How to present a PDF like a PowerPoint or convert a PDF to PPT

Sometimes, you may need to use content from a PDF file in another program such as Microsoft PowerPoint AKA convert PDF to PPT. Yet, copying and pasting can cause formatting problems. It can be difficult to clean up, so you might be tempted just to retype it to save time.

Fortunately, there are two easy ways that you can essentially present a PDF like it’s a PowerPoint presentation. One is to open your PDF in full screen. The other is to convert the PDF file into a PowerPoint presentation. Both are simple to achieve. Here’s how:

Present a PDF in full-screen mode as if it were a PowerPoint presentation.

  • Foxit PDF Editor and Foxit PDF Reader allow you to open your PDF documents.
  • Click on “View” to choose “Enter Full Screen” (or “ Slideshow ”).
  • Navigate using the arrow keys while presenting.
  • Once you are done, press the escape key and exit full-screen mode.

Converting PDF to PPT using Foxit

Foxit PDF Editor allows you to convert PDF files into Microsoft PowerPoint. This is a great way to make use of all the features that PPT files have to offer for presentations such as:

Use transitions

PowerPoint allows for smooth, customizable transitions between slides. They add motion and visual flair to your presentations. Speakers can also use transitions to express their creativity and create a transition that matches their presentation’s theme. Transitions allow content on-screen to appear at different times. This creates depth and layers.

Make easy use of video

A PowerPoint presentation can be enhanced with a video just like an image. You can use video in many different ways. If done correctly, it can be very powerful and engaging. PowerPoint allows the presentation to play a video clip and also allows for looping video backgrounds that are engaging and slick.

Give presenters familiar control

You can give your user more control over how you present by running your presentation deck in the same software it was created. PowerPoint files can be saved to ‘show mode’ so that they open on slide 1, in full screen. To create a non-linear presentation where the speaker can move from one section to another, you can use features such as ‘ zoom ‘.

Here’s how to convert your PDF file to a PowerPoint presentation:

  • Click CONVERT or select FILE > Export.
  • Choose the PPT format.
  • In the Save As dialog box, select which page(s), as well as whether the document contains images or pure text.

With Adobe Acrobat Reader, you can present a regular PDF in similar fashion to a PowerPoint presentation.

Format presentation

  • Under the "Edit" tab, click "Preferences".
  • Under the "Full Screen Navigation" Section, you can loop the presentation by checking the "Loop after last page" option.
  • You can also set the "speed" of the presentation with the "Advance every [ ] seconds" option.
  • It is recommended to leave the "Escape key exits" option checked in order to quit the presentation early.

Present PDF

  • Under the "View" tab, click "Full Screen Mode". This will start the presentation.
  • In order to end the presentation before it's finished, press Esc

Firefox includes a built-in PDF viewer to display PDF files inside the browser window. This article explains how to use the built-in PDF viewer, how to fix the common issues you might encounter, and how to use another PDF viewer.

Use Firefox’s built-in PDF Viewer

Firefox's built-in PDF viewer allows you to view almost all PDF files found on the web without an external application (exceptions to this are PDF files with a MIME type incorrectly set). The built-in viewer is used when Portable Document Format (PDF) files are set to Open in Firefox in your Firefox settings for different types of files . This is the default setting. When you click a link to a PDF file or open it from the Firefox Downloads panel , it will be rendered with the built-in PDF viewer. (To learn more about the built-in viewer, see below.)

The built-in PDF viewer will open the PDF file in Firefox without saving it.

Fill out forms in PDF Viewer

Some PDF files have interactive fields to fill in data (such as on forms). Using Firefox's built-in PDF viewer, you can fill out fields such as text, check boxes and radio buttons. After entering data into these fields, you can download the file to have the filled-out version saved to your computer.

Annotate pdf files.

Annotating a PDF allows you to add notes, highlights, and other markings directly on the document. This is especially useful for making corrections, highlighting important information, or adding personal notes for future reference.

Highlight in PDF files

Add a highlight, show/hide all highlights, edit or delete a highlight, add an image to pdf files.

In many PDF-related tasks, incorporating images can provide supplementary information to your content.

Inserting an image:

  • Click + Add image . This will prompt the file selection window.
  • Browse and select the desired image file to add it to the PDF.

Repositioning and resizing the image:

  • Drag and drop the image to your preferred location within the PDF.
  • To adjust the image size, click and drag its borders until it fits your desired dimensions.

