5 Steps for Creating a Multimedia Presentation

Overall, creating a multimedia presentation is similar to planning and designing any other type of presentation. Here are five steps to crafting a multimedia presentation:

  • Frame your story.

  • Start building and add media.
  • Revise and edit.

Let’s dig into these steps a bit more. 

Step 1: Frame Your Story

There’s no way you can give a good talk unless you have something worth talking about. Conceptualizing and framing what you want to say is the most vital part of the preparation. Anderson

Planning out your journey is exactly where Anderson suggests the first part of any presentation planning should begin. Why? Because it forces you, the presenter, to think critically about who your audience is and what level of knowledge they may or may not have regarding your topic. 

Anderson’s other piece of advice on framing your story is to limit your scope. While you might have a ton of information you want to share, it’s important to narrow down your topic to only the things that can be explained, with particular attention to the things that can be explained and reinforced with different types of media. 

Step 2: Create an Outline

Once you have your concept and a rough idea of your journey in mind, it’s time to organize it into an outline. Think of your outline as a way to break down your topic into smaller, digestible pieces. Eventually, these smaller chunks will become the content for each of your presentation slides if you’re doing a slide-deck style presentation. If you’re not doing a slide presentation, these small pieces could also work well into a video storyboard.

Once your outline is finished, it’s time to go back and make note of any items that would benefit from additional media.

Here are a few examples of things to consider:

  • Do you have large amounts of numbers you can visualize with an animated graphic?
  • Is there a picture you can display to bring context to something you’re talking about?

Use your outline to guide the creation of your multimedia presentation. For example, if you’re going to create a slide deck style presentation, begin populating your slides with necessary headers to guide your presentation from one section to the next. 

It might be helpful to sketch out the design of your slide layout and create boxes or placeholders where you’d like to add media. Once you’re finished, go back and add the different types of media to your slides.

Keeping your presentation visuals minimalistic, simple, and clear is just one important step to remember when designing a hit presentation. Leaving nothing to chance, great presenters prove quite methodical as they prepare. Here’s a checklist for everything you need to keep in mind before your next presentation:

1. Choose the right software for your needs

The easiest way to select the right presentation software for you is to simply find the one that is native to your device. For example, if you have a Mac, use Apple Keynote, if you work on Windows, use PowerPoint. Google Slides is recommended if you’re working with someone, as it makes collaboration very easy. Another software option is Prezi: a specialty tool called Prezi that creates a presentation using motion, zoom, and panning across one giant visual space.

2. Organize your files

As you develop your script and visuals, you will need to start assembling all the assets for your slides. Create a unique folder on your computer to hold these items. Keep the folder organized by media type (presentation drafts, photos, videos, scripts) and back them up frequently to the Cloud or external disk. Label each file with a specific descriptive name, e.g. “Susan Johnson singing magpie 2020”, as opposed to “IMG_4043.jpg”, which can make it confusing to find your assets. The more organized you are up front, the easier preparing for your presentation will be.

3. Prepare your presentation materials

Make sure your presentation materials (script, graphics, actual slides) are saved in at least two safe spots (for example, your computer and an external USB drive) and are backed-up frequently. If you are using an online presentation software, such as Google Slides, be sure to also download a copy of your presentation in case the internet connection is unreliable. Having all the individual assets on hand in addition to your presentation slides can be helpful if you experience tech issues before presenting, or if you need to make any last minute changes. Make sure to label your final presentation with the title and your name so it’s easy to find.

4. Practice, practice, practice!

Remember, practice makes perfect. People often run out of time making their presentations and have no time to practice. Most TED speakers practice at least ten times. Neuroscientist Jill-Bolte Taylor gave one of the most successful Talks in TED history with nearly 27 million views. How did she do it? She practiced her Talk over 40 times! By rehearsing multiple times you will naturally memorize your Talk, which means you won’t need note cards when you give your final presentation.

5. Do a final test run

Before presenting, make sure the equipment you need is working properly. It’s generally good practice to rehearse standing on the exact stage with the exact lighting using the exact computer that you will be using in your final presentation.

