint presentation in other formats. However, the process of saving a PowerPoint presentation is slightly different on Windows and on Mac.

Let’s understand the process in further detail.

1a. Saving a PowerPoint Presentation on Windows

To save a PowerPoint Presentation on Windows PC, you can follow either of the 2 simple methods.

Method-1: Using the “Save” button on Quick Access Toolbar

In the Quick Access Toolbar located at the very top of the screen, click on the “Save” icon.

The “Save” icon is located on the left side in the Quick Access Toolbar and looks like a floppy disk. Clicking on the “Save” button will immediately save the PowerPoint presentation in its current location as a “.pptx” file.

If you have opened a new presentation and you are saving it for the first time, clicking on the “Save” button will open a new explorer window. Simply navigate to the folder where you wish to save the new presentation on your computer, and click on “ Save “.

Method-2: Using the “File” tab

Another, more common method is to use the “File” tab in PowerPoint to save your PowerPoint presentation.

Here’s what you need to do –

Step 1 – Click on the “File” Tab

Another way to save a PowerPoint presentation is to use the “File” menu. You have to first click on the “File” tab located at the left corner of the menu ribbon at the top of the screen.

Step 2 – Click on the “Save” option

This will open the backstage view in PowerPoint. Now, click on the “Save” option from the sidebar on the left side of the screen. This will save the Microsoft PowerPoint as a “.pptx” file in the current location.

1b. Saving a PowerPoint Presentation on Mac

On a Mac computer, you can use the “File” menu as well to save the PowerPoint presentation.

The first step is to click on the “File” menu in the menu bar located at the top of the screen (above the PowerPoint window). This will open a dropdown menu. Click on the “Save” option from the dropdown menu to save the presentation as a “.pptx” file which is the standard format for presentations.

Microsoft PowerPoint also allows you to save a presentation with keyboard shortcuts. All you have to do is press the “Ctrl+S” keys on your keyboard in an open PowerPoint file. This will save the PowerPoint presentation.

1d. Best Format to Save a PowerPoint Presentation?

PowerPoint allows you to save a presentation in various different file formats! For instance, you can use the .ppt format if you wish to open the presentation file using PowerPoint 2007 or earlier. You can use .ppsx to open presentation directly as a PowerPoint Show file that opens it in the presentation mode.

In fact, there are several other formats you can save a presentation in. We shall explore how to save a PowerPoint presentation in several different formats later in the article.

However, the best format to save a PowerPoint Presentation is a “.pptx” file. This type can support all the latest as well as the older features of the PowerPoint presentation.

If you will be opening the presentation using a different software other than Microsoft PowerPoint, “.odp” is the best format. For printing, make sure to save the PowerPoint presentation as a PDF. That said, .pptx file format can help serve these purposes too.

2. How to Save a PowerPoint Presentation as PDF

Saving a PowerPoint presentation in PDF format is the suitable method for printing out your presentation. To save the PowerPoint presentation as a PDF file, follow the 4 easy steps.

Step-1: Click on the “File” Tab

First, click on the “ File ” tab in PowerPoint to open the back stage view of PowerPoint.

In the menu ribbon located at the top of the screen, click on the “File” tab. In the “File” menu, click on the “Save As” option from the sidebar on the left side of the screen.

Step-3: Click on the “PDF (*.pdf)” option

In the “Save As” screen, click on the box that shows “PowerPoint Presentation (*.pptx)” . This will open a dropdown menu. Click on the “PDF (*.pdf)” option from the dropdown menu.

Step-4: Click on the “Save” button

Now all you have to do is click on the “Save” button beside the box to save the PowerPoint presentation as a PDF file (as shown in the image in step 2).

3. How to Save a PowerPoint Presentation as a Video?

In Microsoft PowerPoint, you can also save a presentation as a video. This allows you to play the presentation slides as a video rather than a slide show.

3a. On Windows

To save a PowerPoint presentation as a video on a Windows PC, follow the 3 easy steps.

Step-1: Click on the “File” tab

The first step is to open the “Save As” screen. To do so, click on the “File” tab in the menu ribbon. In the “File” menu, click on the “Save As” option.

Step-2: Choose the “.mp4” file format from the “Save As” tab

The next step is to click on the “Save As Options” box. It is the second box on the right side of the “Save As” screen. In the dropdown menu, click on either the “MPEG-4 Video (*.mp4)” option or the “Windows Media Video (*.wmv)” option.

Step-3: Click on the “Save” button

The final step is to click on the “Save” button (as indicated in step 2 above). It is located on the right side of the “Save As Options” box. This will save your PowerPoint presentation as a video.