Adding Alt Text for accessibility:

  • After adding the image, click + Alt text .
  • Write a concise description of the image for screen readers, or
  • Mark the image as decorative if it's for aesthetic purposes only.

Use a different PDF viewer for downloaded PDF files

When Firefox is set as the default PDF viewer, and you download a PDF file in Firefox and save it to your computer, you can use a different application to view those PDF files by following these steps:

  • Click the context menu item for the system default PDF viewer (for example, click Open in Adobe Acrobat Reader DC ) (for example, click Open in Preview ) to open the PDF file in that application.

Choose another PDF viewer to use by default or set Firefox to always ask

Disable the built-in pdf viewer and use another viewer.

Note: If Firefox is not your current default PDF viewer, you will be prompted to set it as the default when opening a PDF file in Firefox.

You can also set a different third-party PDF viewer to handle PDF files, instead of Firefox’s built-in PDF viewer. To switch from using the built-in PDF viewer to another viewer:

  • In the General panel, go down to the Applications section.
  • Find Portable Document Format (PDF) in the list and click the entry to select it.

Set Firefox to ask you what to do with PDF files

If you want Firefox to always ask you what to do with PDF files, follow the above steps to change the action for the Portable Document Format (PDF) entry, except select Always ask from the drop-down menu. The next time you click a link to download a PDF file, Firefox will show you a prompt asking what to do with the file. You can then choose to open it with Firefox's built-in PDF viewer, open it with a different PDF application, or you can choose to save the file.

Troubleshoot problems with the PDF viewer

  • With certain types of PDF files, the PDF Viewer may have problems displaying fonts, colors, or the whole document. If some PDF files don't render well or are blank, click the download button on the right side of the document header to open it with the default PDF viewer application on your computer.
  • If you can't open any PDF files with the built-in PDF viewer, a Firefox extension could be the cause. You can disable all of your extensions, to see if one of them was the problem. Is there a specialized Pdf viewer for Latex-Beamer presentations on Linux?

Most of the time when presenting a talk people connect their laptop to a video projector . So they effectively have an extra screen at their disposal. Because of that many Software options for presentations use the extra screen of the laptop to display notes, time left for the talk, a preview of the next slide and such information to the presenter.

I'm using LaTeX-Beamer which outputs a pdf. I'd like to have notes, a preview of the next slide and the time I have left for my talk displayed to me on the laptop screen, while the projector shows the regular presentation slides.

Ideally this program should work under Linux (Ubuntu 12.04). Does such a program exist?

So pdfpc on github (which is a forked and improved version of the pdf-presenter-console ) is the closest thing I found.

It has all the features I looked for. Regular slides on the projector, view of the next slide and the current one on the laptop. It pre-caches the slides for fast switch and can provide an overview with thumbnails for each slide (quick selection). It also plays videos . With the n one can edit notes that are stored in a text file in the same directory as the PDF, or it can show beamer slides on the side screen.

To use, one has to invoke pdfpc with a PDF file like this in terminal:

Of course one can add it to the list of applications to open PDF's with in your file-manager to make it easier. There are command line options to interchange screens, set the timer, and have it count down instead of up.

The rest is straight forward and documented in the man pages. Ubuntu man-pages are outdated, so one should consult the man pages on the site . I made a request for importing LaTeX-Beamer notes.

The latest version (4.0 and up) supports LaTeX-Beamer notes. Just use --notes={left,right,top,bottom} to match the setting in your "beamer" document:

With the above, you would use --notes=right .

Installation / Compilation

For Windows PCs it might be a pain in the rear to compile, since the requirements state:

Which is a handful to install and get running. For Ubuntu, other Debian distros and Arch, it's a piece of cake as there are packages in the repositories.

This is vital for the post-COVID19 world, since you can share the audience window (by screenshare with Zoom or etc) at reasonable size. Browsing around this morning, I came across pympress .

It is cross-platform as it is written in python, and has the presenter look & feel you're looking for, with a window to show slides on screen and another for your laptop with time, slide numbers, next slide preview, annotations, etc.

A few other nice features are native support for beamer notes on second screen, embedded videos, and more.

In case you're still interested, I have written a small viewing application in C++, called "dspdfviewer" for "Dual-Screen PDF Viewer".

Its built specifically for latex-beamer, and it's "show notes on second screen" option. This latex-beamer option will give you a double-width PDF, where the right part are your beamer-notes, and the right part can include a small preview of the current/next page. Check out the beamerguide for details. Only, I did not find a viewing application to correctly display those kinds of PDFs.

