Do you need to write a letter to apply for a job? Most of the time, the answer is yes. Even when employers don’t require a job application letter , writing one will help you highlight your skills and achievements and get the hiring manager’s attention. The only time not to send one is when the job listing says not to do so. It can help, and it definitely won't hurt to include an application letter with your resume.

A job application letter, also known as a cover letter , should be sent or uploaded with your resume when applying for jobs. While your resume offers a history of your work experience and an outline of your skills and accomplishments, the job application letter you send to an employer explains why you are qualified for the position and should be selected for an interview.

Writing this letter can seem like a challenging task. However, if you take it one step at a time, you'll soon be an expert at writing application letters to send with your resume.

Before you begin writing your job application letter, do some groundwork. Consider what information you want to include, and keep in mind that space is limited.

Remember, this letter is making a case for your candidacy for the position. But you should do more than just regurgitate your resume. Instead, highlight your most relevant skills, experiences, and abilities.

Analyze the Job Posting

To include the most convincing, relevant details in your letter, you'll need to know what the employer wants.

The biggest clues are within the job advertisement, so spend some time decoding the job listing . Next, match your qualifications with the employer's wants and needs.

Include Your Most Relevant Qualifications

Make a list of your relevant experience and skills. For instance, if the job ad calls for a strong leader, think of examples of when you've successfully led a team. Once you've jotted down some notes and have a sense of what you want to highlight in your letter, you're ready to start writing.

Writing Guidelines for Job Application Letters

Writing a job application letter is very different from a quick email to a friend or a thank-you note to a relative. Hiring managers and potential interviewers have certain expectations when it comes to the letter's presentation and appearance, from length (no more than a page) and font size to style and letter spacing . Keep these general guidelines in mind, but always stick to any explicit instructions in the job listing or application portal.

Length: A letter of application should be no more than one page long. Three to four paragraphs are typical.

Format and Page Margins: A letter of application should be single-spaced with a space between each paragraph. Use 1-inch margins and align your text to the left, which is the standard alignment for most documents.

Font: Use a traditional font such as Times New Roman, Arial, or Calibri. The font size should be between 10 and 12 points.

What to Include in Each Section of the Letter

There are also set rules for the sections included in the letter, from salutation to sign-off, and how the letter is organized. Here's a quick overview of the main sections included in a job application letter:

Heading: A job application letter should begin with both your and the employer's contact information (name, address, phone number, email), followed by the date. If this is an email rather than an actual letter, include your contact information at the end of the letter, after your signature.

  •   Header Examples

Salutation: This is your polite greeting. The most common salutation is "Dear Mr./Ms." followed by the person's last name. Find out more about appropriate cover letter salutations , including what to do if you don't know the person's name or are unsure of a contact's gender.

Body of the letter: Think of this section as having three distinct parts.

In the first paragraph , you'll want to mention the job you are applying for and where you saw the job listing.

The next paragraph(s) are the most important part of your letter. Remember how you gathered information about what the employer was seeking, and how you could meet their needs? This is where you'll share those relevant details on your experience and accomplishments.

The third and last part of the body of the letter will be your thank you to the employer; you can also offer follow-up information.

Complimentary Close: Sign off your email or letter with a polite close, such as "Best," or "Sincerely," followed by your name.

  • Closing Examples

Signature: When you're sending or uploading a printed letter, end with your handwritten signature, followed by your typed name. If this is an email, simply include your typed name, followed by your contact information.

Overwhelmed by all these formatting and organization requirements? One way to make the process of writing a job application easier is to use a template to create your own personalized letters. Having a template can help save you time if you are sending a lot of application letters.

Be sure that each letter you send is personalized to the company and position; do not send the same letter to different companies.

  • Always write one. Unless a job posting explicitly says not to send a letter of application or cover letter, you should always send one. Even if the company does not request a letter of application, it never hurts to include one. If they do ask you to send a letter, make sure to follow the directions exactly (for example, they might ask you to send the letter as an email attachment or type it directly into their online application system).
  • Use business letter format. Use a formal business letter format when writing your letter. Include your contact information at the top, the date, and the employer’s contact information. Be sure to provide a salutation at the beginning and your signature at the end.
  • Sell yourself. Throughout the letter, focus on how you would benefit the company. Provide specific examples of times when you demonstrated skills or abilities that would be useful for the job, especially those listed in the job posting or description. If possible, include examples of times when you added value to a company.

Numerical values offer concrete evidence of your skills and accomplishments.

  • Use keywords. Reread the job listing, taking note of any keywords (such as skills or abilities that are emphasized in the listing). Try to include some of those words in your cover letter. This will help the employer see that you are a strong fit for the job.
  • Keep it brief. Keep your letter under a page long, with no more than about four paragraphs. An employer is more likely to read a concise letter.
  • Proofread and edit. Employers are likely to overlook an application with a lot of errors. Read through your cover letter, and if possible, ask a friend or career counselor to review the letter. Proofread for any grammar or spelling errors.

