This guide is designed to support the citation and reference needs of USC students, staff, and faculty.  The 7th edition of the manual does make distinctions between formatting certain components for academic use over publication.  This guide will distinguish student/academic formatting where applicable. 

This guide is designed as a "quick" reference to common APA citation, reference and formatting criteria.  When in doubt, we encourage users to consult with the APA publication manual or APA website for further clarification as the authority on formatting.

What is the purpose of citations?

Citations help readers locate your sources. They help to continue the scholarly conversation. To learn more about how citations can help you avoid plagiarism, view this interactive tutorial:

When considering citations and references for your papers, you can ask yourself, "could someone find this information in the future?"

A client's personal file would not need a citation because your reader cannot go find that information again.  Census statistics would require a citation because your reader could go locate that information again.

APA requires FOUR ELEMENTS of every citation:

  • Who- Author of content
  • When- Date content was published
  • What- Title of content
  • Where- Publication information. This can be the website you got it from or the journal or book's publication information.

What is APA Style?

APA style was created by social and behavioral scientists to standardize scientific writing. APA style is most often used in:

  • psychology,
  • social sciences (sociology, business), and

If you're taking courses in any of these areas, be prepared to use APA style.

APA Style, 7th ed.

In October 2019, the American Psychological Association made radical changes its style, especially with regard to the format and citation rules for students writing academic papers. Use this guide to learn how to format and cite your papers using APA Style, 7th edition.

For help on all aspects of formatting your paper in APA Style, see   The Essentials  page on the APA Style website.

  • sans serif fonts such as 11-point Calibri, 11-point Arial, or 10-point Lucida Sans Unicode, or
  • serif fonts such as 12-point Times New Roman, 11-point Georgia, or normal (10-point) Computer Modern (the default font for LaTeX)
  • There are exceptions for the  title page ,  tables ,  figures ,  footnotes , and  displayed equations .
  • Margins :  Use 1-in. margins on every side of the page.
  • Align the text of an APA Style  paper to the left margin . Leave the right margin uneven, or “ragged.”
  • Do not use full justification for student papers.
  • Do not insert hyphens (manual breaks) in words at the end of line. However, it is acceptable if your word-processing program automatically inserts breaks in long hyperlinks (such as in a DOI or URL in a reference list entry).
  • Indent the first line of each paragraph of text 0.5 in . from the left margin. Use the tab key or the automatic paragraph-formatting function of your word-processing program to achieve the indentation (the default setting is likely already 0.5 in.). Do not use the space bar to create indentation. 
  • There are exceptions for the  title page ,  section labels ,  abstract ,  block quotations ,  headings ,  tables and figures ,  reference list , and  appendices .

Paper Elements

Student papers generally include, at a minimum: 

  • Title Page (2.3)
  • Text (2.11)
  • References  (2.12)

Student papers may include additional elements such as tables and figures depending on the assignment. So, please check with your teacher!

Student papers generally  DO NOT  include the following unless your teacher specifically requests it:

  • Running head
  • Author note

Number your pages consecutively starting with page 1. Each section begins on a new page. Put the pages in the following order:

  • Page 1: Title page
  • Page 2: Abstract (if your teacher requires an abstract)
  • Page 3: Text 
  • References begin on a new page after the last page of text
  • Footnotes begin on a new page after the references (if your teacher requires footnotes)
  • Tables begin each on a new page after the footnotes (if your teacher requires tables) 
  • Figures begin on a new page after the tables (if your teacher requires figures)
  • Appendices begin on a new page after the tables and/or figures (if your teacher requires appendices)

APA Style uses five (5) levels of headings to help you organize your paper and allow your audience to identify its key points easily. Levels of headings establish the hierarchy of your sections just like you did in your paper outline.

APA tells us to use "only the number of headings necessary to differentiate distinct section in your paper." Therefore, the number of heading levels you create depends on the length and complexity of your paper.

Placement:  The reference list  appears at the end of the paper, on its own page(s). If your research paper ends on page 8, your References begin on page 9.

Heading:  Place the section label References  in bold at the top of the page, centered.

Arrangement:  Alphabetize entries by author's last name. If source has no named author, alphabetize by the title, ignoring A, An, or The. (9.44-9.48)

Spacing:  Like the rest of the APA paper, the reference list is double-spaced throughout. Be sure NOT to add extra spaces between citations.

Indentation:  To make citations easier to scan, add a  hanging indent  of 0.5 in. to any citation that runs more than one line. Use the paragraph-formatting function of your word processing program to create your hanging indent.

Elements of Reference List Entries: (Chapter 9)

Where to find reference information for a journal article

References generally have four elements, each of which has a corresponding question for you to answer:

  • Author:   Who is responsible for this work? (9.7-9.12)
  • Date:   When was this work published? (9.13-9.17)
  • Title:   What is this work called? (9.18-9.22)
  • Source:   Where can I retrieve this work? (9.23-9.37)

By using these four elements and answering these four questions, you should be able to create a citation for any type of source.