My program splits the PDF file in half and renders the left half in fullscreen on the "primary" screen (intended for the audience) and the second half together with some timers on the "secondary" screen (your notebook for example).

It currently works with Debian wheezy, and Ubuntu 11.10 (Oneiric) and newer.

I tested only a few minutes, but it is worth to take a look to

Impressive - Is a presentation program that displays slideshows of image files (JPEG, PNG, TIFF and BMP) or PDF documents . Rendering is done via OpenGL, which allows for some "eye candy" effects.

Installation is simply apt-get install impressive in Debian based distributions. Complete features are better explained in impressive -h , man impressive and impressive /usr/share/doc/impressive/demo.pdf but off the top of my head there are options for automatically advance, show timer an progress bar, control display aspect ratio, background rendering (by default active), cache modes, rotating, scaling and shuffling pages, use a custom cursor, make transitions, etc.

I have found mostly interesting the possibility of highlight boxes with the mouse during the presentation and even save and restore this for a second session as well as the spot light mode (a highlight circle around the mouse) and the overview mode (with Tab to quickly select a thumbnail with the mouse) , but you can also include options to include sound and videos, adjust gamma and black level with options or sort keys, mark pages with the skip flag, etc.

I made a web-based viewer which simply opens the slides and the notes on separate windows, keeping them in sync. The windows can be moved freely and expanded ( F11 ) on another monitor like any window.

It accepts double-width LaTeX-Beamer PDFs which can be generated using \setbeameroption{show notes on second screen=right} .

The application works in a web browser and doesn't require any installation. The PDF is rendered locally and the app can work offline (kept in the browser's cache). It has been tested with recent versions of Firefox (61) and Chrome (67).

As of September 2017 under opensuse, Leap 42.3, I googled again for a PDF viewer which allows to use the second screen option of beamer.

MuPDF doesn't support a second screen with notes at all. dspdfviewer wasn't available as a package for opensuse, so I didn't try. pdfpc worked out of the box, but you can't play embedded content, e.g. a video from it, if the video was linked with this command (given in the beamer manual, but see the comment of giordano below):

Finally I came across pympress, which turned out to be under active development. I installed it as root from command line:

pympress started my video and I'll invest some more time testing it.

There is also slider which is designed to be lightweight and specialised. It is designed to allow the use of notes on a second screen etc. Since it is relatively new, it may be worth watching even if a feature you need isn't yet currently implemented. (It has changed quite a lot since I started playing with it.)

My favorite pdf reader is Mupdf : (1) Firstly, the rendering of the popler-engine used in most pdf-viewers is horribly and mupdf's rendering is far superior (2) it's the reference pdf-viewer from ghostscript project

(3) Is quite easy to use it just with a keyboard (what makes the mupdf-pdf-viewer (and onmupdf based reader)) great for presentations

Updated answer I wrote a tool called BeamerPresenter , which shows presentation and notes for the speaker in separate windows. The modular interface can be adjusted to very different situations. Presentation and notes can be provided as separate pdf files or with the LaTeX beamer option “show notes on second screen”. Rich text notes created directly in the program are another option.

This program supports drawing (optimized for tablet input and compatibility with Xournal++), different highlighting tools, multimedia content, slide transitions, and quick response thanks to a compressed cache of rendered slides. The PDF files are rendered with MuPDF or Poppler.

Old answer (referring to an old version of BemerPresenter) I wrote a tool called BeamerPresenter (based on Qt 5 and poppler), which shows presentation and notes for the speaker in two separate windows. Presentation and notes can be provided as two separate pdf files or as a single file with the LaTeX beamer option “show notes on second screen”.

It supports multimedia content, animations (by showing slides in rapid succession), slide transitions, special treatment of overlays and prerendering of slides to cache. For the speaker it offers navigation by scrolling, key bindings (aware of overlays), a table of contents and an overview of the slides.

I used okular.

Open the pdf presentation and use "presentation mode" as View >> Presentation. You are good to go. With this I can play my mp4 and other animations as well.

Pdf-presenter.

I work in research, and once in a while I need to give a talk or lecture. Normally I would use Apple's Keynote to show the presentation, but right now I have a Vista-based notebook. So my idea was to simply export the slides to a PDF using my Mac at home or create some slides with Beamer or Google Docs, and then show the presentation using my laptop and some ordinary PDF viewer.