Here’s a quick checklist of what to look for when testing your equipment:

  • If you're not using your own computer, the one provided might be slower and have trouble playing media. If you have videos or other media, make sure they play correctly
  • Test the projector to make sure it’s HD
  • Make sure images are clear
  • Test the sound of any clips you use, as this is what goes wrong most frequently
  • If you’re using a mic, test the volume

Take for example, the series of presentation images above. These look great from a layout-perspective but typically what these “out-of-the-box” software options will do is only enable you to click and the image will appear (sure, maybe it’s a dissolve or flash animation but remember, everyone else is doing this as well).

This is one component of presentations that I often find people overlook. 3. How do I choose the right color scheme and fonts to maintain a cohesive and professional look throughout my slides?

Stick to a harmonious color palette with 2-4 main colors that complement each other like peanut butter and jelly. Remember, less is more! Next up, fonts! Keep it simple and consistent with two fonts max—one for headings and the other for body text. Think of them as the dynamic duo that’ll make your slides pop like fireworks on the Fourth of July! Just ensure they’re easy on the eyes and match the overall tone of your content.

4. What are some effective techniques for engaging my audience during the presentation, keeping them interested and focused?

Start with a captivating story or an attention-grabbing fact that relates to your topic. Spice things up with visuals like eye-catching slides, videos, or interactive elements to break the monotony. And remember, don’t just talk at your audience, get them involved with thought-provoking questions, group activities, or real-life examples they can relate to. By keeping things dynamic and interactive, you’ll have them hanging on your every word!

5. Which presentation software or tools are recommended for creating high-quality multimedia presentations?

PowerPoint remains a timeless classic, boasting an array of features and user-friendly interface. If you’re looking to get a bit more creative, Prezi is your go-to, with its dynamic zooming and panning effects. And let’s not forget about Canva—this gem is perfect for whipping up visually stunning presentations even if you’re not a design whiz.

What are the rules for creating a presentation? How do we utilize the content in order to capture the listeners' attention and not lose it.

There are quite a few tools on the market for creating multimedia presentations that you can learn about here. If we have chosen a program, then we can start preparing the content.

1. KISS - Keep It Simple Stupid. Simplicity is key

Your slides will probably be displayed on a larger screen than your laptop screen. However, this does not mean that the entire page can contain text written in 40 lines. Slides cannot be overloaded with content, because they are supposed to be a kind of summary, highlighting the most important thoughts or words. The most desirable situation is one in which you are the presentation, and the content displayed on the projectors only strengthens the message and allows you to consolidate the most important issues.

2. Uniformity

Something that distinguishes a professional presentation from an amateur one is unification. How do we achieve this? All slides should be consistent in terms of layout, font and color. In practice, this means that if you have two header sizes in the text, e.g. 22, 18 and 12 text size, it should look similar on all slides. This also applies to the text color and various graphic elements. Do you set tables or charts as blue? Then apply these colors to all graphics. If your company logo is initially at the bottom of the slide, make sure that it stays there throughout the presentation. What’s more, consistency will allow you to create your own style.

Always provide the source for each photo, video or music. It’s best to do it directly under the photo. It is also good to put all sources at the end (bibliography).

4. Copyright

Can we put any photo we like and fit in the presentation? No. There are many websites such as “Pixabay” and “Pexel” where you can buy good-quality stock photos or even download them for free; as for music, you can access free music on “Bensound”. The second option is to ask the content owner’s permission to use his work in our presentation. Some of them willingly give permission for non-commercial use of their photos or music.

5. The essence of content on slides

Exactly what is an essence? Right from the start, identify the most important message that you want to convey in every slide. What should the listener take away from our presentation? What should they remember? What is key point in this topic? Avoid long sentences, which will not be read by the audience. Focus on key words and short phrases and try to incorporate photos or graphics that will highlight what you want to convey.

Layout is a presentation template that includes one style, e.g. a uniform color palette, fonts and graphic layouts. In short – one pattern for all slides. If you create presentations in Power Point, you can use ready-made designs available in the program. However, I encourage you to create your own or search the internet for interesting layouts that will make your presentation stand out. I would treat a white slide with black text as a last resort. It’s a bit like websites – those that look like they were from the 90’s don’t attract as many visitors as the more modern ones. Don’t we prefer to read something if the website is modern, transparent and interesting? 🙂

7. Aesthetics

The presentation should be aesthetically pleasing. You will achieve this effect through minimalism, matching the size and shape of photos, combining the right colours and maintaining uniformity.