Sometimes you won't be able to find all the elements required for your reference. In that case, see the  instructions in Table 9.1 of the APA style manual in section 9.4 or the APA Style website below:

  • Direct Quotation of Material Without Page Numbers

The DOI or URL is the final component of a reference list entry. Because so much scholarship is available and/or retrieved online, most reference list entries end with either a DOI or a URL.

  • A  DOI  is a unique alphanumeric string that identifies content and provides a persistent link to its location on the internet. DOIs can be found in database records and the reference lists of published works.
  • A  URL  specifies the location of digital information on the internet and can be found in the address bar of your internet browser. URLs in references should link directly to the cited work when possible.

When to Include DOIs and URLs:

  • Include a DOI for all works that have a DOI, regardless of whether you used the online version or the print version.
  • If an online work has both a DOI and a URL, include only the DOI.
  • For works without DOIs from websites (not including academic research databases), provide a URL in the reference (as long as the URL will work for readers).
  • For works without DOIs from most academic research databases, do not include a URL or database information in the reference because these works are widely available. The reference should be the same as the reference for a print version of the work.
  • For works from databases that publish original, proprietary material available only in that database (such as the UpToDate database) or for works of limited circulation in databases (such as monographs in the ERIC database), include the name of the database or archive and the URL of the work. If the URL requires a login or is session-specific (meaning it will not resolve for readers), provide the URL of the database or archive home page or login page instead of the URL for the work. (See APA Section 9.30 for more information). 
  • If the URL is no longer working or no longer provides readers access to the content you intend to cite, try to find an archived version using the Internet Archive , then use the archived URL. If there is no archived URL, do not use that resource.

Format of DOIs and URLs:

Your DOI should look like this:

Follow these guidelines from the APA Style website.

APA Style uses the  author–date citation system , in which a brief in-text citation points your reader to the full reference list entry at the end of your paper. The in-text citation appears within the body of the paper and briefly identifies the cited work by its author and date of publication. This method enables your reader to locate the corresponding entry in the alphabetical reference list at the end of your paper.

Each work you cite  must  appear in the reference list, and each work in the reference list must be cited in the text (or in a table, figure, footnote, or appendix) except for the following (See APA, 8.4):

  • Personal communications (8.9)
  • General mentions of entire websites, whole periodicals (8.22), and common software and apps (10.10) in the text do not require a citation or reference list entry.
  • The source of an epigraph does not usually appear in the reference list (8.35)
  • Quotations from your research participants do not need citations or reference list entries (8.36)
  • References included in a statistical meta-analysis, which are marked with an asterisk in the reference list, may be cited in the text (or not) at the author’s discretion. This exception is relevant only to authors who are conducting a meta-analysis (9.52).

Formatting Your In-Text Citations

Parenthetical and Narrative Citations: ( See APA Section  8.11)

In APA style you use the author-date citation system for citing references within your paper. You incorporate these references using either a  parenthetical   or a  narrative  style.

Parenthetical Citations

  • In parenthetical citations, the author name and publication date appear in parentheses, separated by a comma. (Jones, 2018)
  • A parenthetical citation can appear within or at the end of a sentence.
  • When the parenthetical citation is at the end of the sentence, put the period or other end punctuation after the closing parenthesis.
  • If there is no author, use the first few words of the reference list entry, usually the "Title" of the source: ("Autism," 2008) See APA 8.14
  • When quoting, always provide the author, year, and specific page citation or paragraph number for nonpaginated materials in the text (Santa Barbara, 2010, p. 243).  See APA 8.13
  • For most citations, the parenthetical reference is placed BEFORE the punctuation: Magnesium can be effective in treating PMS (Haggerty, 2012).

Narrative Citations 

In narrative citations, the author name or title of your source appears within your text and the publication date appears in parentheses immediately after the author name. 

  • Santa Barbara (2010) noted a decline in the approval of disciplinary spanking of 26 percentage points from 1968 to 1994.

Basic Format: (Author's Last Name(s) or Organization, Year).

Summarizing or Paraphrasing

Paraphrasing or summarizing the main findings or takeaways from a research article is the preferred method of citing sources in an APA paper. Always include the last name of the author(s) and the year of the publication, so your reader can find the full citation in the reference list.

According to Shavers (2007), limitations of studying socioeconomic status in research on health disparities include difficulties in collecting data on socioeconomic status and the complications of classifying women, children, and employment status.

Direct Quotes

If you're quoting the exact words of someone else, introduce the quote with an in-text citation in parentheses. Any sentence punctuation goes after the closing parenthesis.

  • According to Brown (2019), "Direct quote" (p. 1021).
  • Brown (2019) found that "Direct quote" (p. 1021).
  • [Some other introduction] "Direct quote" (Brown, 2019, p. 1021).

If you're directly quoting more than 40 words, use a blockquote . Block quotes don't need quotation marks. Instead, indent the text 1/2" as a visual cue that you are citing. The in-text citation in parentheses goes after the punctuation of the quote.