To save a PowerPoint presentation as a video on a Mac device, follow the 3 simple steps.

Step-1: Click on the “Export” option

In the menu bar at the top of the screen, click on the “File” option. In the “File” dropdown menu, click on the “Export” option. This will open a dialog box.

Step-2: Click on the “File Format” box

In the dialog box, click on the “File Format” box. This will open a dropdown menu. You can click on either the “MP4” option or the “MOV” option as you prefer.

Step-3: Click on the “Export” button

In the dialog box, you can also click on the “Quality” option to select the quality of the video. Once you are satisfied with the selections in the dialog box, click on the “Export” button at the bottom (as shown in the image in the previous step). This will save the presentation as a video.

4. How to Save a PowerPoint Presentation to Open in Slideshow Mode?

Microsoft PowerPoint allows you to save the PowerPoint presentation as a “PowerPoint Show” file. This opens directly as a slideshow. To save a PowerPoint presentation to open in slideshow mode, follow the 2 easy steps.

In the open PowerPoint file, click on the “File” tab from the menu ribbon which is located at the top of the screen. In the “File” menu, click on the “Save As” option.

Step-2: Click on the “PowerPoint Show (*.ppsx)” option

In the “Save As” screen, click on the “Save As Options” box which shows “PowerPoint Presentation (*.pptx)” . This will open a dropdown menu. Click on the “PowerPoint Show (*.ppsx)” option.

Now all you have to do is click on the “Save” button to save the PowerPoint presentation to open as a slideshow.

5. How to Save a PowerPoint Presentation as an Image?

In Microsoft PowerPoint, you can save the presentation as an image in five different formats: “Animated GIF Format (*.gif)” , “JPEG File Interchange Format (*.jpeg)” , “PNG Portable Network Graphics Format (*.png)” , “TIFF Tag Image File Format (*.tif)”, and “Scalable Vector Graphics Format (*.svg)” .

To save your presentation as an image, follow the 3 simple steps.

Step-1: Click on the “Save As” option from the “File” tab

The first step is to click on the “File” tab in the menu ribbon. Then click on the “Save As” option from the “File” menu.

Step-2: Select your preferred image format

In the “Save As” screen, click on the “Save As Type” box which is the second box in the right column. From the dropdown menu, click on your preferred image format from the five available formats.

Now all you have to do is click on the “Save” button (as shown in the image in step 2) beside the “Save As Type” box. This will save your presentation in a folder containing each slide as a separate image file.

6. How to Save a PowerPoint Presentation as a Template?

A PowerPoint template is a predesigned presentation that you can edit to add your own content. To save a presentation as a template, follow the 3 easy steps.

The first step is to click on the “File” tab in the menu ribbon. Then click on the “Export” option from the sidebar in the “File” menu.

Now you have to click on the “Change File Type” option. Under the “Presentation File Types” group in the right column, click on the “Templates” option. Then click on the “Save As” button at the bottom of the screen.

In the “Save As” dialog box, you will see that the “Save as type” box shows the “PowerPoint Template” format. Now all you have to do is click on the “Save” button.

7. How to Save PowerPoint Presentation as Google Slides?

Microsoft PowerPoint does not offer any feature to upload a presentation to Google Slides directly. However, Google Slides does offer you an option to upload your PowerPoint presentation and save it in Google Slides!

Step-1: Save Your PowerPoint Presentation

The first step is to save your PowerPoint presentation using any method described in the section 1 of this article.

Make sure that you note down the location of the folder in which you have save the PowerPoint file.

Step-2: Click on the “Open file picker” option in Google Slides

Now, the next thing you need to do is open your Google Slides account by visiting slides.google.com . If you aren’t logged in, make sure you sign in with your account credentials.

Next, you will be presented with Google Slides home screen (as shown in the image above). In Google Slides, click on the “Open file picker” icon which looks like a folder. This will open the “Open a file” dialog box.

Step-2: Click on “Upload”

In the “Open a file” dialog box, click on the “Upload” tab.

From your “File Explorer” window, drag and drop the PowerPoint presentation in the dialog box. Now the presentation will automatically open in Google Slides.

You can also click on the “ Select a file from your device ” button (blue button in the center of the screen). This will open the file explorer window. Navigate to the folder in which you have saved your PowerPoint presentation, and click on “OK”. This will open and save the presentation file in Google Slides.

8. How to Save a PowerPoint Presentation to a Flash Drive?

To save a PowerPoint presentation on a flash drive or any external device, follow the 3 simple steps.