8. Substantive accuracy

As much as we may be experts in our field, there will always be someone who has more knowledge than us. Therefore, our authority may come under questioning if factual errors or deficiencies are pointed out by another expert. Be sure to check the data, facts, stylistic correctness and spelling mistakes before presenting the content. The eternal bane of all presenters – typos. It’s a good practice to have someone else check your presentation for typos. After the 30th edition of the slide, we may no longer notice small errors.

9. Visibility

Before starting the presentation, it’s a good idea to turn it on and see if everything is visible and legible in the room. Something that looks beautiful on the screen can actually be unreadable. It may happen that the light causes the lack of visibility of some graphics or text. In this situation, plan B is simply to create two versions – one with a light background and the other with a dark one.

10. One slide, one topic

Categorizing and organizing content are something that our listeners will be very grateful for ? If we are talking about sales growth at a given moment, then do not put information on the slide about lunch breaks or team reorganization. Conducting a lecture on different styles of communication, we will devote a separate slide to different styles.

11. Illustrations of content by graphics

It would be prudent to include photos in your presentations and sometimes they can even replace text. This enables us to utilize the benefits of the “double coding” effect. Our audience will remember the content better, especially if the photo evokes some emotional associations, e.g. it can be a humorous picture or one that saddens or annoys the audience.

Industry events are a chance to network with your colleagues and impress distributors — but to really make the most of your time at a conference, you need to learn how to prepare a presentation that engages, informs and leaves an impact.

I've presented at some of the most important real estate and property technology events in the country as the founder of ButterflyMX . Here are a few tricks I've picked up along the way to wow any audience.

1. Getting comfortable with the stage

I recommend taking a walk around the stage before your presentation. By familiarizing yourself with your environment, you can prepare yourself better.

And while you're on stage, a relaxed, comfortable presence goes a long way in keeping your audience engaged . Whether you want to play your presentation casually or more formally, audiences can sense discomfort, which prevents them from fully connecting with your message.

To project your sense of comfortability, focus on your body language . You can project confidence by speaking slowly and clearly and by walking across the stage to keep the audience's attention — even if there's already a podium or lectern set up on stage.

Unfortunately, if a speaker spends too long standing behind the podium, an audience might interpret that as a sign of indecision and inaction from the speaker. Instead, you can remove any barriers between yourself and the audience by using the whole length of the stage.

2. Familiarity with industry statistics

An audience that doesn't know me might be wondering why they should be taking my advice. I certainly don't blame them. When I'm watching a new presenter, I ask the same question.

If you can back up your claims with hard data, your presentation will ring true with listeners. You can cite industry-wide statistics or establish your own bona fides by citing stats that buttress your own credibility by establishing your company's success.

In my case, I'm happy to use a couple of statistics that prove how successful my company, ButterflyMX, is in the proptech industry. 3. Knowing your audience

Depending on who your audience is , you'll have to adjust your game plan and prepare for different things.

I've spoken at conferences where the audiences couldn't be more different — a presentation that wows one crowd might have no information that's applicable to another. As the founder of a property technology company, I have the pleasure of speaking at a variety of different conferences that serve different markets.

For example, integrators and installers might value a talk on product features and hardware more than others. And if I'm presenting to an audience of property managers, I'll know to dial down the technical talk and focus on the benefits a robust video intercom offers, such as simplifying their day-to-day workloads.

Depending on your audience, you need to strike the right balance between talking about hardware specs and features.

4. Designing your slides carefully

Slides are a good opportunity to share the aesthetics, tone and values of your company — but you've got to make sure you use them effectively.

A slide with too much text looks busy, and it'll distract your audience and draw focus away from you. Instead, consider putting that information into your notes and speaking it aloud. Slides should focus on one or two visual elements, like bullet points, charts and graphs.

As for the actual design of your slides, you should ensure that you adhere to your company's brand guidelines. If you're unfamiliar with the concept, brand guidelines are a single, governing document that goes over important design concepts like the colors and logos that your company has.

5. Asking for audience participation

Asking for audience participation is the ultimate way to ensure everybody is locked in and paying attention — but it's also a double-edged sword. You also need to be prepared in case asking the audience to participate doesn't necessarily go your way.