Shavers (2007) study found the following:

While research studies have established that socioeconomic status influences disease incidence, severity and access to healthcare, there has been relatively less study of the specific manner in which low SES influences receipt of quality care and consequent morbidity and mortality among patients with similar disease characteristics, particularly among those who have gained access to the healthcare system. (p. 1021)

Toro Tip: Use direct quotes sparingly! Focus on summarizing the findings from multiple research studies. In the sciences and social sciences, only use the exact phrasing or argument of an individual when necessary.

In-text citations differ depending on the number of authors listed for a work, and if there is a group author .

I'm citing a work with...

You only need the author's last name comma year in parentheses.

(Abrams, 2018)

Connect both authors' last names with & (ampersand) comma and the year.

(Wegener & Petty, 1994)

3 or More Authors

If there are 3 or more authors use et al., which means "and others," comma and the year.

(Harris et al., 2018)

Group Authors

First time with an abbreviation:

(Centers for Disease Control and Prevention [CDC], 2019)

Then all subsequent citations: (CDC, 2019)

Include the complete citation at the end of your paper in a references section. References are organized by the author's last name in alphabetic (A-Z) order. Use an hanging indent to separate each list item.

Basic Format: Author, A. A., & Author, B. B. (Date). Title of the work. Source where you can retrieve the work . URL or DOI if available

Journal Article

  • Author(s). Note: List each author's last name and initial as Author, A. A., Author, B. B., & Author, C. C. Use an ampersand (&) before the final author's name. Read more from the APA Style website if there are 21 or more authors.
  • Title of the article. Note: For works that are part of a greater whole (e.g. articles, chapter), use sentence case. Only the first word of the title and subtitle and proper nouns are capitalized.
  • Title of the Journal , Note: Italicize and capitalize each word in the journal.
  • Volume Note: Italicize the journal volume. If there is no issue, include a comma before the page range.
  • (Issue), Note: If there is a issue number in addition to a volume number, include it in parentheses.
  • Page range. Note: If there is no page range within the journal volume/issue, this can be excluded.
  • DOI (Digital Object Identifier) Read more about DOIs from the APA Style wesbite.

  • Source. Includes the names of parent agencies or other organizations not listed in the group author name here.

Dissertation or Thesis

  • Author. Note: List the author's last name and initials as Author, A. A. There is usually only one author for a thesis or dissertation, you don't need to include any faculty advisers.
  • Title of the dissertation or thesis [Doctoral dissertation or Master's thesis, Name of University]. Note: For works that stand alone (e.g. books, dissertations, theses), italicize the title. Only capitalize the first word of the title and subtitle and any proper nouns. The title page will indicate whether it's a Doctoral dissertation or Master's thesis and list the name of the university granting the degree.
  • Source. Note: Include the name of the database or institutional repository where you can access the work (e.g. ProQuest Dissertations & Theses Global, PQDT Open, CSU ScholarWorks) here.
  • URL Note: If available it's available.

1. Highlight the citaiton with your cursor. 

2. Right click. 

3. Select Paragraph .

4. Under Indentation, select Special and Hanging .

How can I save time formatting my paper? 

Microsoft Word and Google Docs have a Format Painter tool that will copy and apply basic formatting to any text! 

1. Highlight the formatting you want to apply. 

2. Select  Format Painter . 

3. Highlight the text you want to change. 

Note: If using the Format Painter on the Reference List, you'll need to go back and add italics.

If you’re citing a research article or paper in APA style, you’ll need to use a specific citation format that varies depending on the source. Assess whether your source is an article or report published in an academic journal or book, or whether it is an unpublished research paper, such as a print-only thesis or dissertation. Either way, your in-text citations will need to include information about the author (if available) and the date when your source was published or written.

Sample Citations

Writing an In-Text Citation

Step 1 Name the author and the publication date in-text before a quote.

  • For example, you may write, “Gardener (2008) notes, ‘There are several factors to consider about lobsters’ (p. 199).”

Step 2 Include the author’s last name in the citation if you don’t list it in-text.

  • For example, you may write, “‘There are several factors to consider about lobsters’ (Gardner, 2008, p. 199).” Or, “The paper claims, ‘The fallen angel trope is common in religious and non-religious texts’ (Meek & Hill, 2015, p.13-14).”
  • For articles with 3-5 authors, write out the names of all the authors the first time you cite the source. For example: (Hammett, Wooster, Smith, & Charles, 1928). In subsequent citations, write only the first author’s name, followed by et al.: (Hammett et al., 1928).
  • If there are 6 or more authors for the paper, include the last name of the first author listed and then write "et al." to indicate that there are more than 5 authors.
  • For example, you may write, "'This is a quote' (Minaj et al., 1997, p. 45)."

Step 3 Write the name of the organization if there is no author.

  • For example, you may write, “‘The risk of cervical cancer in women is rising’ (American Cancer Society, 2012, p. 2).”

Step 4 Use 1-4 words from the title in quotation marks if there is no author or organization.

  • For example, you may write, “‘Shakespeare may have been a woman’ (“Radical English Literature,” 2004, p. 45).” Or, “The paper notes, ‘There is a boom in Virgin Mary imagery’ (“Art History in Italy,” 2011, p. 32).”

Step 5 Include the year of publication for the paper.