Preparation is key to making a well-written application letter. There are a few things you should do during the preparation stage in order to make it easier for you to start writing your application letter.

  • Go through the job posting a few times.  Carefully read the job description. Familiarize yourself with the requirements and the nature of the job. Now start writing your own set of skills and qualifications or refer to your resume. Start comparing these with the one written on the job posting. It will be easier for you to pinpoint which skills and qualifications you should highlight that is correlated with the needs of the job.
  • Make sure you write down your correct contact information.  This makes it easier for the employer to get in touch with you. Make sure that your contact information is aligned to the left and reflects your name, address, personal phone number, email address, and professional accounts. If you have a  personal letterhead  that reflects all of this information, make sure to place it at the top of the paper.
  • Make sure you also include the recipient’s contact information.  This makes it easier for the company to direct your application to the correct contact person for recruitment. It feels more personal if you know who you are writing to and it definitely puts you on top of other applicants. It also gives an impression that you did your research and that you are enthusiastic about getting a job with the company. Should the name of the contact person not reflected in the job posting, search for it on the Internet or give the company a quick call.
  • Your opening should be personal.  The correct job title and name of the contact person should also be reflected in the salutation. Your greeting should look a lot like  “Dear Mr. Johnson,”  or  “Dear Miss Smith.”  Salutations that are more personal are way better than a generic salutation such as  “Dear Hiring Officer.” 

Writing the Letter Proper

The main content of your application letter is the  body.  This where you will let the employer know the reasons as to why you are qualified and why you are the best person to be considered for the position. To make the  meat of your letter juicier, we have a few tips we would like to share with you.

  • Your first paragraph should readily grab the hiring manager’s attention.  If it is not engaging enough, the hiring manager just might crumple your sample application and aim for a three-point shot at the trash bin. We certainly want to avoid that. Your first line should definitely let the employer know that you are highly interested in the vacant position. Be conversational yet still keeping your professionalism. If possible, copy the same tone the company uses in their job postings and social media websites. This gives an impression that you are familiar with the company.
  • Let the hiring manager how you got to know about the vacancy.  Do not be afraid to state where you got to know about the vacancy. Whether it was through a social media post, a job posting website, or through a referral. This may not mean that much to you but it helps to let the company know which of their job advertisements are working best.
  • Let the employer know how the company will benefit from what you can offer. This is where you expound on your  resume skills  and qualifications. You want to let the employer know just how useful the skills and qualifications are for the company. Let them know that you are the solution they are looking for. To make your claims more concrete, you should state some examples regarding when you were able to showcase your skills, achievements, and learnings.
  • Show a side of you that you do not reflect in your resume.  Your job resume will already let the employers know what your achievements and experiences are. You need not keep repeating these on your application letter. A bit of human emotion is needed in a resume. You do not want to sound too robotic.

Ending on a Positive Note

How you end your letter also says a lot about you as a person. Here are a few tips you can follow in order to properly finish your application letter.

  • Reiterate why you are the perfect candidate for the position.  Ending your sample letter properly will help you get considered for the position. Always remember to refer to the job posting and the job description. In one sentence or two, emphasize to the employer that you are the best person for the position.
  • Leave a statement suggesting that they invite you for an interview.  Be confident. Strongly emphasize that you are looking forward to hearing from them and discuss any further questions that they may have for you.
  • Sign off properly.  Before affixing your signature, you have to make sure your sign off is not too informal or unprofessional. A little something like,  “Best wishes,”  or  “Respectfully,”  are common yet the safest ones you can use for formal letters  such as an job application letter .
  • Affix your signature.  Leave a few spaces after the sign off. About five would be enough. Then type in your full name and affix your signature above your name.

Take note:  For emailed applications, you need not affix your signature, include a letterhead, and write the details of the employer. Your contact information will reflect after your typed signature if you are emailing your application.

A cover letter is a chance to expand upon the bullet points outlined in your resume . It’s a space where you can explain your interest in the role and company, highlight your experience and skills, and sell a recruiter on the overall fit you’d make.

Transferable skills are “portable,” in that you take them from job to job. They include problem-solving, critical thinking, attention to detail, and more. Show recruiters that you have important skills to help you do the job so they can understand the unique value you’d bring to their company.  

It can also help to find out the key technical skills the job requires and spend time learning what you can, especially when it comes to important software or tools. 

What this looks like: As a software developer, I regularly relied on my problem-solving skills to think through complex issues. I’ll bring that same skill, as well as my attention to detail, listening, and decision-making, to ABC High School as the new algebra teacher. 

4. Highlight your past achievements 

Any time you can highlight what you’ve managed to accomplish in your past roles, you help a recruiter see your potential in a new role. Where possible, summarize any moments that showcase your strengths and illustrate your work ethic or character. 

What this looks like: I pride myself on being a team player and a problem-solver. As a social media manager at Company X, I identified a better program to help my team schedule content. Using that tool improved my team’s efficacy, leading to our most successful quarter.

The idea of a career path can sometimes be rigid, suggesting that people only follow one specific track. Although that perspective is starting to shift, it’s still prevalent.