In the menu ribbon located at the top of the screen, click on the “File” tab. In the “File” menu, click on the “Save As” option.

Step-2: Click on “Browse”

In the “Save As” screen, click on the “Browse” option which is the last option in the left column. This will open the “Save As” dialog box. In the sidebar on the left of the dialog box, click on the external disc.

Now all you have to do is click on the “Save” button at the bottom of the dialog box to save the PowerPoint presentation on the flash drive (as shown in the image in step 2).

9. How to Save a Copy of a PowerPoint Presentation?

The “Save A Copy” feature of Microsoft PowerPoint allows you to save changes in your presentation in a copied file without changing the original file.

10. How to Save a Read-Only PowerPoint Presentation?

The “Read-Only” feature of Microsoft PowerPoint allows you to protect your PowerPoint presentation .

Using this feature, you can share your presentation with others without giving them the access to change your presentation. To save a read-only PowerPoint presentation, follow the steps mentioned below –

The first step is to click on the “File” tab in the menu ribbon. From the sidebar in the “File” menu, click on the “Info” option.

Step-2: Click on the “Protect Presentation” button

The next step is to click on the “Protect Presentation” option in the “Info” screen. This will open a dropdown menu. Click on the “Always Open Read-Only” option from the dropdown menu.

Step-3: Click on the “Save” option

Now all you have to do is save the presentation. To do so, click on the “Save” option in the sidebar right under the “Info” option. Alternatively, you can press the “Ctrl+S” keys on your keyboard.

11. How to Save a PowerPoint Presentation Without Notes?

When saving a PowerPoint presentation, you might want to remove the speaker notes. To do so, all you have to do is follow the 5 quick steps.

In the menu ribbon, click on the “File” tab. Then click on the “Info” option from the “File” menu.

Step-2: Click on “Check for Issues” on the “Info” tab

In the “Info” option, click on the “Check for Issues” button. Then click on the “Inspect Document” option from the dropdown menu. This will prompt a dialog box.

Step-3: Click on the “Inspect” option

In the “Document Inspector” dialog box, scroll all the way to the bottom and make sure the “Presentation Notes” option is selected. Then click on the “Inspect” button at the bottom of the dialog box.

Step-4: Click on the “Remove All” option

Once the inspection results are shown in the “Document Inspector” dialog, scroll to the bottom again to find the “Presentation Notes” option. Then click on the “Remove All” button at the right side of the “Presentation Notes” option.

Now all you have to do is click on the “Close” button at the bottom of the dialog box to finish the process.

Step-5: Click on the “Save” option

The final step is to click on the “ Save ” option in the sidebar of the “File” menu to save the presentation without notes. You can alternatively press the “Ctrl+S” keys on your keyboard.

12. How to Save PowerPoint Presentation Directly in Microsoft Teams?

If you are delivering a PowerPoint presentation to an audience using Microsoft teams, you can easily share a PowerPoint deck with your audience in the following steps –

  • First, open the Microsoft Teams application and login to the meeting.

  • On the “ Meeting Controls ” menu available in the top part of your meeting screen, locate the “ Share Content ” option.
  • Click on the share content button. This will show the most recent PowerPoint files that you opened. You can either choose to click on one of the files visible. Alternatively, scroll down on the right panel and click on the “ Browse my computer ” option.

13. How to Enable Autosave in PowerPoint Presentation?

The autosave option is only available if you are using the Microsoft Office 365 version of PowerPoint . Other than that, you will have to manually save the PowerPoint file in all other versions.

You can autosave the PowerPoint presentation to the OneDrive cloud, and also autosave recovery files. To enable autosave in PowerPoint presentation, follow the 4 simple steps.

Step-1: Click on the “AutoSave” button

To simply turn on autosave in the OneDrive cloud for the PowerPoint presentation, all you have to do is click on the slider beside the “Autosave” option.

It is located in the left corner of the Quick Access Toolbar at the top of the screen.

Step-2: Click on “Options”

To access more autosave options, click on the “File” tab in the menu ribbon. Then click on the “Options” option which is the last option in the sidebar in the “File” menu. It will open a dialog box.

Click on the “Autosave OneDrive and SharePoint Online files by default on PowerPoint” for auto-saving on the cloud. You can also select how often the auto-recovery copy is saved by clicking on the box at the right side of the “Save Autorecover information” option.

Step-4: Click on the “OK” button

Now all you have to do is click on the “OK” button at the bottom of the “PowerPoint Options” dialog box to enable your autosave preference (as shown in the image in step 2).