For example, you might generally ask if an audience has any questions at the end of your presentation. But you run the risk of running into a hostile, bad-faith question — or you might even be met with silence.

That's why I'd recommend you give the audience questions and tasks that have a little more structure. You could do things like asking for a show of hands, asking for specific anecdotes or taking a poll.

Polls have gotten an especially high-tech upgrade recently — see if you can set up an electronic voting system that allows audience members to vote with their smartphones. Then, you'd be able to throw the results on screen and watch them update in real time!

You should pepper these interactive sections throughout your presentation to ensure that audiences are engaged throughout your entire talk.

One of the first things to consider when adding sound to PowerPoint animation is the type of audio you want to include. You can choose from a variety of built-in sound effects, such as applause, chimes, and drum rolls, or you can upload your own audio files. When selecting audio, be sure to choose something that complements your presentation and helps emphasize your message.

Once you have selected your audio, it’s time to add it to your PowerPoint animation. This can be done by selecting the object or text box you want to add the sound to, then clicking on the “Animations” tab. From there, you can choose the animation you want to use and click on the “Effect Options” button to access the sound options. Here, you can select the sound you want to use, adjust the volume, and set the timing for the audio to play. With these simple steps, you can easily add sound to PowerPoint animation and make your presentations more engaging and impactful.

As a presenter, I know that keeping an audience engaged throughout a presentation is crucial. That’s why I love using advanced animations in my PowerPoint presentations. In this section, I’ll share some techniques for creating engaging content using advanced animations.

The Animation Pane is a powerful tool for managing and organizing your animations. It allows you to see all of the animations on your slide and adjust their timing and order. To access the Animation Pane, click on the Animations tab and then select Animation Pane.

Once you have the Animation Pane open, you can add animation effects to your slide by clicking on the Add Animation button. This will bring up a menu of different animation effects to choose from, including entrance, exit, and emphasis animations.

While the pre-built animation effects are great, sometimes you need something a little more customized. That’s where creating your own animation effects comes in. To create a custom animation effect, select the object you want to animate and then click on the Add Animation button.

From there, click on the More Entrance Effects or More Exit Effects option at the bottom of the menu. This will bring up a dialog box where you can customize the animation effect to your liking.

Timing and ordering your animations is crucial for keeping your audience engaged and avoiding confusion. To adjust the timing of an animation, select the animation in the Animation Pane and then click on the Timing button.

From there, you can adjust the start time, duration, and delay of the animation. You can also set the animation to start with previous or after previous animations to create a seamless flow.

Ordering your animations is also important for clarity. You can change the order of animations in the Animation Pane by simply dragging and dropping them to the desired location.

To further customize your animations, you can use the Effect Options menu. This menu allows you to adjust specific details of an animation effect, such as the direction of a motion path or the sound effect associated with an animation.

Overall, utilizing advanced animations in your PowerPoint presentations can greatly enhance the engagement and impact of your content. By using the Animation Pane, creating custom animation effects, and carefully timing and ordering your animations, you can create a dynamic and engaging presentation that will keep your audience hooked from start to finish.

As a presenter, I know that engaging your audience is key to delivering a successful presentation. One way to achieve this is by incorporating multimedia elements such as sound and video into your presentation. In this section, I’ll share my thoughts and experiences on how to add sound to PowerPoint animations.

Videos are a great way to add visual interest to your presentation. When adding a video to your presentation, it’s important to optimize it for playback. One way to do this is by compressing the video file. This reduces the file size and ensures that the video plays smoothly during the presentation.

To compress a video in PowerPoint, click on the video and then select the “Compress Media” option. You can choose to compress the video for email, presentation quality, or internet quality.

It’s also important to consider the volume of the video. Make sure the volume is adjusted to an appropriate level so that the audience can hear it clearly, but it’s not too loud.

Adding sound effects to your PowerPoint animations can help emphasize key points and make your presentation more engaging. To add sound effects, click on the animation you want to add the sound effect to, then click on the “Effect Options” button in the “Animations” tab. From there, you can choose from a list of pre-loaded sound effects or add your own sound effect.

If you want to add your own sound effect, click on the “Other Sound” option and select the sound file you want to use. It’s important to note that the sound file must be in the .wav format.