After I tried that for the first time I instantly noticed something very useful is missing: The ability to have one screen that displays the content of the current slide, while the other one - the so called presenter screen - will show the presenter more content, e.g. notes, the next slide and a timer. Since I haven't found one Windows PDF viewer among the billions out there that supports this, PDF Presenter is here to fill this gap.

This is an import from the original, discontinued [Google Code project] ( https://code.google.com/archive/p/pdf-presenter/ ) .

The following features should preferably be supported in the long run:

  • configurable presenter screen
  • loading notes directly from the PDF
  • transition effects via OpenGL
  • multi-platform support (wxWidgets)
  • small enough to fit with slides on a USB stick
  • if possible, scripted video support outside of PDF files

Adobe Acrobat enables you to view a PDF document in full screen view. The full screen view is useful when you are reading an online document or making a presentation using a PDF document. In the full screen view only the pages of the document are displayed with items such as the window controls, toolbars, the title bar, the status bar, and the menu bar hidden. You can also set various preferences for the full screen view such as automatically advancing a page after a specified time duration thereby creating a slide show effect.

Solutions for presenting PDF slides with presenter notes on second display [closed]

I made a presentation using the latex beamer class with notes. Now I have a problem displaying notes only on my display while presenting the slides to the audience using a projector. Beamer notes produce very wide pdf pages, each half page should be presented on its own display. A single page looks somewhat like this:

Currently I use the smaller display of my notebook for notes and the larger display for the presentation in my test setting. The second screen is extending the desktop. The screen order doesn't really matter but both displays have a different resolution. I don't know what the actual resolution of the screen/projector will be for when presenting.

Here are some applications I've tried. I the got fullscreen/window issues as described above if not otherwise explained.

  • single display fullscreen, task bar still visible
  • single display fullscreen
  • window mode: large resolution not supported by graphic card (only about 3/4 of both monitors)
  • most promising, if I extract all notes into text files
  • plain text notes, too small, would need zoom tool
  • no keyboard shortcuts, must click button
  • similiar to above one, notes in text files (?) couldn't compile on windows yet.
  • PDF presenter
  • somewhat promising; displays fullscreen on one screen while other screen is in window mode
  • notes are more a whiteboard feature, can't be hidden to audience
  • notes cant be saved

I also tried the default Ubuntu pdf viewer using virtual box. Unfortunately virtual full screen also shows only a single display.

  • 1 @harrymc Not that many features on second though, mainly it's having a progress-bar like overview of the presentation, basically like a table of contents on (almost) every slide that highlights the current section. Also source code syntax colouring (rtf copy&paste would work, but not when linking files I edit externally). You can achieve this under Linux with a combination of xrandr and impressive.py .

First use xrandr to set the screens' resolutions, e.g.:

where LVDS would be your laptop's screen and CRT1 the projector. You can verify your device identifiers and available resolutions by just running xrandr .

Once you have the screens set up, run impressive.py with the -g flag signalling the complete workspace size, e.g.:

More and more operating systems, smartphones, and other devices contain built-in abilities to show PDF files; even your web browser can probably handle it. Even so, a dedicated document reader often has a number of advantages over the built-in reader you may already have, like viewing options, better search, and annotations or other light editing.

I've used SumatraPDF for years. It's an easy-to-use free PDF reader for Windows. While it is  easy and simple to work with, it's also open for heavy customization if you so choose.

Different types of viewing modes are available, like  Single Page, Facing, Book View, and Presentation . The latter option is great for distraction-free reading.

There are tons of keyboard shortcuts you can use that make it easier to move around a PDF file, which you can refer to in the online documentation .

SumatraPDF can be downloaded in portable form or installed like a regular program.

PDFlite is another free PDF reader that's based on SumatraPDF. It looks extremely similar and works the same.

Supports XPS and CBZ files as well.

Easy to use.

Interface is a little too bare bones.

Zoom feature is less than perfect.

I like MuPDF because it isn't cluttered, is super lightweight, and runs on Windows and Android. If you just need to read the PDF, and do nothing else, I highly recommend this app.

Immediately after opening the program, you'll be prompted to choose a PDF before you even see the UI. Once you have, there are literally no options to be seen, but instead the full program window is dedicated to showing the PDF.

There are, however, some hidden menus. Select the top left program icon on the program's title window, then select  About MuPDF  to see all the supported shortcut keys that you can use to flip through pages, zoom in, and search for text.

The other way to use this program is with an initial menu. Open mupdf-gl.exe from the same download to use that version.