  • For example, you may write, “‘There are several factors to consider about lobsters’ (Gardner, 2008, p. 199).” Or, “The paper claims, ‘The fallen angel trope is common in religious and non-religious texts’ (“Iconography in Italian Frescos,” 2015, p.13-14).”

Step 6 Use “n.d.”

  • For example, you may write, “‘There are several factors to consider about lobsters’ (Gardner, 2008, p. 199).” Or, “The paper claims, ‘The fallen angel trope is common in religious and non-religious texts’ (“Iconography in Italian Frescos,” 2015, p.145-146).”

Step 8 Use “para.”

  • For example, you may write, “‘The effects of food deprivation are long-term’ (Mett, 2005, para. 18).”

Creating a Reference List Citation for a Published Source

  • Material on websites is also considered “published,” even if it’s not peer-reviewed or associated with a formal publishing company.
  • While academic dissertations or theses that are print-only are considered unpublished, these types of documents are considered published if they’re included in an online database (such as ProQuest) or incorporated into an institutional repository.

Step 2 Note the author of the paper by last name and first 2 initials.

  • For example, you may write, “Gardner, L. M.” Or, “Meek, P. Q., Kendrick, L. H., & Hill, R. W.”
  • If there is no author, you can list the name of the organization that published the research paper. For example, you may write, “American Cancer Society” or “The Reading Room.”
  • Formally published documents that don’t list an author or that have a corporate author are typically reports or white papers .

Step 3 Include the year the paper was published in parentheses, followed by a period.

  • For example, you may write, “Gardner, L. M. (2008).” Or, “American Cancer Society. (2015).”

Step 4 List the title of the paper.

  • For example, you may write, “Gardner, L. M. (2008). Crustaceans: Research and data.” Or, “American Cancer Society. (2015). Cervical cancer rates in women ages 20-45.”

Step 5 Note the title of the publication in which the paper appears.

  • For example, for a journal article, you may write, “Gardner, L. M. (2008). Crustaceans: Research and data. Modern Journal of Malacostracan Research, 25, 150-305.”
  • For a book chapter, you could write: “Wooster, B. W. (1937). A comparative study of modern Dutch cow creamers. In T. E. Travers (Ed.), A Detailed History of Tea Serviceware (pp. 127-155). London: Wimble Press."

Step 6 Include the website where you retrieved the paper if it is web-based.

  • For example, you may write, “Kotb, M. A., Kamal, A. M., Aldossary, N. M., & Bedewi, M. A. (2019). Effect of vitamin D replacement on depression in multiple sclerosis patients. Multiple Sclerosis and Related Disorders, 29, 111-117. Retrieved from PubMed, https://www.ncbi.nlm.nih.gov/pubmed/30708308.
  • If you’re citing a paper or article that was published online but did not come from an academic journal or database, provide information about the author (if known), the date of publication (if available), and the website where you found the article. For example: “Hill, M. (n.d.). Egypt in the Ptolemaic Period. Retrieved from https://www.metmuseum.org/toah/hd/ptol/hd_ptol.htm”

Citing Unpublished Sources in Your Reference List

Step 1 Determine that your source is unpublished.

  • Print-only dissertations or theses.
  • Articles or book chapters that are in press or have been recently prepared or submitted for publication.
  • Papers that have been rejected for publication or were never intended for publication (such as student research papers or unpublished conference papers).

Step 2 Indicate the status of papers that are in the process of publication.

  • If the paper is currently being prepared for publication, include the author’s name, the year when the current draft was completed, and the title of the article in italics, followed by “Manuscript in preparation.” For example: Wooster, B. W. (1932). What the well-dressed man is wearing. Manuscript in preparation.
  • If the paper has been submitted for publication, format the citation the same way as if it were in preparation, but instead follow the title with “Manuscript submitted for publication.” For example: Wooster, B. W. (1932). What the well-dressed man is wearing. Manuscript submitted for publication.
  • If the paper has been accepted for publication but is not yet published, replace the date with “in press.” Do not italicize the paper title, but do include the title of the periodical or book in which it will be published and italicize that. For example: Wooster, B. W. (in press). What the well-dressed man is wearing. Milady’s Boudoir.

Step 3 Note the status of papers that were never intended for publication.

  • If the paper was written for a conference but never published, your citation should look like this: Riker, W. T. (2019, March). Traditional methods for the preparation of spiny lobe-fish. Paper presented at the 325th Annual Intergalactic Culinary Conference, San Francisco, CA.
  • For an unpublished paper written by a student for a class, include details about the institution where the paper was written. For example: Crusher, B. H. (2019). A typology of Cardassian skin diseases. Unpublished manuscript, Department of External Medicine, Starfleet Academy, San Francisco, CA.

Step 4 Clarify the status of unpublished dissertations and theses.

  • For example, you may write, “Pendlebottom, R. H. (2011). Iconography in Italian Frescos (Unpublished doctoral dissertation). New York University, New York, United States.”

How to cite in APA Style (7th edition)

Most academic writing cites others' ideas and research, for several reasons:

  • Sources that support your ideas give your paper authority and credibility
  • Shows you have researched your topic thoroughly
  • Crediting sources protects you from plagiarism
  • A list of sources can be a useful record for further research

Different academic disciplines prefer different citation styles, most commonly  APA and MLA styles. 

Besides these styles, there are  Chicago ,  Turabian ,  AAA ,  AP , and more. Only use the most current edition of the citation style.

When to cite.

To avoid plagiarism, provide a citation for ideas that are not your own:

  • Direct quotation
  • Paraphrasing of a quotation, passage, or idea
  • Summary of another's idea or research
  • Specific reference to a fact, figure, or phrase

You do not need to cite common knowledge (ex. George Washington was the first President of the United States) or proverbs unless you are using a direct quotation. When in doubt, cite your source.

APA style is used by social science disciplines such as communication studies, economics, education, psychology, and sociology; it is also used by business and nursing.

What is APA Style?

APA style, created by the American Psychological Association, is a set of rules for formatting manuscripts, including research papers.

In APA, you must cite sources that you have paraphrased, quoted or otherwise used to write your research paper. Cite your sources in two places:

  • In the body of your paper where you add a brief in-text citation .
  • In the References list at the end of your paper where you give more complete information for the source.

  • Date:  List the date between parentheses, followed by a period
  • Title of report:  In italics. Capitalize the first word of the title, subtitle, and proper nouns.
  • Publication number: Omit if unavailable for the source that you're citing
  • Publisher:  List the report's publisher. If the publisher is the same as the author, do not list the name a second time.
  • DOI or URL:  List DOI or URL if available

Things to know before you begin:

  • Sans serif fonts: Arial (11-point), Calibri (11-point), or Lucinda Sans Unicode (10-point)

  • Paragraphs:  All paragraphs (except in the Abstract) should be indented

Place only page numbers in the header. 

Your paper should have the full title in bold. Place an extra space beneath the title and before your name.

Your name, your affiliation, the course title, professor’s name, and due date should be double spaced beneath the title.

All of this should be in the center of the title page.

  • Put the word “Abstract” on the top of the page. Be sure it is center-aligned and in bold.
  • Do not indent any paragraphs on this page.

Indent all other paragraphs throughout the body of the paper.

APA Format Citation Examples

The American Psychological Association created the APA citation style in 1929 as a way to help psychologists, anthropologists, and even business managers establish one common way to cite sources and present content.

APA is used when citing sources for academic articles such as journals, and is intended to help readers better comprehend content, and to avoid language bias wherever possible. The APA style (or APA format ) is now in its 7th edition, and provides citation style guides for virtually any type of resource.

Chicago Style Citation Examples

The Chicago/Turabian style of citing sources is generally used when citing sources for humanities papers, and is best known for its requirement that writers place bibliographic citations at the bottom of a page (in Chicago-format footnotes ) or at the end of a paper (endnotes).

The Turabian and Chicago citation styles are almost identical, but the Turabian style is geared towards student published papers such as theses and dissertations, while the Chicago style provides guidelines for all types of publications. This is why you’ll commonly see Chicago style and Turabian style presented together. The Chicago Manual of Style is currently in its 17th edition, and Turabian’s A Manual for Writers of Research Papers, Theses, and Dissertations is in its 8th edition.

Citations have been helping researches document their sources for hundreds of years, and are a great way to learn more about a particular subject area.

Ever wonder what sets all the different styles apart, or how they came to be in the first place? Read on for some interesting facts about citations!

1. There are Over 7,000 Different Citation Styles

You may be familiar with MLA and APA citation styles, but there are actually thousands of citation styles used for all different academic disciplines all across the world. Deciding which one to use can be difficult, so be sure to ask you instructor which one you should be using for your next paper.

2. Some Citation Styles are Named After People

While a majority of citation styles are named for the specific organizations that publish them (i.e. APA is published by the American Psychological Association, and MLA format is named for the Modern Language Association), some are actually named after individuals. The most well-known example of this is perhaps Turabian style, named for Kate L. Turabian, an American educator and writer. She developed this style as a condensed version of the Chicago Manual of Style in order to present a more concise set of rules to students.

3. There are Some Really Specific and Uniquely Named Citation Styles

How specific can citation styles get? The answer is very. For example, the “Flavour and Fragrance Journal” style is based on a bimonthly, peer-reviewed scientific journal published since 1985 by John Wiley & Sons. It publishes original research articles, reviews and special reports on all aspects of flavor and fragrance. Another example is “Nordic Pulp and Paper Research,” a style used by an international scientific magazine covering science and technology for the areas of wood or bio-mass constituents.

4. More citations were created on  EasyBib.com  in the first quarter of 2018 than there are people in California.

The US Census Bureau estimates that approximately 39.5 million people live in the state of California. Meanwhile, about 43 million citations were made on EasyBib from January to March of 2018. That’s a lot of citations.

5. “Citations” is a Word With a Long History

The word “citations” can be traced back literally thousands of years to the Latin word “citare” meaning “to summon, urge, call; put in sudden motion, call forward; rouse, excite.” The word then took on its more modern meaning and relevance to writing papers in the 1600s, where it became known as the “act of citing or quoting a passage from a book, etc.”