Adobe Acrobat Reader

Handy drag-and-drop feature makes it easy to combine PDFs.

Everything is spotless and easy to read and understand. The search feature isn't the best to be had, but it works well as is.

It can launch a PDF in full screen to make reading easier, and you can just click the screen to move down the PDF pages.

This PDF program runs on Windows, Mac, iOS, and Android.

Cool PDF Reader

Can be used to convert to other formats (TXT, JPG, etc.).

Command icons describe their function on mouse hover.

Very limited features compared to the alternatives.

The help file isn't very helpful.

Cool PDF Reader is light on system resources and comes in a minuscule package, at just under 4 MB for the portable version. It makes sense, then, that it calls itself "the world's smallest PDF viewer."

While it might not require much disk space, it's not the best option available. There isn't a search function, and scrolling isn't the smoothest. However, it still works as a free PDF reader if you don't like the others on this list.

You can install Cool PDF Reader to your computer or use the Standalone Package to use it without installing anything.

PDF-XChange Editor

Premium version is reasonably priced for what you get.

Adding and placing text is exceptionally easy.

PDFs created with the free version often include a big ugly watermark.

Doesn't automatically detect fields when creating forms.

PDF-XChange Editor's interface can be a bit nauseating to look at because there are buttons, toolbars, and side panels all over the place. You can easily disable most of these, though, for a much cleaner viewing experience.

In addition to opening a PDF from your own local computer, you can also enter a URL of a PDF file (the document will still be downloaded, but the program does it for you).

You can also add notes, record and attach audio, highlight text, attach files, and add a strike-through to words.

This is for Windows versions all the way back to Windows XP.

Lots of features are only available in the professional version of PDF-XChange Editor, but they're clearly marked as such and aren't difficult to spot.

This is both an offline PDF reader, like the other ones detailed above, and an online PDF reader. The web app is indispensable if you need to read a document ASAP.

While it's true that most web browsers can open PDFs on their own, without a tool like this one, I include it anyway because it has some really nice mini tools you might like.

For example, if you want to delete a page or two while reading the PDF, you can do that here. I also like that it's super easy to email the document, compress it to make the file smaller, and merge it with another PDF.

Overall, while this might seem more like a PDF editor, it does a great job displaying the document in your browser, something you'll prefer if you need access now , without wasting the time it takes to download one of these other desktop tools.

Since it runs online, it also means you can use it on any operating system.

Way 2. The Preview App

On Mac, you can use the Preview app to present PDF slide shows. Here is the guide:

  • In the Preview app on your Mac, open a PDF.
  • Choose View > Slideshow . The pages of the PDF are displayed in the slideshow. Use the controls at the bottom of the screen to move from page to page or end the slideshow.

Other PDF Presentation Modes

  • Full Screen: In this mode, PDF pages fill the entire screen. The menu bar, toolbar, and window controls are hidden.   • Zoom in or out: If you want to show details of a PDF, you can zoom in on the PDF. Of course, you can also zoom out the PDF. You can use the Plus and Minus buttons at the top to zoom in or out of the PDF. You can even enter the scaling ratio manually. Google Chrome and Microsoft Edge can also zoom in or out a PDF but no custom zoom is offered.
  • Two-Page View: Display two pages side by side. Google Chrome also has this feature but Microsoft Edge doesn’t.
  • Rotate the view clockwise or counterclockwise: Google Chrome and Microsoft Edge also have this feature.
  • Simple Mode: Present the PDF in the minimized window and hide other components.
  • Reverse View: View PDF pages in reverse order.

According to your condition, you can choose one from the above PDF presentation modes. Note that Google Chrome and Microsoft don’t have the slideshow mode. If you want to present PDF slide shows, MiniTool PDF Editor is the best choice on Windows.

For us, it’s long been the default PDF reader for Windows, as well as Apple and Android devices. But lately, we’ve been having doubts. 

We’ve always liked the clean and simple interface found across Adobe’s products, and you’ll find it here. Reader is very simple to use with an intuitive design, and excellent fill and sign functions. The tool is able to check a document and automatically highlight sections that need filling in or signing, and it worked perfectly every time for us. 

However, many of the tools are locked behind a paywall - even simple functions like PDF conversion require a subscription. If you just need to read, comment, annotate, or fill and sign documents, we still feel it has its uses. But increasingly, you need to subscribe to get the most from the software.

Adobe Reader DC  is probably the most famous read-only viewer for PDF files, not least because it's free and has often been integrated with web browsers.