6. Citation Styles are Always Changing

The concept of citations always stays the same. It is a means of preventing plagiarism and demonstrating where you relied on outside sources. The specific style rules, however, can and do change regularly. For example, in 2018 alone, 46 new citation styles were introduced , and 106 updates were made to exiting styles. Why Citations Matter

Here are the ways accurate citations can help your students achieve academic success, and how you can answer the dreaded question, “why should I cite my sources?”

They Give Credit to the Right People

Citing their sources makes sure that the reader can differentiate the student’s original thoughts from those of other researchers. Not only does this make sure that the sources they use receive proper credit for their work, it ensures that the student receives deserved recognition for their unique contributions to the topic. Whether the student is citing in MLA format , APA format , or any other style, citations serve as a natural way to place a student’s work in the broader context of the subject area, and serve as an easy way to gauge their commitment to the project.

They Provide Hard Evidence of Ideas

Having many citations from a wide variety of sources related to their idea means that the student is working on a well-researched and respected subject. Citing sources that back up their claim creates room for fact-checking and further research . And, if they can cite a few sources that have the converse opinion or idea, and then demonstrate to the reader why they believe that that viewpoint is wrong by again citing credible sources, the student is well on their way to winning over the reader and cementing their point of view.

They Promote Originality and Prevent Plagiarism

The point of research projects is not to regurgitate information that can already be found elsewhere. We have Google for that! What the student’s project should aim to do is promote an original idea or a spin on an existing idea, and use reliable sources to promote that idea. Copying or directly referencing a source without proper citation can lead to not only a poor grade, but accusations of academic dishonesty. By citing their sources regularly and accurately, students can easily avoid the trap of plagiarism , and promote further research on their topic.

They Create Better Researchers

By researching sources to back up and promote their ideas, students are becoming better researchers without even knowing it! Each time a new source is read or researched, the student is becoming more engaged with the project and is developing a deeper understanding of the subject area. Proper citations demonstrate a breadth of the student’s reading and dedication to the project itself. By creating citations, students are compelled to make connections between their sources and discern research patterns. Each time they complete this process, they are helping themselves become better researchers and writers overall.

When is the Right Time to Start Making Citations?

Make in-text/parenthetical citations as you need them.

As you are writing your paper, be sure to include references within the text that correspond with references in a works cited or bibliography. These are usually called in-text citations or parenthetical citations in MLA and APA formats. The most effective time to complete these is directly after you have made your reference to another source. For instance, after writing the line from Charles Dickens’ A Tale of Two Cities : “It was the best of times, it was the worst of times…,” you would include a citation like this (depending on your chosen citation style):

(Dickens 11).

This signals to the reader that you have referenced an outside source. What’s great about this system is that the in-text citations serve as a natural list for all of the citations you have made in your paper, which will make completing the works cited page a whole lot easier. After you are done writing, all that will be left for you to do is scan your paper for these references, and then build a works cited page that includes a citation for each one.

2. Understand the General Formatting Rules of Your Citation Style Before You Start Writing

While reading up on paper formatting may not sound exciting, being aware of how your paper should look early on in the paper writing process is super important. Citation styles can dictate more than just the appearance of the citations themselves, but rather can impact the layout of your paper as a whole, with specific guidelines concerning margin width, title treatment, and even font size and spacing. Knowing how to organize your paper before you start writing will ensure that you do not receive a low grade for something as trivial as forgetting a hanging indent.

3. Double-check All of Your Outside Sources for Relevance and Trustworthiness First

Collecting outside sources that support your research and specific topic is a critical step in writing an effective paper. But before you run to the library and grab the first 20 books you can lay your hands on, keep in mind that selecting a source to include in your paper should not be taken lightly. Before you proceed with using it to backup your ideas, run a quick Internet search for it and see if other scholars in your field have written about it as well. Check to see if there are book reviews about it or peer accolades. If you spot something that seems off to you, you may want to consider leaving it out of your work. Doing this before your start making citations can save you a ton of time in the long run.

General Information

The Publication Manual of the American Psychological Association (APA) 7th edition 2020 (access to the previous edition LibGuide:  6th edition 2010 LibGuide ) is the standard writing guide for psychology and other disciplines in the social sciences. It is used by authors, editors, students, and publishers. The following information is taken from the APA 7th edition. If you don't find the information and/or examples you need here, consult the print publication manual itself. Copies of the 7th edition are available in all libraries . Also, copies of the 6th edition are available in all APU libraries .

Citing the Bible

New: APA 7 now includes the Bible and other religious works (Torah, Qur'an) in the Reference List. Old: APA 6, Bible passages only needed to be cited in the text of your paper, no reference list citation was required.

Identify the version you used for your first in-text citation. You don't need to include the version in subsequent in-text citations for the Bible unless you use another version. Remember to italicize the version title and use Arabic numbers and a colon. Abbreviations for the books of the Bible are not used in APA 7.

1.  Citing a single verse, print edition:

     In-Text Parenthetical  [= P  hereafter]:  "Quote" ( English Standard Version,  2001/2009,1 Samuel 10:8). 

    Reference List [=R hereafter]:   The English Standard Version Bible: Containing the Old and New Testament with Apocrypha.  (2009). Oxford University Press. (Original work published 2001)

2. Citing a passage from an annotated/study Bible, print edition:

     P:  "Quote" (Coogan, 2010, 1 John 1: 1-5).

     R:  Coogan, M. D. (Ed.). (2010).  The new Oxford annotated study Bible: New Revised Standard Version: with the Apocrypha  (4th ed.). (2010). Oxford University Press.

3. Quoting a verse from an online version of the Bible:

   P:   "Quote" ( English Standard Version , 2001/2011, Isaiah 42:1).

In-text Citations of Print Resources

In the text of your paper, you must document the source from which you are quoting or paraphrasing. When paraphrasing, cite the author and date of the work, plus the page number if it would help the reader locate the original information. For quotations, cite the author, date and page number. Use "p." for single pages (Smith, 2001, p. 143) and "pp." for multiple pages (Smith, 2001, p. 143-144). 

Two Basic Methods for In-Text Citations:

  • Integrating the author’s name into the sentence: Walker (2014) compared reaction times and found . . .
  • Including the author’s name in a parenthetical citation: A recent study found that a 0.04 BAC caused a slight impairment of reaction time (Walker, 2014, p. 8).

Note: The Publication Manual recommends authors of scholarly papers use past tense or present perfect tense for important phrases occurring in the literature review and procedure entries (example:, Smith (2018) found or Smith (2018) has found ).

For Works with Two Authors:

Always list both authors' surnames every time you refer to that work. NOTE: When there are two authors the word  and is used in the text; however, the  & is used in the parenthetical citation.

. . . as Nightlinger and Littlewood (2019) demonstrated . . .

As has been shown (Nightlinger & Littlewood, 2019) . . .

For Works with Three or more Authors:

List only the first author's surname followed by "et al." in all citations, including the first (unless there is ambiguity among different sources).

Eley et al. (2016) found that . . .

(Eley et al., 2016)

When citing more than one work with similar groups of author names, and citing the first author plus "et al." would make the entries the same, limit ambiguity by adding more names. For example:

Smith, Jones, Liu, Huang, and Kim (2020)

Smith, Jones, Ruiz, Wan, and Stanton (2020)

They would be cited in-text as follows, to remove ambiguity:

(Smith, Jones, Liu, et al., 2020)

(Smith, Jones, Ruiz, et al., 2020)

For Works with No Author:

If the work does not have an author, cite the item by title in the sentence, or for parentheses use just the first word or two. 

A similar study was done of students learning to format research papers ("Using Citations," 2017).

For Two or More Works in the Same Parentheses:

If your parenthetical citation includes two or more works, order them alphabetically just like they are in the reference list, separated by a semi-colon.

(Berndt, 2015; Harlow, 1998)

For Two or More Works by the Same Author in the Same Year:

When you have the same author for two or more works in the same year, use a lower case letter (a, b, c) after the year to order the works in the reference list and use the lower-case letters with the year for in-text. 

Research by Berndt (2002a) revealed strong correlations. However, a parallel study (Berndt, 2002b) resulted in inconclusive findings. 

For Electronic Sources

When possible, cite an electronic document the same way as other documents, by following the above author-date style.

For Works Without Page Numbers

If an electronic source does not have page numbers, try to include information that can help the reader find the passage such as the heading or section name, or a paragraph number (para. 1), or combination of these. 

According to Jones (2001), . . . (Mind Over Matter section, para. 5).

These examples are for printed books and periodicals only . Please consult the "Citing Electronic Sources" tab if you are attempting to cite an eBook, a web site, an online document from the Internet, or an article obtained through an online database.

The Reference List

Start the Reference List on a new page. Type the word Reference s (Reference, if there is only one) in uppercase and lowercase letters, centered at the top of the page. Double-space all reference entries. Entries that are more than one line long should have a hanging indent. To indent, place your cursor on the second line far left. Press Enter once. Press Tab once. 

The entire title is in all lower case with three exceptions: 1) The first letter of the title is in upper case, 2) Any letter after a colon (:) is in upper case, and 3) Any acronyms and proper nouns are in upper case. Book entries no longer included the publisher location. 

Citing a Book with one Author or Editor:

Author/Editor's last name, Author/Editor’s initial(s). (Publication year). Title [in italics] . Publisher.

Citing a Book with Multiple Authors or Editors:

Author 1's last name, Author 1’s initial(s)., Author 2's last name, Author 2's initial(s)., & Author 3's last name, Author 3's initial(s). (Publication year). Title [in italics] . Publisher.

Wicks, R. J., Parsons, R. D., & Capps, D. (Eds.). (2004). Clinical handbook of pastoral counseling . Paulist Press.

Citing a Book with No Author or Editor:

Title (Edition - if there is one). (Publication year). Publisher.

Merriam-Webster's collegiate dictionary (10th ed.). (2008). Merriam-Webster.

Citing a Book with a Group Author (Government Agency) as Publisher:

Group author (or government agency). (Publication year). Title (edition or report number, if there is one). Place of publication: Publisher.

(When the author and publisher are identical, use the word Author as the name of the publisher.)

Citing an Article or Chapter in an Edited Book: 

Chapter author's last name, Chapter author's initial(s). (Publication year). Chapter title. In Editor's initials, Editor's last name (Ed.), Title of edited book (pp. pages of chapter). Publisher.

Citing an Entry from a Multivolume Encyclopedia:

Entry author's last name, Entry author's initial(s). (Publication year). Entry title. In Editor's initials, Editor's last name (Ed.), Title of encyclopedia (Edition, volume number, pages). Publisher.

Thomas, R. M. (1994). Religious education. In T. Husen & N. Postlethwaite (Eds.), The international encyclopedia of education (2nd ed., Vol. 9, pp. 4995-5008). Elsevier Science.

NOTE: If an encyclopedia entry has no author, place the title of the entry in the author position.

Citing a Print Journal Article, One Author:

Author’s last name, Author’s initial(s). (year of publication). Title of article. Title of Journal, volume number (issue number for journals paginated by issue), pages.

Basic reference list format for an online report

Author Last Name, First Initial. (Year). Title (Report No. #). DOI or URL

  • If there is a name of a person listed as an author, list them as the author for your in-text and reference list citations. When there is not author listed use the organization name as a corporate author.
  • If the organization that published the report issued a number be sure to include that in parentheses right after the title.
  • Technical and research reports might not be peer-reviewed. If you require peer-reviewed sources use reports with caution.

How to Cite a Website in APA Style | Format & Examples

APA website citations usually include the author, the publication date, the title of the page or article, the website name, and the URL. If there is no author, start the citation with the title of the article. If the page is likely to change over time, add a retrieval date.

When you refer to a website in your text without quoting or paraphrasing from a specific part of it, you don’t need a formal citation. Instead, you can just include the URL in parentheses after the name of the site:

For articles from news sites without print equivalents (e.g. BBC News, Reuters), italicize the name of the article and  not  the name of the site.

When a web page does not list an individual author, it can usually be attributed to an organization or government . If this results in the author name being identical to the site name, omit the site name, as in the example below.

If you can’t identify any author at all, replace the author name with the title of the page or article.

In the in-text citation , put the title in quotation marks if it is in plain text in the reference list, or in italics if it is in italics in the reference list. Note that title case is used for the title here, unlike in the reference list. Shorten the title to the first few words if necessary.

When a web page or article does not list a publication or revision date, replace the date with “n.d.” (“no date”) in all citations.

If an online source is likely to change over time, it is recommended to include the date on which you accessed it.

As social media posts are usually untitled, use the first 20 words of the post, in italics, as a title. Also include any relevant information about the type of post and any multimedia aspects (e.g. videos, images, sound, links) in square brackets.

On some social media sites (such as Twitter ), users go by usernames instead of or in addition to their real names. Where the author’s real name is known, include it, along with their username in square brackets:

In some cases, you’ll want to cite a whole social media profile instead of a specific post. In these cases, include an access date, because a profile will obviously change over time:

When citing a webpage or online article , the APA in-text citation consists of the author’s last name and year of publication. For example: (Worland & Williams, 2015). Note that the author can also be an organization. For example: (American Psychological Association, 2019).

If you’re quoting you should also include a locator. Since web pages don’t have page numbers, you can use one of the following options:

  • Paragraph number: (Smith, 2018, para. 15).
  • Heading or section name: ( CDC, 2020, Flu Season section)
  • Abbreviated heading:  ( CDC, 2020, “Key Facts” section)

When you quote or paraphrase a specific passage from a source, you need to indicate the location of the passage in your APA in-text citation . If there are no page numbers (e.g. when citing a website ) but the text is long, you can instead use section headings, paragraph numbers, or a combination of the two:

Section headings can be shortened if necessary. Kindle location numbers should not be used in ebook citations , as they are unreliable.

If you are referring to the source as a whole, it’s not necessary to include a page number or other marker.

When no individual author name is listed, but the source can clearly be attributed to a specific organization—e.g., a press release by a charity, a report by an agency, or a page from a company’s website—use the organization’s name as the author in the reference entry and APA in-text citations .

When no author at all can be determined—e.g. a collaboratively edited wiki or an online article published anonymously—use the title in place of the author. In the in-text citation, put the title in quotation marks if it appears in plain text in the reference list, and in italics if it appears in italics in the reference list. Shorten it if necessary.

APA Style usually does not require an access date. You never need to include one when citing journal articles , e-books , or other stable online sources.

However, if you are citing a website or online article that’s designed to change over time, it’s a good idea to include an access date. In this case, write it in the following format at the end of the reference: Retrieved October 19, 2020, from https://www.uva.nl/en/about-the-uva/about-the-university/about-the-university.html

Instead of the author’s name, include the first few words of the work’s title in the in-text citation. Enclose the title in double quotation marks when citing an article, web page or book chapter. Italicize the title of periodicals, books, and reports.

No publication date

If the publication date is unknown , use “n.d.” (no date) instead. For example: (Johnson, n.d.).
